Part 01 · Overview
Welcome
What it is, who it suits, its grades and the ten things to know first
2.4
GPA, above 27 of the 123 other to-do list apps we grade
OmniFocus 4 is a task manager for Mac, iPhone, iPad, Apple Watch and Apple Vision Pro. Actions are organized into projects, folders and tags, then worked through Forecast and Review views; the Pro edition adds custom perspectives and automation. It can be bought as a one-time license or as a yearly subscription that also includes access from a web browser.
To get you started, here are 10 things to know about OmniFocus, taken from its own pages and our grades.
And there's a lot to hold in your head: perspectives, defer dates, review cycles, tags against projects.

The report card
Best for running lots of projects on Apple devices
OmniFocus is a task manager for Apple devices aimed at people with many projects and a weekly review habit, with defer dates and a Review mode. It's dear: $74.99 for Standard, $149.99 for Pro features like custom perspectives, or $99.99 a year, and the web version costs extra on a licence. There's no free plan, no Windows or Android app, and its 4.02 App Store rating says plenty find it hard going.
| Subject | Grade | Comment |
|---|---|---|
| Value for money | C | The $74.99 Standard licence is under two years of this category's middle subscription. The rest isn't: custom perspectives and automation mean the $149.99 Pro licence, the subscription is $99.99 a year, and browser access is $4.99 a month on top of a licence. |
| Free plan and trial | C | No free plan. You get 14 days with no automatic charge if you start the trial from an Omni Account, and then the app becomes a viewer: your tasks are still there to look at, and that's all. |
| Features | B | It covers the whole job: projects, folders, tags, flags, due and defer dates, repeats, a Forecast that shows calendar events beside actions, and Review that walks your projects on a schedule. Custom perspectives, Focus and automation are Pro only. |
| Ease of use | C | 4.02 from 342 App Store ratings, in the middle band for this category. And there's a lot to hold in your head: perspectives, defer dates, review cycles, tags against projects. Expect more than a week before it's routine. |
| Platforms and integrations | B | Mac, iPhone, iPad, Apple Watch and Vision Pro cover phone and computer, and there's a browser version, though it needs an Apple setup first and loses calendar integration. No Windows or Android, and Apple Calendar is the only integration listed. |
An A is worth 4 points, a B 3, a C 2, a D 1 and an F nothing. The GPA is the average of the five.
Who OmniFocus is for
- Fits if you juggle dozens of projects and review them every week
- Works for people who'd rather buy a licence once than subscribe
Who it is not for
- Skip it if you use Windows or Android, as the native apps are Apple only
- Pricey if you want custom perspectives, Focus or automation, since those need the $149.99 Pro licence
- Not for you if you just want a simple list, because there's a lot to learn here
- Watch out: there's no free plan, and after the 14-day trial the app turns into a viewer
- Watch out: web access is $4.99 a month on top of a licence, and education discounts skip subscriptions and App Store buys
Good to know
Good for
- People managing many projects on Apple devices
- Workflows built around defer dates, tags and regular project reviews
- Buyers who want to choose between a one-time license and a subscription
Worth knowing
- Native apps are for Apple devices only. Web access comes with the subscription or costs $4.99 a month on top of a license.
- Custom perspectives, Focus mode and automation are Pro features and are not in the $74.99 Standard license.
- There is no free plan; after the 14-day trial the app falls back to a viewer mode.
- Education discounts do not apply to subscriptions or to purchases made through the App Store.

Where it stands
Its grades against its category, and whether to keep it or make your own
27/123
Other to-do list apps it is graded above
OmniFocus's GPA of 2.4 is higher than 27 of the 123 other to-do list apps we grade, and level with 20.
It stands best on features (B, above 81 of 123) and worst on free plan and trial (C, above 6).
Its paid plans start at $8.33 a month when paid by the year, against a middle price of $3 for the category: 63 of the 68 others that charge start lower.
On features, ease of use and platforms it scores 2.7 out of 4. 21 tools score higher and cost less.

