Part 01 · Overview
Welcome
What it is, who it suits, its grades and the ten things to know first
2.6
GPA, above 24 of the 40 other automation tools we grade
Zapier is an automation platform that links apps through workflows called Zaps: a trigger in one app starts actions in others. It connects more than 9,000 apps and surrounds the workflow builder with Tables, Forms, Canvas, AI agents, chatbots and an MCP server. Plans are priced by the number of tasks run each month, with user seats set by plan.
To get you started, here are 10 things to know about Zapier, taken from its own pages and our grades.
No store rating to go on, since it lives in the browser.
- 1
Best for connecting almost any two apps
Zapier connects more than 9,000 apps so one can set off another, with no code.
- 2
Paid plans start at $19.99 a month
As its pricing page puts it: $19.99 / month, billed annually, for 750 tasks ($29.99 billed monthly).
- 3
There is a free plan
100 tasks a month for 1 user, limited to two-step Zaps, with unlimited Zaps, Tables and Forms. Zapier checks for new data every 15 minutes.
- 4
It runs on Web
Web, with a browser extension too.
- 5
Zaps
Workflows that start from a trigger and run one or more actions. Free accounts are limited to two-step Zaps; Professional adds multi-step Zaps, filters, paths and webhooks.
- 6
App directory
Zapier connects more than 9,000 apps, including Google Sheets, Gmail, Slack and HubSpot. Premium apps are unlimited from the Professional plan.
- 7
Task-based billing
A standard step uses 1 task when it completes; triggers, polling and built-in tools such as Filters and Paths use none. Some steps use more: an MCP tool call 2, a Lead Router step 5, and AI steps 1 to 5 by model tier.
- 8
Refunds: no set window
All sales are final at Zapier, and its refund policy means it: monthly plans, yearly plans and renewals are each named, and a broken app or a missing feature doesn't change the answer. Nothing we read promises a reminder before a yearly renewal, so set one yourself.
- 9
A 2.6 GPA, above 24 of 40
That is against the other automation tools we grade, on value, the free plan, features, ease of use and platforms.
- 10
Keep it
To replace Zapier you would be making connections to other products, each kept working as those products change. That is not a weekend's work, with an AI app builder or without one.

The report card
Best for connecting almost any two apps
Zapier connects more than 9,000 apps so one can set off another, with no code. You pay by the task: the free plan stops at 100 a month with two-step Zaps, $19.99 buys 750 tasks for one user, AI steps can cost up to 5 tasks each, and overages are billed at a rate Zapier doesn't publish. Sharing Zaps means Team at $69, there's no phone app, and if Make has your apps it starts at $9.
| Subject | Grade | Comment |
|---|---|---|
| Value for money | C | $19.99 a month billed annually puts Zapier just past this category's $19 middle, so the price itself is ordinary. What it buys: 750 tasks and one user, where viaSocket gives 17,000 tasks for $18 and Make 5,000 credits for $9. You're paying for the app list, not the allowance. |
| Free plan and trial | C | Free forever, and the caps arrive almost immediately: 100 tasks a month, two steps per Zap, one user, and a check for new data only every 15 minutes. One small job will fit. Two won't. New accounts do get 14 days of Professional with no card. |
| Features | A | The app directory lists more than 9,000 apps, where Make lists about 3,000. On top of that: multi-step Zaps, filters, paths, webhooks, Tables, Forms, Canvas, AI agents and an MCP server. Multi-step Zaps, filters and paths need a paid plan. |
| Ease of use | C | No store rating to go on, since it lives in the browser. And it's a build job: apps to connect, then triggers, actions, filters and paths to think in. One Hacker News commenter called the whole thing an impenetrable mess aimed at marketers. |
| Platforms and integrations | B | A browser and a Chrome extension, and that's your lot. No phone app we could find and nothing for the desktop. What you get instead is connections: 9,000-plus apps, webhooks, an SDK and an MCP server for assistants like Claude and ChatGPT. |
An A is worth 4 points, a B 3, a C 2, a D 1 and an F nothing. The GPA is the average of the five.
Who Zapier is for
- Fits if one of your apps is obscure, since Zapier lists more than 9,000 of them
- Works for short chains, like a new Stripe payment adding a row in Google Sheets and pinging Slack
Who it is not for
- Pricey if you run thousands of tasks: AI steps cost up to 5 tasks each, and Professional tops out at $3,389 a month
- Tight if you're staying free, with 100 tasks a month, two steps per Zap and new data checked only every 15 minutes
- Watch out: overages are on by default at a higher rate Zapier doesn't publish, and Zaps pause at 3 times your limit
- Pricey if two of you want to share Zaps, because that means Team at $69 a month, while Make starts at $9
- Not for you if you want to build or fix automations from your phone or a desktop app, as there's neither
Good to know
Good for
- Connecting a wide range of cloud apps, including less common ones
- Solo users with light needs who can stay within 100 tasks a month
- Teams that want shared workflows with single sign-on and admin controls
Worth knowing
- The Free plan is limited to 100 tasks a month and two-step Zaps, and checks for new data only every 15 minutes.
