Part 01 · Overview
Welcome
What it is, who it suits, its grades and the ten things to know first
3.4
GPA, above 15 of the 17 other file storage and sync services we grade
OneDrive is Microsoft's cloud storage for files and photos, with sync between PCs, Macs, phones and the web. A free Microsoft account starts with 5 GB, and larger allowances come as part of Microsoft 365 subscriptions that also include Outlook and, from the Personal plan up, the desktop Office apps. Work and school accounts connect OneDrive to Teams and SharePoint.
To get you started, here are 10 things to know about Microsoft OneDrive, taken from its own pages and our grades.
- 1
Best for storage that comes with Word and Excel
OneDrive is the storage that comes with Microsoft 365, so paying for Word and Excel gets you 1 TB on Personal or 2 TB shared on Family.
- 2
Paid plans start at $1.67 a month when paid by the year
As its pricing page puts it: $1.99 per month, or $19.99 per year.
- 3
There is a free plan
5 GB of free cloud storage with a Microsoft account.
- 4
It runs on 5 platforms
Web, Windows, macOS, iOS and Android.
- 5
Sync and offline files
The plan comparison lists advanced sync between PC, Mac and the cloud, along with files and folders that can be kept available offline.
- 6
Windows and camera roll backup
Windows backup and camera roll backup are listed as key features, and the mobile app can automatically back up a phone's photos and videos.
- 7
Co-editing in Microsoft 365 apps
Files stored in OneDrive can be edited from anywhere with real-time collaboration in Word, Excel and PowerPoint on the web, desktop and mobile.
- 8
Refunds: 30 days
OneDrive storage is sold as a Microsoft 365 subscription, so Microsoft's account-wide refund rules apply. Thirty days from the purchase, and your last renewal charge back if you cancel within 30 days of it, is better than most.
- 9
A 3.4 GPA, above 15 of 17
That is against the other file storage and sync services we grade, on value, the free plan, features, ease of use and platforms.
- 10
Keep it
To replace Microsoft OneDrive you would be making files kept in step across devices without losing one. That is not a weekend's work, with an AI app builder or without one.

The report card
Best for storage that comes with Word and Excel
OneDrive is the storage that comes with Microsoft 365, so paying for Word and Excel gets you 1 TB on Personal or 2 TB shared on Family. On its own it starts at $1.99 a month for 100 GB, but the free plan is 5 GB, the next step is 1 TB at $9.99, the trial needs a card, and there's no Linux app.
| Subject | Grade | Comment |
|---|---|---|
| Value for money | A | Basic is $1.99 a month, or $19.99 for the year, for 100 GB, well under the $3.99 where this category's cheapest quarter starts. Personal at $9.99 is dearer, but that money also buys desktop Word, Excel, PowerPoint and Outlook, which no other storage plan here throws in. |
| Free plan and trial | C | 5 GB with a free Microsoft account, which your phone's camera roll will see off in a month or two. The way to try the bigger plans is a one-month trial of Personal, Family or Premium, and that asks for a credit card. |
| Features | B | It covers the whole job: sync with offline files, Windows and camera roll backup, links with passwords and expiry dates, version history, ransomware detection and restore, and several people editing one Word or Excel file at once. Nothing core is missing, and nothing here is unique to it either. |
| Ease of use | A | 4.7 from about 488,000 App Store ratings, top of this category at that sort of volume. Sign in with a Microsoft account and the phone app backs up photos and videos by itself, with OneDrive already sitting in Explorer on Windows. |
| Platforms and integrations | A | Web, Windows, Mac, iPhone and Android, wired into Teams, SharePoint, Outlook and the Office apps, with a public API behind it. Microsoft's own system requirements list no Linux client, which is the one hole. |
An A is worth 4 points, a B 3, a C 2, a D 1 and an F nothing. The GPA is the average of the five.
