Part 01 · Overview

Welcome

What it is, who it suits, its grades and the ten things to know first

3.2

GPA, above 47 of the 51 other docs and wiki tools we grade

Dropbox Paper is an online document editor that comes with every Dropbox account. A doc can combine text, tables, timelines, code blocks and embedded files, and collaborators can comment, mention each other and assign to-dos with due dates. Paper docs are stored alongside other files in Dropbox and follow the same sharing rules and version history.

To get you started, here are 9 things to know about Dropbox Paper, taken from its own pages and our grades.

On the new release, Slack commands don't work and docs export one at a time.
From our report card of Dropbox Paper
  1. 1

Best for free shared docs for people already on Dropbox

It only works online, everyone who opens a doc has to sign in to Dropbox, and docs are files in folders rather than a wiki.

  2. 2

Paid plans start at $9.99 a month

As its pricing page puts it: $9.99 per month, billed yearly (Dropbox Plus).

  3. 3

    There is a free plan

Paper is free with any Dropbox account, including the free Basic plan with 2 GB of storage. There is no limit on the number of docs, and each doc takes up less than 100 bytes of storage.

  4. 4

    It runs on 3 platforms

    Web, iOS and Android.

  5. 5

    Real-time co-editing

Up to 50 people can edit a doc at the same time; anyone beyond that sees it as view-only. Collaborators can be mentioned in the text to bring them into a doc.

  6. 6

    Comments on text and images

Comments attach to highlighted text or to a selected area of an image, can mention colleagues to notify them, and can be linked to directly.

  7. 7

To-dos with assignees and due dates

Checklist items are assigned by mentioning someone and can carry a due date. A Things to do sidebar gathers the to-dos assigned to a user and those they assigned to others.

  8. 8

    A 3.2 GPA, above 47 of 51

That is against the other docs and wiki tools we grade, on value, the free plan, features, ease of use and platforms.

Dropbox Paper is the document editor that comes free with every Dropbox account, the free 2 GB one included, with comments and to-dos with due dates. ToolGPA report cardDropbox PaperGraded Oct 10, 2026
SubjectGradeComment
Value for moneyAPaper costs nothing and there's no cap on how many docs you keep. Dropbox's paid plans, from $9.99 a month billed yearly, buy storage and longer version history rather than a better editor, so the writing tool itself is free whatever the rest of this category charges.
Free plan and trialAFree with any Dropbox account, the 2 GB Basic one included, and each doc takes under 100 bytes, so storage isn't the thing that stops you. No limit on the number of docs either.
FeaturesCUp to 50 people editing at once, comments on text or part of an image, to-dos with an assignee and a due date, tables, timelines and templates. The gaps are in Dropbox's own notes: no offline editing, Slack commands broken on the new release, exports one doc at a time, and docs are files in folders, not a wiki.
Ease of useBNo store rating on record, but if you already have Dropbox there's nothing to set up and templates are waiting for things like project plans and creative briefs. The snag is that everyone you share with has to sign in to Dropbox.
Platforms and integrationsBWeb, iPhone and Android, with Google Calendar and Outlook Calendar the only connections on record. On a computer it's dropbox.com, because the desktop app keeps Paper docs as web files that open only in a browser.
Grade point averageVery good, out of 4.03.2

An A is worth 4 points, a B 3, a C 2, a D 1 and an F nothing. The GPA is the average of the five.

Who Dropbox Paper is for

  • Fits if your team's files already live in Dropbox
  • Works for meeting notes that need to-dos with a name and a due date on them

Who it is not for

  • Skip it if you write on planes or trains, because docs can't be edited offline
  • Not for you if the people you share with won't sign in to Dropbox, as everyone has to
  • Too light for a structured team wiki, since docs are simply files sitting in Dropbox folders
  • Watch out: on the new release, Slack commands and previews don't work and docs export one at a time
  • Tight if a doc draws a crowd, as 50 people can edit at once and inserted files stop at 50 MB

Good to know

Good for

  • Teams that already keep their files in Dropbox
  • Meeting notes, briefs and plans with assigned to-dos
  • People who want shared docs without paying for another tool

Worth knowing

  • Paper has no plan of its own: it is free with a Dropbox account, and everyone who opens a doc has to sign in to Dropbox.
  • Docs cannot be edited offline; the Dropbox desktop app stores them as web-based files that open only on dropbox.com.
  • No more than 50 people can edit a doc at once, and inserted files are limited to 50 MB each.
  • On the new release of Paper, the Slack integration's commands and previews do not work and docs can only be exported one at a time.

Keep it, or make your own?

Whether this is something you could build for yourself with an AI app builder, and what you would give up.

Keep it

The plain part of Dropbox Paper you could make: documents, tasks and templates. What surrounds it you could not. The 3 things listed below take a company, not a weekend.

It is one of the better ones too: its GPA of 3.2 is higher than 47 of the 51 other docs and wiki tools we grade. It costs $119.88 a year.

What you could make

  • Documents, tasks and templates: an app builder makes these well.

What you could not

  • A real app for iOS and Android. Something home-made would be a web page.
  • Several people working in it at the same moment.
  • It plugs into other products, Google Calendar and Outlook Calendar among them, and has an API.

What this rests on. Dropbox Paper’s listing: what it does, where it runs, what it plugs into and what it costs. It is a judgement about the kind of software this is. We have not built a replacement for it, and making your own means looking after it too. How we decide, and every tool’s verdict.
