The report card
Best for a docs and projects workspace on your own servers
AppFlowy is a workspace for documents, wikis and project databases that runs on AppFlowy's cloud or on your own servers, even ones cut off from the internet. On its cloud, Pro is $16 a member a month billed annually, and free is one owner with 100 MB. Self-hosted plans bill yearly only, the free self-hosted seat gets the web app alone, and the server is closed source under a commercial license.
| Subject | Grade | Comment |
|---|---|---|
| Value for money | D | The real way in on AppFlowy's own cloud is Pro at $16 a member a month billed annually, $20 monthly, and the dearest tenth of this category starts at $9.99. Cheaper is self-hosted One at $6, but that's one seat on a server you run yourself. |
| Free plan and trial | C | Free, and you'll feel the walls: one workspace owner, 100 MB of storage, 7 MB uploads, 7 days of version history, one form, one chart, no guest editors and no publishing. Free self-hosted is one seat and the web app only. |
| Features | B | A rich-text editor with more than 40 content types, real-time co-editing and comments, and databases you can show as a grid, kanban board, calendar, gallery or chart. The AI answers from your own pages, writes up meetings and will run on local models. |
| Ease of use | C | No store rating on record, and there's plenty to take in: databases with seven view types, guest editors, an admin panel. On the cloud you sign up and start a page. Hosting it yourself is a server job, not an afternoon. |
| Platforms and integrations | A | Web, Mac, Windows, Linux, iPhone and Android, the lot. Then Slack, Teams, Google Calendar, Gmail, Google Drive, GitHub, Jira and Zapier, with public APIs and MCP on top. |
An A is worth 4 points, a B 3, a C 2, a D 1 and an F nothing. The GPA is the average of the five.
Who AppFlowy is for
- Fits if your team needs docs and project boards on servers you control
- Works for teams whose rules say data must stay in one country or off the internet
Who it is not for
- Pricey if you want the hosted version for a team, at $16 a member a month billed annually or $20 monthly
- Tight if you're staying free on the cloud: 1 owner, 100 MB, 7 MB uploads, 7 days of history, no guest editors or publishing
- Not for you if you want fully open source, as the self-hosted server is closed source under a commercial license
- Watch out: self-hosted plans bill yearly only, and the free self-hosted seat gets the web app but no desktop or mobile apps
- Watch out: cloud Pro bills per member in each workspace, so two Pro workspaces are charged separately, and Enterprise has no published price
Good to know
Good for
- Teams that want a docs and projects workspace on their own servers
- Organizations with data residency or air-gapped requirements
- Individuals who want a free workspace that works offline
Worth knowing
- The cloud Personal plan is for 1 workspace owner with 100 MB of storage, and has no guest editors, page publishing or dashboards.
- Self-hosted plans are billed annually only, and the free self-hosted tier covers 1 user seat and the web app, not the desktop or mobile apps.
- The self-hosted server is a closed-source distribution under a commercial license; AppFlowy describes the product as open core.
- Cloud Pro is charged per member in each workspace, so two Pro workspaces are billed separately.

Keep it, or make your own?
Whether this is something you could build for yourself with an AI app builder, and what you would give up.
Keep it
The plain part of AppFlowy you could make: wiki. What surrounds it you could not. The 7 things listed below take a company, not a weekend.
That makes this kind of software worth paying for, not this one in particular: 98 of the 147 other note-taking apps grade higher. It costs $72 a year. AppFlowy is open source, so there is a third way: take its code and run it yourself.
What you could make
- Wiki: an app builder makes this well.
What you could not
- Databases with views, filters and links between them.
- Apps for macOS, Windows, Linux, iOS and Android that stay in step with each other.
- Several people working in it at the same moment.
- It plugs into other products, Slack, Microsoft Teams and Google Calendar among them.
- AI features, unless you pay a model provider for each request yourself.
- What a company asks for before it lets staff use something: single sign-on and SCIM.
- The depth: we grade its features B, which means it covers the whole job.
What this rests on. AppFlowy’s listing: what it does, where it runs, what it plugs into and what it costs. It is a judgement about the kind of software this is. We have not built a replacement for it, and making your own means looking after it too. How we decide, and every tool’s verdict.