Who Microsoft OneDrive is for
- Fits if you already pay for Microsoft 365, since the storage comes with Word, Excel and PowerPoint
- Works for work teams on Teams and SharePoint, which OneDrive ties into
Who it is not for
- Skip it if you're on Linux, as Microsoft lists no Linux client
- Tight if you're staying free, because 5 GB is all you get
- Pricey if you need a bit more than 100 GB, since the next step is 1 TB at $9.99 a month
- Watch out: Family and Premium plans started from October 7, 2026 share 2 TB between everyone, not 1 TB each
- Watch out: the one-month trial needs a card, and Copilot on Family and Premium works for the owner only
Good to know
Good for
- People who already pay for Microsoft 365 and its Office apps
- Families: Microsoft 365 Family gives up to 6 people a shared 2 TB
- Organizations that work in Teams and SharePoint
Worth knowing
- The free allowance is 5 GB. Family and Premium subscriptions started from October 7, 2026 share 2 TB between all members, where each person used to get 1 TB.
- Home plans jump from 100 GB on Basic ($1.99 a month) to 1 TB on Personal ($9.99 a month), with no tier in between.
- Microsoft's system requirements list Windows, macOS, iOS and Android apps but no Linux client.
- Copilot features in the Family and Premium plans apply to the subscription owner only and cannot be shared.

What most people miss: ways to pay less, settings worth changing and the catches
7
Things most people miss, each from its own help pages
The things about Microsoft OneDrive that are easy to miss until they cost you: ways to pay less, settings worth changing and the catches at renewal or when you leave. Each one is from Microsoft OneDrive’s own pages, linked beside it.
Read on Oct 17, 2026. Read from Microsoft's OneDrive and account support pages (storage quotas, subscription expiry, Files On-Demand, restoring files, Personal Vault and folder backup) on 17 October 2026. Not tried out: these tips are what its own pages say.
- 1
Renewal
Already on Family? 1 TB each becomes 2 TB shared from May 2027
Microsoft's storage page says existing Family and Premium subscriptions move to 2 TB of storage shared by everyone starting 2 May 2027, where today each person gets 1 TB. A household of six goes from 6 TB in total to 2 TB. Check what everyone's using before then.
support.microsoft.com - 2
Pay less
Outlook.com attachments eat the same free 5 GB
Microsoft's storage page says your cloud storage includes your email attachments as well as OneDrive files and photos. So a busy Outlook.com inbox shrinks the free 5 GB. Go over and you can't send or receive email, and OneDrive won't upload or sync. Clear old attachments before buying more.
support.microsoft.com - 3
Leaving
Let a plan lapse over 5 GB and files turn read-only, then can be deleted
Microsoft's help page says your quota drops to the free 5 GB when Microsoft 365 expires. Over that, you can't upload, edit or sync, and files go read-only. After 3 months over, the account is frozen. After 6 months, Microsoft may delete your OneDrive and everything in it for good.
support.microsoft.com - 4
Setting
Use Free up space so OneDrive doesn't fill your laptop
Files On-Demand is on by default in newer versions on Windows. Right-click a file or folder and pick Free up space to keep it online only, or Always keep on this device for offline use. If it's off, it's under Settings → Sync and back up → Advanced settings.
support.microsoft.com - 5
Easy to miss
Paying subscribers can roll the whole OneDrive back 30 days
Single files sit in the recycle bin for 30 days on a personal account. On top of that, Microsoft says Microsoft 365 subscribers can restore their entire OneDrive to any point in the last 30 days, undoing every change to every file and folder since then.
support.microsoft.com - 6
Privacy
Personal Vault holds only 3 files unless you pay
Personal Vault is a folder that needs two-step verification every time you open it. Without a subscription it takes just three files. It locks itself after 20 minutes idle on the web and 3 minutes on the phone, and you can change the web timer under Settings → Account.
support.microsoft.com - 7
Leaving
Stopping folder backup makes you choose where the files live
Turn off backup for Desktop or Documents on Windows and OneDrive asks you to keep the files only in OneDrive or only on your PC. Files that are online only have to be downloaded first, with Always keep on this device, or some won't move. Do that before switching it off.