Keep it, or make your own?
Whether this is something you could build for yourself with an AI app builder, and what you would give up.
Keep it
The plain part of OmniFocus you could make: tasks and calendar. What surrounds it you could not. The 4 things listed below take a company, not a weekend.
That makes this kind of software worth paying for, not this one in particular: 76 of the 123 other to-do list apps grade higher. It costs $99.99 a year.
What you could make
- Tasks and calendar: an app builder makes these well.
What you could not
- Apps for macOS and iOS that stay in step with each other.
- End-to-end encryption done properly.
- Hooks into the device itself: an Apple Watch app.
- The depth: we grade its features B, which means it covers the whole job.
What this rests on. OmniFocus’s listing: what it does, where it runs, what it plugs into and what it costs. It is a judgement about the kind of software this is. We have not built a replacement for it, and making your own means looking after it too. How we decide, and every tool’s verdict.
Part 05 · Refunds
After you pay
Getting your money back, getting out, and getting help
What happens once you have paid: whether you can get your money back, how to leave, and how to reach a person when something goes wrong. Each is graded from OmniFocus’s own terms and help pages.
Refunds and cancelling
Good · checked Oct 18, 2026
Buy OmniFocus outright and the Omni Group gives you 30 days to send it back, whether you bought from its own store or from Apple. Subscribe instead and there is no refund at all, only the right to stop the next payment. You cancel a subscription yourself from the Omni Account page and keep it to the end of the period. A real window on half the line-up, claimed by writing or phoning, so a B.
- Refund window
- 30 days
- How you cancel
- Yourself, in settings
- Getting your money back
Omni's refund policy states a 30-day return guarantee on stand-alone perpetual licences for its Mac and iOS products, bought either from its own store or from Apple's App Store and Mac App Store, claimed by emailing or phoning its sales team within 30 days of purchase. Refunds are not available for subscriptions at all. Omni asks for an order number or licence key, and for Apple purchases a copy of the receipt.
Stated on support.omnigroup.com- How to cancel OmniFocus
A subscription bought through the Omni Group Store can be cancelled at any time from your Omni Account page. One bought inside the apps through Apple is cancelled in the Settings app on iOS or in the App Store app on the Mac. A perpetual licence is a one-off purchase with nothing to cancel.
Stated on support.omnigroup.com- What you keep afterwards
Omni says that if you cancel a subscription you keep access through the end of the paid subscription period and are not billed for the periods after it. A subscription that includes a 14-day trial can be cancelled before the trial ends with no charge at all. The pages read do not say what becomes of your OmniFocus data once a subscription lapses.
Stated on support.omnigroup.com- Renewals
Omni's refund policy says a cancelled subscription simply stops being billed for subsequent periods, which means a subscription left alone keeps renewing. The pages read state no notice period and mention no reminder before a renewal. A perpetual licence does not renew: Omni says its perpetual licences do not expire and that point updates within a version cost nothing.
Stated on support.omnigroup.com
In your favour
- Thirty days to return a perpetual licence, and it applies to Apple purchases as well as Omni's own store.
- A two-week trial first, so you can find out before you pay anything.
- You cancel a subscription yourself from the Omni Account page, at any time.
- Cancel and you keep access to the end of the period you have paid for.
Watch out for
- Subscriptions are not refundable at all: the 30 days cover perpetual licences only.
- There is no refund button; you email or phone the sales team inside the 30 days.
- For an App Store purchase Omni wants a copy of the receipt, and sends the money back by PayPal.
- Bought the subscription through Apple? You cancel it in Apple's settings, not in your Omni Account.
Customer support
Excellent · checked Oct 18, 2026
This is what good support looks like at any price. You can phone a real person on weekdays between 10am and 5pm Pacific, or email and be told the aim is a reply by the end of the next business day. There are manuals for every app, a searchable article library, a public forum and a Slack group, and help is reachable from inside the apps themselves. Nothing is held back for a higher tier.
Ways to get help
Phone
A toll-free and a direct line for software help, open weekdays from 10am to 5pm Pacific time, with a menu option for technical support and another for sales. The numbers are given on the support page and the contact article.
Stated on support.omnigroup.comEmail
An address for software support and a separate one for sales and purchase questions, both given on the contact article. Omni asks for the app and its version and the device and its OS version, and prefers one message per issue.
Stated on support.omnigroup.comHelp inside the app
A Contact Omni option that Omni says is in all of its apps, OmniFocus included, as an alternative to writing to the support address yourself.
Stated on support.omnigroup.comHelp centre
A searchable library of support and sales articles written by Omni's own support team, filterable by app, alongside full manuals for OmniFocus and the other apps including previous versions.
Stated on support.omnigroup.comCommunity or forum
A public discussion forum and a Slack group that Omni links from the footer of every support page, where users and Omni staff talk about the apps.
Stated on discourse.omnigroup.com
Not listed on OmniFocus’s pages: live chat.
- When people answer
Omni's support page and its contact article both give phone hours of weekdays from 10am to 5pm Pacific time. No hours are stated for email, which is answered against the response target below.
Stated on support.omnigroup.com- How fast it says it replies
Omni says it does its best to respond to all queries by the end of the following business day, often sooner and sometimes longer, and that its first priority is mail from people who have bought a licence. It warns that around a new release it cannot promise to answer every message, and gives a separate address for urgent problems such as data loss, which it triages first without promising a quicker reply.
Stated on support.omnigroup.com- What depends on your plan
Omni does not sell support separately or split it by plan: the same phone line, addresses and articles are offered to everyone. The one difference it names is that mail from people who have bought a licence is answered before other mail.
Stated on support.omnigroup.com
In your favour
- A phone line to a person, with stated weekday hours, on every way of buying OmniFocus.
- Omni states a reply target of the end of the following business day, which few makers put in writing.
- Help can be reached from inside the app itself through Contact Omni.
- Full manuals, a searchable article library, a forum and a Slack group, all open to anyone.
Watch out for
- The phone line runs weekdays only, 10am to 5pm Pacific, which is awkward from most of the world.
- The next-business-day reply is a best effort, not a promise, and Omni says so.
- Around a new release Omni warns it cannot promise to answer every message.
- People who have bought a licence are answered first, so a trial user waits longer.
What these two grades rest on. Read on 18 October 2026: the Omni Group's refund policy, its support home page, its article on how to contact support, its article on how soon to expect a reply, its sales and licensing article library and its manuals index. The policy is the Omni Group's own rather than one written for OmniFocus alone. Nobody here cancelled a plan or contacted its support. They are graded apart from the five that make the GPA. How we grade refunds and support.
