Part 01 · Overview
Welcome
What it is, who it suits, its grades and the ten things to know first
2.0
GPA, above 1 of the 74 other calendar and scheduling apps we grade
Microsoft Bookings is the appointment scheduling app in Microsoft 365. It publishes a web booking page tied to Outlook calendars, either for one person or for a team with its own services, staff and business hours, and can turn each appointment into a Microsoft Teams meeting. It is not sold on its own: it comes with Microsoft 365 business, enterprise, education, frontline and government subscriptions.
To get you started, here are 9 things to know about Microsoft Bookings, taken from its own pages and our grades.
SMS notices are North America only, staff can't have their own time zones, and the trial needs a card.
- 1
Best for booking pages when you already pay for Microsoft 365
It isn't sold on its own, it can't take payment when someone books, and appointments can only be edited in the Bookings web portal.
- 2
Paid plans start at $5.40 a month for each person
As its pricing page puts it: $5.40 per user / month, paid yearly (Business Basic without Teams; $7.00 with Teams).
- 3
You can try it first
One-month free trial of Microsoft 365 business plans; a credit card is required and it converts to a paid subscription
- 4
It runs on Web
Web.
- 5
Personal booking page
Personal Bookings gives one person a page for their own time slots, with meeting types for different purposes. Anyone with the link sees the free times and books one.
- 6
Shared booking pages for teams
Shared Bookings covers a team: define services, add staff, set business hours and scheduling policies, and run several Bookings calendars, each with its own setup.
- 7
Teams meetings for appointments
An appointment booked as an online meeting gets a unique Microsoft Teams link sent to attendees. Bookings also runs as an app inside Teams and Outlook.
- 8
A 2.0 GPA, above 1 of 74
That is against the other calendar and scheduling apps we grade, on value, the free plan, features, ease of use and platforms.

The report card
Best for booking pages when you already pay for Microsoft 365
Microsoft Bookings is a booking page tied to Outlook, with a Teams link on every appointment, included with Microsoft 365 from $5.40 a user a month paid yearly. It isn't sold on its own, it can't take payment when someone books, and appointments can only be edited in the Bookings web portal. SMS notices are North America only, staff can't have their own time zones, and the trial needs a card.
| Subject | Grade | Comment |
|---|---|---|
| Value for money | C | It arrives with Microsoft 365, from $5.40 a user a month paid yearly without Teams or $7.00 with, so around this category's $6 middle. You can't buy Bookings by itself, though, so the real price is an office suite you may not want. |
| Free plan and trial | D | No free plan. The one-month Microsoft 365 trial needs a credit card and turns into a paid subscription by itself. Eligible nonprofits do get Business Basic as a grant for up to 300 users. |
| Features | C | The booking basics: personal and shared pages, services, staff, business hours, group bookings and a Teams link per appointment. The holes are in Microsoft's own FAQ. No payment support at all, SMS notifications in North America only, staff can't have their own time zones, and reports stop at 120 days. |
| Ease of use | C | No rating on record, and a shared page is a setup job: services, staff, business hours and scheduling policies. Appointments can only be edited in the Bookings web portal, not from your Outlook calendar. |
| Platforms and integrations | B | Web, running inside Teams and Outlook too, with an API. Everything it connects to is Microsoft's own: Outlook, Teams and Exchange Online. If your calendar is Google's, this isn't for you. |
An A is worth 4 points, a B 3, a C 2, a D 1 and an F nothing. The GPA is the average of the five.
Who Microsoft Bookings is for
- Fits if your organization already pays for Microsoft 365 and just needs appointment booking
- Works for appointments held as Microsoft Teams meetings, or booking pages open only to your own staff
Who it is not for
- Skip it if you charge clients when they book, because there's no payment support
- Not for you if you don't want Microsoft 365, as Bookings isn't sold as a standalone app
- Tight if your staff work in different time zones, since they can't each have their own
- Watch out: SMS notices are North America only, edits happen only in the web portal, and reports cover 120 days
- Watch out: the one-month trial needs a credit card and turns into a paid subscription by itself
Good to know
Good for
- Organizations already paying for Microsoft 365 that need appointment booking
- Teams that hold customer appointments as Microsoft Teams meetings
- Internal booking pages limited to people inside the organization
Worth knowing
- Bookings is not available as a standalone app; it requires an eligible Microsoft 365 or Office 365 subscription with Outlook on the web enabled.
- Microsoft's FAQ states there is no payment support, so it cannot charge customers when they book.
- SMS notifications are limited to North America, and staff cannot be given their own time zones.
- Appointments can only be edited in the Bookings web portal, not from an Outlook calendar, and reports cover the past 120 days.

Keep it, or make your own?
Whether this is something you could build for yourself with an AI app builder, and what you would give up.
Keep it
The plain part of Microsoft Bookings you could make: reports. What surrounds it you could not. The 3 things listed below take a company, not a weekend.
That makes this kind of software worth paying for, not this one in particular: 70 of the 74 other calendar and scheduling apps grade higher. It costs $64.80 a year.
What you could make
- Reports: an app builder makes this well.
What you could not
- Booking pages that read and write other people's calendars and send the emails.
- It is priced for each person, which means accounts and billing for a team.
- It plugs into other products, Outlook, Microsoft Teams and Exchange Online among them, and has an API.
What this rests on. Microsoft Bookings’s listing: what it does, where it runs, what it plugs into and what it costs. It is a judgement about the kind of software this is. We have not built a replacement for it, and making your own means looking after it too. How we decide, and every tool’s verdict.