15/17
Other file storage and sync services it is graded above
Microsoft OneDrive's GPA of 3.4 is higher than 15 of the 17 other file storage and sync services we grade, and level with 1.
It stands best on ease of use (A, above 13 of 17) and worst on free plan and trial (C, above 0).
Its paid plans start at $1.67 a month when paid by the year, against a middle price of $4.17 for the category: 4 of the 16 others that charge start lower.
On features, ease of use and platforms it scores 3.7 out of 4, and no tool on the category's chart scores higher without costing more.

Keep it
To replace Microsoft OneDrive you would be making files kept in step across devices without losing one. That is not a weekend's work, with an AI app builder or without one.
It is one of the better ones too: its GPA of 3.4 is higher than 15 of the 17 other file storage and sync services we grade. It costs $19.99 a year.
What you could not
- Files kept in step across devices without losing one.
- Storing and serving files for other people.
- Apps for macOS, Windows, iOS and Android that stay in step with each other.
- Several people working in it at the same moment.
- It plugs into other products, Microsoft Teams, SharePoint and Word among them, and has an API.
- AI features, unless you pay a model provider for each request yourself.
- The depth: we grade its features B, which means it covers the whole job.

Refunds and cancelling
Good · checked Oct 18, 2026
OneDrive storage is sold as a Microsoft 365 subscription, so Microsoft's account-wide refund rules apply. Thirty days from the purchase, and your last renewal charge back if you cancel within 30 days of it, is better than most. Two things hold it to a B. Microsoft hedges the first refund with in most cases and only tells you if you qualify once you have cancelled. And storage has a sting the office apps do not: dropping to 5 GB can end with your files deleted.
- Refund window
- 30 days
- How you cancel
- Yourself, in settings
- Getting your money back
Microsoft's subscription refund policy says that in most cases you may get a refund within 30 days of the initial purchase or before the first recurring billing date, whichever is sooner, by cancelling. It adds that you are entitled to a refund of your most recent recurring charge if you cancel within 30 days of that payment, once per account per subscription product. Prorated refunds exist only in listed countries.
Stated on support.microsoft.com- How to cancel Microsoft OneDrive
A Microsoft 365 plan bought from Microsoft is cancelled on the Microsoft account services page by choosing Cancel subscription. Microsoft says not all cancellations end in a refund and that it works out your eligibility during the cancellation itself. A plan bought on Google Play, in the Apple App Store or from a retailer such as Amazon is cancelled with them instead.
- Sign in at the Microsoft account services page with the account that bought the subscription
- Select Cancel subscription, which may be labelled Upgrade or Cancel
- Read the Please review section at the top of the cancellation page
- Read the rest of the page, including the cheaper plans Microsoft offers instead
- At the bottom, select I don't want my subscription to go through with it
- What you keep afterwards
Cancelling drops the allowance to 5 GB of cloud storage plus 15 GB of Outlook.com storage, and on a Family or Premium plan everyone you shared with is cut back too. Microsoft's storage page says that over the limit you cannot upload, edit or sync new files and existing ones turn read-only, that the account is frozen after three months, and that after six months Microsoft might delete it and every file in it.
Stated on support.microsoft.com- Renewals
Microsoft charges on the renewal date, monthly or yearly by plan, while recurring billing is switched on. Turn recurring billing off and no further charge is taken, but the subscription runs normally until its expiry date, and anyone on a shared Family plan keeps it to that date as well. The page mentions no reminder before a renewal.
Stated on support.microsoft.com
In your favour
- Thirty days from the purchase to change your mind, which is as long as anyone in this field gives.
- Cancel within 30 days of a renewal charge and Microsoft says that charge is yours to get back.
- You cancel it yourself on your Microsoft account page, with nobody to write to.
- Switching recurring billing off leaves the storage working normally until the expiry date.