- Free and Professional include a single user; sharing workflows with colleagues needs the Team plan.
- Cost rises with volume: Professional runs from $19.99 a month for 750 tasks to $3,389 a month for 2 million, billed annually.
- Tasks beyond the plan limit are billed per task at a higher rate that depends on plan and billing cycle; the rate is not published, and Zaps pause at 3 times the plan's limit.
Part 02 · Tips
Insider tips
What most people miss: ways to pay less, settings worth changing and the catches
6
Things most people miss, each from its own help pages
The things about Zapier that are easy to miss until they cost you: ways to pay less, settings worth changing and the catches at renewal or when you leave. Each one is from Zapier’s own pages, linked beside it.
Read on Oct 17, 2026. Read from Zapier's help centre (replaying runs, pay-per-task billing, the Zap editor, Zap history, exporting account data and the Free plan) on 17 October 2026. Not tried out: these tips are what its own pages say.
- 1
Setting
Turn on Autoreplay so failed runs retry themselves
On Professional, Team and Enterprise, Zapier can replay any run that errored, so a short outage in one app doesn't mean redoing it by hand. The switch is at the top right of the Zap Runs tab in Zap History. Each Zap can override it in its advanced settings.
help.zapier.com - 2
Pay less
Switch off pay-per-task if you'd rather Zaps stop than the bill grow
Accounts opened since January 2024 have it on, so runs carry on past your plan's tasks, up to three times the limit. That's 2,250 tasks on a 750 plan. Only the account owner can turn it off, under Billing and usage, Billing settings, Per-task billing.
help.zapier.com - 3
Easy to miss
Search a Zap for a value and swap it everywhere at once
The editor's search bar finds a value anywhere in a Zap's setup, and in edit mode it replaces it too. Handy when a Slack channel or sheet name changes. The left sidebar also has a change history of who edited, published or switched the Zap off.
help.zapier.com - 4
Privacy
Zap history is wiped after 29 to 69 days
Zapier only keeps the record of each run for 29 to 69 days, and only Enterprise can change that. If you need the records, Zap History lets you download up to 5,000 runs at a time as CSV or JSON, and the file is emailed to you.
help.zapier.com - 5
Leaving
Export my data gives you every Zap as a JSON file
Go to Settings, Security and data, then Export my data. You get an email with a zip that holds Zapfile.json, with every Zap you haven't deleted, plus links to download your run data. Worth doing before you cancel or move to another tool.
help.zapier.com - 6
Pay less
Free Tables stop at 2,500 records, and MCP shares your 100 tasks
Free gives you as many tables as you like, but its help page caps table records at 2,500 and forms at 10 pages. The 100 monthly tasks are shared between Zaps and anything an AI assistant does through Zapier MCP, so a chatty assistant can use them up.

Other automation tools it is graded above
Zapier's GPA of 2.6 is higher than 24 of the 40 other automation tools we grade, and level with 7.
It stands best on features (A, above 38 of 40) and worst on free plan and trial (C, above 2).
Its paid plans start at $19.99 a month, against a middle price of $18.50 for the category: 17 of the 29 others that charge start lower.
On features, ease of use and platforms it scores 3.0 out of 4. Nothing scores higher for less, though at least one tool matches that score at a lower price.

Keep it, or make your own?
Whether this is something you could build for yourself with an AI app builder, and what you would give up.
Keep it
To replace Zapier you would be making connections to other products, each kept working as those products change. That is not a weekend's work, with an AI app builder or without one.
It costs $239.88 a year.
What you could not
- Connections to other products, each kept working as those products change.
- Databases with views, filters and links between them.
- AI features, unless you pay a model provider for each request yourself.
- What a company asks for before it lets staff use something: single sign-on and SCIM.
- The depth: we grade its features A, which means it covers the whole job.
What this rests on. Zapier’s listing: what it does, where it runs, what it plugs into and what it costs. It is a judgement about the kind of software this is. We have not built a replacement for it, and making your own means looking after it too. How we decide, and every tool’s verdict.
Part 06 · Refunds
After you pay
Getting your money back, getting out, and getting help
What happens once you have paid: whether you can get your money back, how to leave, and how to reach a person when something goes wrong. Each is graded from Zapier’s own terms and help pages.
Refunds and cancelling
Ordinary · checked Oct 12, 2026
All sales are final at Zapier, and its refund policy means it: monthly plans, yearly plans and renewals are each named, and a broken app or a missing feature doesn't change the answer. Nothing we read promises a reminder before a yearly renewal, so set one yourself. What you do get is the ordinary way out: you leave by yourself at any time, keep what you paid for to the end of the cycle, and the account carries on with the Free plan. That's a C.
- Refund window
- No set window
- How you cancel
- Yourself, in settings
- Getting your money back
The refund policy says all sales are final: monthly and annual plans, plan upgrades, renewals and add-ons are non-refundable, and a charge is not refunded once processed. Charges after a trial ends are included, and a temporary app issue or a missing feature is described as typically non-refundable. The terms make fees non-refundable except as they expressly state or as the law requires.
