Part 01 · Overview

Welcome

What it is, who it suits, its grades and the ten things to know first

3.4

GPA, above 48 of the 51 other docs and wiki tools we grade

XWiki is an open-source wiki platform, distributed under the LGPL license, for knowledge bases and intranets. Besides pages edited in a WYSIWYG editor with comments and a full history of changes, it lets teams add structured data, forms and small applications to the wiki and extend it with more than 700 extensions. The Community version is free to set up yourself, and XWiki SAS sells cloud hosting and support subscriptions priced in euros by team size.

To get you started, here are 9 things to know about XWiki, taken from its own pages and our grades.

  1. 1

Best for an open-source wiki you can build small apps in

The Community version is free to run yourself, with no vendor support and no Pro applications.

  2. 2

Paid plans start at about $28.86 a month

  5. 5

    WYSIWYG editing with history

Pages are edited in a WYSIWYG editor with link and macro editors and in-place editing. A full history of changes is kept, alongside comments, annotations and user mentions.

  6. 6

    Structured data and apps

AppWithinMinutes builds custom data structures by drag and drop. Entries are edited through forms and browsed in filterable tables that XWiki calls livetables.

  7. 7

    Permissions and sign-in

User and group management and an advanced permission system are built in. Paid plans add LDAP and Active Directory, then OIDC, Entra ID, CAS and SAML, and SCIM on Enterprise.

  8. 8

    A 3.4 GPA, above 48 of 51

That is against the other docs and wiki tools we grade, on value, the free plan, features, ease of use and platforms.

The report card

Best for an open-source wiki you can build small apps in

XWiki is an open-source wiki that adds structured data, forms and small apps to pages, with more than 700 extensions. The Community version is free to run yourself, with no vendor support and no Pro applications. Hosted plans are priced in euros from €309 a year for 10 users, SAML sign-in waits on Business at €11,216.70 a year, and support keeps office hours in CET.

ToolGPA report cardXWikiGraded Oct 10, 2026
SubjectGradeComment
Value for moneyAThe Community version costs nothing at all. Hosted, Starter is 309 € a year for 10 users and Basic 5,796.84 € a year for 100, which works out at 4.83 € a user a month against $6.30 for the cheapest quarter here. From Basic up, the same price covers XWiki Cloud or your own servers.
Free plan and trialAFree outright: the Community version is the open-source software with around 600 community extensions, yours to run for good. You go without XWiki SAS support and the Pro applications, and there's a free trial of XWiki Cloud whose length the pricing page never states.
FeaturesAA WYSIWYG editor with full history, comments, annotations and mentions, and then what most wikis lack: your own data structures built by drag and drop, with forms and filterable tables, backed by 700-plus extensions and Office import and PDF export.
Ease of useCNo app rating on record, and it's a lot of platform to meet: the free version is yours to download and run with no vendor support, and even on XWiki Cloud there are permissions, sub-wikis and extensions to work through. Support hours are 09:00 to 17:00 CET.
Platforms and integrationsBA web app, on XWiki Cloud or your own servers, with no phone or desktop apps listed. It connects to OnlyOffice, Office 365, OpenProject, draw.io, Active Directory and Entra ID, and the extensions stretch it further.
Grade point averageVery good, out of 4.03.4

An A is worth 4 points, a B 3, a C 2, a D 1 and an F nothing. The GPA is the average of the five.

Who XWiki is for

  • Fits if you want an open-source alternative to Confluence that you can host yourself
  • Works for wikis that need structured data and small apps, not only pages

Who it is not for

  • Skip it if you want a simple wiki with no setup, as the free version is yours to install and run with no vendor support
  • Pricey if you need SAML or OIDC sign-in, as Business is listed at €11,216.70 a year for 250 users, and SCIM needs Enterprise
  • Not for you if you need round-the-clock support, since hours are 09:00 to 17:00 CET on every paid plan
  • Tight if you're on Starter, which is cloud only, stops at 25 users and has one sub-wiki; Pro applications start on Basic
  • Watch out: prices are in euros from a calculator that scales with team size, the cloud trial's length isn't stated, and there are no apps

Good to know

Good for

  • Organizations that want an open-source alternative to Confluence
  • Teams that need structured data and small apps inside a wiki
  • Companies that have to host their wiki on their own servers

  • Paid plans are priced in euros by a calculator that scales with team size; Starter stops at 25 users and runs on XWiki Cloud only.
  • The free Community version comes without vendor support, and the XWiki Pro applications start on the Basic plan.
  • OIDC, Entra ID, CAS and SAML sign-in need the Business plan, and SCIM needs Enterprise.
  • Support hours on every paid plan are 09:00 to 17:00 CET.

Keep it, or make your own?

Whether this is something you could build for yourself with an AI app builder, and what you would give up.

Keep it

The plain part of XWiki you could make: wiki. What surrounds it you could not. The 4 things listed below take a company, not a weekend.

It is one of the better ones too: its GPA of 3.4 is higher than 48 of the 51 other docs and wiki tools we grade. It costs $346.27 a year. XWiki is open source, so there is a third way: take its code and run it yourself.

What you could make

  • Wiki: an app builder makes this well.

What you could not

  • Databases with views, filters and links between them.
  • It plugs into other products, OnlyOffice, Office 365 and OpenProject among them.
  • What a company asks for before it lets staff use something: single sign-on, SCIM and roles and permissions.
  • The depth: we grade its features A, which means it covers the whole job.

What this rests on. XWiki’s listing: what it does, where it runs, what it plugs into and what it costs. It is a judgement about the kind of software this is. We have not built a replacement for it, and making your own means looking after it too. How we decide, and every tool’s verdict.