Watch out for
- Microsoft says not all cancellations end in a refund, and you only learn where you stand after cancelling.
- The renewal refund is a one-off, per Microsoft account and per subscription product.
- Stop paying and the allowance falls to 5 GB: over that, files go read-only and the account freezes after three months.
- Stay over the limit for six months and Microsoft says it might delete your OneDrive and everything in it.
Customer support
Good · checked Oct 18, 2026
Everyone who pays can get to a person in the end. The Contact Us page puts self-help first and then offers live chat with a Microsoft specialist, and business admins get a published phone number. It stops short of an A because Microsoft never says when that consumer chat is staffed or how long the queue is. Stated hours and a phone number belong to the business side only.
Ways to get help
Live chat
The Contact Us page asks you to sign in and choose a product, shows self-help suggestions first, and then says further help is available including live chat with a Microsoft specialist. No hours are given for it.
Stated on support.microsoft.comPhone
For Microsoft 365 for business subscriptions, including OneDrive for Business, Microsoft publishes support phone numbers by country for admins, with a PIN check if the call comes from a number the admin centre does not have on file.
Stated on learn.microsoft.comHelp centre
The OneDrive help and learning site has written articles and training on syncing, sharing, storage quotas, restoring files and troubleshooting across Windows, Mac, web and mobile, open without signing in.
Stated on support.microsoft.comCommunity or forum
Microsoft Q&A runs a public Microsoft 365 and Office tag where other users and Microsoft staff post questions and answers. The older consumer forums now redirect here.
Stated on learn.microsoft.com
Not listed on Microsoft OneDrive’s pages: email, contact form or ticket.
- When people answer
Microsoft states hours only for business subscriptions: technical support in English 24 hours a day, 7 days a week, with local languages in some countries, and billing support in English from 9 AM to 5 PM, Monday to Friday, in most countries. The consumer Contact Us page states no hours for its chat.
Stated on learn.microsoft.com- How fast it says it replies
The admin support page says the expected wait time is shown in the Contact support pane when a business admin asks for a call or an email, rather than promising a figure in advance. No target reply time is stated for consumer plans anywhere in the pages read.
Stated on learn.microsoft.com- What depends on your plan
The business routes need at least one subscription bought directly from Microsoft: buy everything through a partner and Microsoft sends you to that partner. Consumer plans, including Microsoft 365 Basic, go through the general Contact Us page with self-help first and then a chat. Business Assist is sold separately for small-business advice.
Stated on learn.microsoft.com
In your favour
- The contact page says a Microsoft specialist answers the chat, not a bot.
- Business admins get a published phone number and technical support in English round the clock.
- The OneDrive help site is large and open to everyone, including people on the free 5 GB plan.
Watch out for
- No hours and no reply time are stated for the consumer chat, so you cannot tell when it is staffed.
- You have to work through the self-help suggestions before the chat is offered at all.
- Consumer plans get no phone number: the published numbers are for business admins.
- Buy a business plan through a reseller and Microsoft points you back at the reseller.
What these two grades rest on. Read on 18 October 2026: Microsoft's subscription refund policy, its articles on cancelling Microsoft 365 and on turning recurring billing on or off, the storage quotas page, the Services Agreement, the Contact Us page, the Microsoft 365 admin support page, the OneDrive help site and the Microsoft Q&A Office tag. These are account-wide rules, not a OneDrive policy. Nobody here cancelled a plan or contacted support. They are graded apart from the five that make the GPA. How we grade refunds and support.

Tools graded, in 94 categories
ToolGPA grades software the way a school report grades a pupil: five subjects, a letter for each with the reason written beside it, and a GPA that averages them. Prices, plans and platforms are read from each maker’s own pages and dated, so you always know how fresh a figure is.
Every grade, review and ranking on ToolGPA is our own judgement. No company can pay for a grade or change one. Every tool on the site has a guide like this one, free to download and pass on. It all lives at toolgpa.com.