Stated on help.zapier.com- How to cancel Zapier
There is no separate cancel button: you cancel by selecting the Free plan on the Billing and usage page, at any time. Its page on downgrades says the change is only scheduled once you finish the checkout step. The terms add that an email, chat or phone request does not count as cancelling, nor does removing your payment method. Add-ons are cancelled separately.
- Open the Billing and usage page
- Click the Manage button
- Select Zapier's Free plan
- What you keep afterwards
You keep the paid plan's features until the end of the billing cycle, monthly or annual, and the account then becomes a free Zapier account instead of closing. On the Free plan, Zaps with more than one action step are turned off and premium apps stop working, but existing data is not lost. Deleting the account is a separate step, which its own help article says cannot be undone.
Stated on help.zapier.com- Renewals
The terms say a subscription renews automatically for another term of the same length unless you downgrade or cancel before the renewal date, at the fees then current. The refund policy lists renewals among the charges that are not refunded and asks you to review your billing and renewal settings regularly. Neither page mentions a reminder before a renewal.
Stated on zapier.com
In your favour
- You can leave on your own at any time, from the Billing and usage page.
- You keep the paid features until the cycle you paid for ends.
- The account drops to the Free plan instead of closing, and your existing data stays.
- The 14-day trial for new users needs no card, so it can't bill you by surprise.
Watch out for
- All sales are final, and that includes a yearly renewal you forgot about.
- No reminder before a renewal is promised. The policy tells you to watch your own billing settings.
- There's no cancel button. You pick the Free plan and finish checkout, or nothing is scheduled.
- Asking support by email or chat to cancel doesn't count as cancelling, the terms say.
Customer support
Good · checked Oct 12, 2026
Pay Zapier anything and you can email a support team it says is there around the clock, which is more than most tools put in writing. Live chat with a real person exists too, on weekdays, but only from Professional's 2,000-task tier up. Smaller Professional plans write in, free users get the community forum, and no page gives a reply time. That's a B.
Ways to get help
Live chat
Live chat is described as real-time support from a person, 12 or more hours a day, 5 days a week. It starts at the Professional plan's 2,000-task tier and is included in Team and Enterprise.
Stated on zapier.comEmail
Paid plans include email support from the technical support team, 24 hours a day, 7 days a week. The comparison table shows it as not included in the Free plan.
Stated on zapier.comContact form or ticket
The Get Help page takes support requests. It asks you to log in first, so the support system can see your Zaps, or lets you continue without logging in.
Stated on zapier.comAccount manager
Enterprise can come with a Technical Account Manager, reached by email or on calls. The pricing page says one is included at a set threshold or as an optional add-on.
Stated on zapier.comHelp centre
The Help Center has written articles on getting started, plans and billing, Zaps, apps and the other Zapier products, open to everyone.
Stated on help.zapier.comCommunity or forum
The Zapier Community is a public forum with sections for how-to questions, troubleshooting, and code and webhooks. Zapier's help page on the Free plan names it as the help that plan includes.
Stated on community.zapier.com
Not listed on Zapier’s pages: phone.
- When people answer
The pricing page says email support runs 24 hours a day, 7 days a week. Live chat is described as 12 or more hours a day, 5 days a week, and screen sharing on Enterprise as Monday to Friday, 6am to 6pm EST.
Stated on zapier.com- How fast it says it replies
Its pages do not say.
- What depends on your plan
Free has no email support and relies on the community. Professional adds email support, and live chat from its 2,000-task tier upwards. Team and Enterprise add priority support, described as faster, prioritised responses. Enterprise adds screen sharing through live chat, and a Technical Account Manager at a set threshold or as an add-on.
Stated on zapier.com
In your favour
- Email support is stated as 24 hours a day, 7 days a week, on every paid plan.
- Live chat is with a person, 12 or more hours a day on weekdays.
- Team and Enterprise get priority support, which moves them up the queue.
- The Help Center and the Community forum are open to everyone, paying or not.
Watch out for
- Live chat only starts at Professional's 2,000-task tier, so the smallest paid plan is email only.
- Free users get no email support at all, just the community forum.
- No reply time is stated for anyone. Priority support is only described as faster.
- Screen sharing and a Technical Account Manager are Enterprise extras.
What these two grades rest on. Read on 12 October 2026: Zapier's terms of service, its refund policy, its help articles on cancelling, downgrading, deleting an account and the Free plan, its pricing page with the support comparison, and its Get Help page. ToolGPA grades software the way a school report grades a pupil: five subjects, a letter for each with the reason written beside it, and a GPA that averages them. Prices, plans and platforms are read from each maker’s own pages and dated, so you always know how fresh a figure is.
Every grade, review and ranking on ToolGPA is our own judgement. No company can pay for a grade or change one. Every tool on the site has a guide like this one, free to download and pass on. It all lives at toolgpa.com.
