How we grade them

2.6GPAEagleFilerGood2.8GPAKeep ItGood
Value for money
A$69.99, once, for one person or one computer. That's about a year of a typical notes subscription here, and maintenance releases and minor feature updates are free after that. A family in one household can share the 2-user licence at $111.98.
BThe Mac subscription is $2.99 or $29.99 and the iPhone and iPad one is $1.99 or $19.99, monthly or yearly by the look of it, though the listings don't label which. Cheap alone, about typical once you pay for both. The one-time Mac licence only shows its price at checkout.
Free plan and trial
CNo free plan. There's a fully functional 30-day trial, with reminders popping up now and then. The listing doesn't say it asks for a card. A month is enough to find out if it suits your filing.
CNo free plan. There's a 15-day trial of the direct Mac download and a two-week trial with the App Store subscriptions. The listing doesn't say whether a card is needed for the direct one. On iPhone and iPad a subscription is required after the trial.
Features
BA capture key for any app, email archiving from Apple Mail and Outlook, web pages saved as archives or PDF, search with Boolean operators, nested tags, smart folders and encrypted libraries. Solid. But it still leans on Rosetta 2 on Apple silicon, and nothing of its own syncs to a phone.
ANotes with checklists and attachments, Markdown and rich text files, web pages saved as PDFs, document scanning, PDF editing, nested folders, overlapping bundles, tags, and search that reads text inside scanned PDFs and images. For a personal library, that's the whole job.
Ease of use
BPress the capture key and the thing you're looking at is filed. Libraries are plain Finder folders, so there's no new system to learn. No App Store rating is on record to go by, so a B is as high as we go.
BYour items are plain files in the Finder and the Files app, so there's no new system to trust or learn. Sync goes through iCloud. No App Store rating is on record to go by, so a B is as high as we go.
Platforms and integrations
DMac only. On an iPhone or iPad you can read a library kept in cloud storage with apps such as Files, but there's no EagleFiler app. On the Mac it works with Apple Mail, Outlook, Alfred, LaunchBar and ScanSnap scanners.
CMac, iPhone and iPad, with hooks into Apple Mail, Safari, Shortcuts, AppleScript and Siri. All Apple, though. Sync is through iCloud only, so it can't be used with Dropbox or OneDrive, and there's no Windows, Android or web version.

Who each one suits

EagleFiler

  • Mac users running a paperless office or a long-term document archive
  • Moving large amounts of old email out of a mail program
  • People who want their files kept in standard formats in the Finder

Keep It

  • Mac users who want notes and reference documents in one library
  • People who want their files to stay visible in the Finder and Files app
  • Archiving web pages, PDFs and emails for offline reading and search

Worth knowing

EagleFiler

  • It is a Mac app only; on iPhone and iPad a library kept in cloud storage can be read with apps such as Files, but there is no EagleFiler app.
  • The app currently relies on Rosetta 2 on Apple silicon Macs; the vendor says a native rewrite will be finished before macOS 28.
  • Mac App Store purchases are single-user only and do not qualify for family packs, volume or educational discounts, or upgrade pricing.
  • Major version upgrades are free only within six months of buying the previous version; after that they are offered at a discount.

Keep It

  • It runs on Apple platforms only, and the iPhone and iPad app is always a separate purchase from the Mac app.
  • The iPhone and iPad app requires a subscription; the one-time license exists only for the Mac version bought from the vendor.
  • Sync is through iCloud only: it cannot be used with Dropbox, OneDrive or iCloud Drive, and it has a single library.
  • The one-time license covers the current major version (2.x), and its price is not shown until the store checkout.

Key features

EagleFiler

Capture from any app
Press a capture key to import the web page, mail messages or file you are viewing, or a quick-entry key to make a note without leaving the current app.
Email archiving
Archives mail from Apple Mail, Outlook and other clients with attachments and flags intact, stored in the standard mbox format or as individual .eml files.
Web page archiving
Saves pages as web archives, PDF, rich text or plain bookmarks along with the source URL, and imports bookmark lists from Safari, Pinboard and others.
Libraries in Finder format
Each library is made of regular files and folders in standard formats that other apps can open, with checksums to verify that nothing is lost or damaged.
Search, tags and smart folders
Its own index searches file contents and email attachments with Boolean operators and wildcards. Nested tags sync with Finder tags, and smart folders can run actions.
Encrypted libraries
A library can be encrypted with AES-128 or AES-256, including its metadata and indexes, and stays searchable once the passphrase has been entered.

Keep It

Notes and text files
Notes with styles, checklists, lists, links, images and attachments, plus rich text, plain text and Markdown files with an HTML preview.
Web links, PDFs and scans
Save web links as PDFs or web archives for offline reading, scan documents, and edit PDFs by reordering or removing pages and highlighting text.
Finder and Files integration
Everything is stored as files, folders and tags that can be managed in the Finder and in Open and Save panels on the Mac, and in the Files app on iPhone and iPad.
Folders, bundles, tags and labels
Organize items in nested folders, gather them into bundles that can overlap, and add tags and color labels. A Tag Filter narrows any list by tag.
Search and saved searches
Searches file contents, text recognized in scanned PDFs and images, and metadata, with suggestions as you type. Any search can be saved to the sidebar.
iCloud sync and sharing
The library can live in iCloud and be reached from all your Macs, iPhones and iPads, and top-level folders or single items can be shared with other Keep It users.
