Welcome
What it is, who it suits, its grades and the ten things to know first
2.2
GPA, above 6 of the 123 other to-do list apps we grade
Firetask is a task manager for iPhone, iPad and Mac that follows a GTD-style flow: capture into an inbox, decide what is in focus, delegate to a Waiting For list or park things under Someday. It adds kanban boards, task calendars and a Pomodoro timer, and syncs through the user's own iCloud account. The current version, Firetask 5, is a free download that needs a Firetask Pro subscription after a one-month trial.
To get you started, here are 9 things to know about Firetask, taken from its own pages and our grades.
No store rating on record, and there's a GTD structure to lay out before it helps: inbox, focus, projects, portfolios.

The report card
Best for GTD with kanban boards on Apple devices
Firetask is a GTD app for iPhone, iPad and Mac with inbox, In Focus, Waiting For and Someday lists, kanban boards, a task calendar and a Pomodoro timer, synced through your own iCloud. There's no free plan: after a one-month trial it's $24.99 a year or $3.99 a month. It's Apple only, Firetask 4 users have to export and import their data and lose attachments and notes, and CSV import is Mac only.
| Subject | Grade | Comment |
|---|---|---|
| Value for money | B | $24.99 a year is $2.08 a month, inside the cheapest quarter of this category, and it covers iPhone, iPad and Mac with everything unlocked. Skip the $3.99 monthly plan: that's $47.88 over a year. |
| Free plan and trial | C | No free plan. New users get a month, and then it's Firetask Pro or nothing. Nothing on record says whether the trial asks for a card. |
| Features | C | On record: GTD lists, kanban boards sorted by status or due date, a task calendar, portfolios, templates, /tomorrow and @John while typing. But the vendor's own notes name the gaps. The free upgrade drops attachments, journal entries and status notes, and CSV import is Mac only. |
| Ease of use | C | No store rating on record, and there's a GTD structure to lay out before it helps: inbox, focus, projects, portfolios. Coming from Firetask 4 is worse again, as your data has to be exported and imported by hand. |
| Platforms and integrations | C | Apple only: iPhone, iPad and Mac, with iCloud sync and links to Apple Calendar and Reminders. No web, Windows or Android version, and no API on record. |
An A is worth 4 points, a B 3, a C 2, a D 1 and an F nothing. The GPA is the average of the five.
Who Firetask is for
- Fits if you follow GTD and use an iPhone, iPad and Mac
- Works for people who sort tasks by dragging cards between columns
Who it is not for
- Skip it if you use Windows, Android or a browser anywhere, as it's Apple only
- Not for you if you want a free plan, since the one-month trial ends in a subscription
- Pricey if you pay monthly, at $47.88 over a year against $24.99 for the yearly plan
- Watch out: moving from Firetask 4 means exporting and importing, and attachments, journal entries and status notes don't come across
- Watch out: CSV import is in the Mac app only, and there's no API on record
Good to know
Good for
- People who follow GTD on iPhone, iPad and Mac
- Users who like to review their tasks on a kanban board
- People who want tasks kept in their own iCloud with no separate account
Worth knowing
- Apple only: there are apps for iPhone, iPad and Mac, and sync runs through iCloud. No web, Windows or Android version is offered.
- After the one-month trial a Firetask Pro subscription is needed: $3.99 a month or $24.99 a year on the US App Store.
- Firetask 5 is a new app: Firetask 4 data must be exported and imported, and the free upgrade leaves out attachments, journal entries and status notes.
- CSV import is in the Mac app only; the manual says it will come to the iOS version.

Keep it, or make your own?
Whether this is something you could build for yourself with an AI app builder, and what you would give up.
Your call
A to-do list at its plainest is tasks with dates, repeats and a box to tick.
You could make the core of Firetask for yourself: tasks, kanban boards, Pomodoro timer, calendar and templates. What you would give up is listed below. Whether that is worth the price is your call. At $24.99 a year it costs less than the weekend it would take to replace, which is the argument for keeping it.
What you could make
- Tasks, kanban boards, Pomodoro timer, calendar and templates: an app builder makes these well.
What you could not
- Apps for macOS and iOS that stay in step with each other.
What this rests on. Firetask’s listing: what it does, where it runs, what it plugs into and what it costs. It is a judgement about the kind of software this is. We have not built a replacement for it, and making your own means looking after it too. How we decide, and every tool’s verdict.
