Part 01 · Overview

Welcome

What it is, who it suits, its grades and the ten things to know first

3.0

GPA, above 25 of the 30 other whiteboard and mind map tools we grade

Miro is an online whiteboard where teams brainstorm, diagram and plan on a shared canvas. Besides sticky notes and shapes, a board can hold docs, tables, timelines, kanban boards and slides, and the built-in AI generates diagrams, tables and summaries from board content. Paid plans add private boards and facilitation tools, and the Business plan adds two-way sync with trackers such as Jira and Asana.

To get you started, here are 9 things to know about Miro, taken from its own pages and our grades.

There are templates for workshops, and anyone who has ever stuck a note on a wall knows the basics.
From our grade for ease of use
  1. 1

As its pricing page puts it: $8 per member / month, billed yearly.

  3. 3

    There is a free plan

Web, macOS, Windows, iOS and Android.

  5. 5

    Canvas with built-in formats

Docs, tables, timelines, kanban boards and slides sit on the same board as sticky notes, shapes and drawings, and are available on every plan including Free.

  6. 6

    Diagramming shape libraries

The Business plan adds more than 4,700 shapes for mapping technical systems, cloud infrastructure and business processes, covering Mermaid, UML, AWS and BPMN.

That is against the other whiteboard and mind map tools we grade, on value, the free plan, features, ease of use and platforms.

The report card

Best for team workshops on one big shared board

Miro is a shared whiteboard where sticky notes, diagrams, docs, tables, kanban boards and slides sit on one canvas, with apps for most devices. The free plan keeps only your 3 most recent boards editable, with no guests. Technical shapes, Jira sync and SSO need Business at $20 a member, AI credits are metered with no rollover, and there's no Linux app.

ToolGPA report cardMiroGraded Oct 10, 2026
SubjectGradeComment
Value for moneyCStarter is $8 a member a month billed yearly, which is squarely in the middle of this category: the cheaper quarter starts at $5.00 and the dearer quarter at $9.99. The 4,700 technical shapes and two-way Jira sync are Business at $20.
Free plan and trialCFree gives you unlimited team members, templates and the Docs, Tables, Slides and Kanban formats. But only your 3 most recent boards stay editable, every board is open to the whole team, there are no guest or visitor roles, and AI is 10 credits a month.
FeaturesAThe whole job, plus a set the other boards here don't have: docs, tables, timelines, kanban boards and slides are formats of their own on the same canvas as the sticky notes, on every plan including free. Paid adds a timer, voting, AI that draws diagrams and clusters notes, and 4,700 UML, AWS and BPMN shapes.
Ease of useB4.69 on the App Store from 5,812 ratings, a whisker under the 4.7 an A asks for. There are templates for workshops, and anyone who has ever stuck a note on a wall knows the basics.
Platforms and integrationsAWeb, Mac, Windows, iPhone and Android, so every device type, and 250+ integrations including Jira, Confluence, Slack, Microsoft 365 and Google Workspace, plus an API. No Linux app is listed.
Grade point averageVery good, out of 4.03.0

An A is worth 4 points, a B 3, a C 2, a D 1 and an F nothing. The GPA is the average of the five.

Who Miro is for

  • Fits if you run remote workshops, retrospectives and brainstorms with a whole team
  • Works for product and engineering people mapping a process or a system together

Who it is not for

  • Tight if you're never paying, since only your 3 most recent boards stay editable and there are no guests
  • Pricey if you need the technical diagram shapes, Jira sync or SSO, which start at $20 a member on Business
  • Not for you if you lean on AI all day, as credits are metered monthly and don't roll over
  • Watch out: on Free every board is open to the whole team, and Enterprise starts at 30 members
  • Skip it if you're on Linux and want a desktop app, as none is listed

Good to know

Good for

  • Remote workshops, retrospectives and brainstorming sessions
  • Product and engineering teams mapping processes and systems
  • Teams that plan sprints on a board synced with Jira or Asana

Worth knowing

  • On the Free plan only the 3 most recent boards stay editable, every board is open to the whole team, and there are no guest or visitor roles.
  • The technical diagramming shapes, two-way integrations, SSO and AI workflows start at Business, $20 per member / month billed yearly.
  • AI use is metered: 10 credits a month on Free, 25 per member on Starter and 50 per member on Business, with no rollover.
  • The download page lists Mac, Windows, iOS and Android apps but no Linux app.

Part 02 · Tips

Insider tips

What most people miss: ways to pay less, settings worth changing and the catches

7

Things most people miss, each from its own help pages

The things about Miro that are easy to miss until they cost you: ways to pay less, settings worth changing and the catches at renewal or when you leave. Each one is from Miro’s own pages, linked beside it.

Read on Oct 17, 2026. Read from Miro's help centre (Free plan, billing, cancelling, board backups and shortcuts) on 17 October 2026. Not tried out: these tips are what its own pages say.

  1. 1

    Leaving

Cancel a paid plan and every board goes view-only until you act

When a cancelled Starter or Business plan runs out, all the team's boards are locked in view-only mode. Nothing is deleted, but to edit again you downgrade to Free, where only your 3 newest boards stay editable, or pay again. Miro doesn't refund unused time.

    help.miro.com
  2. 2

    Renewal

On yearly billing, removing people only saves money at renewal

Miro's billing page says removing licences on a yearly plan takes effect at your next renewal, while adding one sends a prorated true-up invoice, monthly if you pay by card. Cards are charged at the end of each cycle, so cancel before then if you're done.

    help.miro.com
  3. 3

    Easy to miss

Download a backup of each board while you're still paying

On paid plans, a board's owner or co-owner can save a .rtb backup from the board menu, Board, Export, Download board backup, and load it into any paid team later. It's one board at a time, up to 1 GB each.

    help.miro.com
  4. 4

    Privacy

On the free plan, inviting someone lets them see every board

Anyone you invite to a board by email on Free is added to your team and can see all its boards, as Free has no private boards. If you only want them to look, set team access to Can view in the board's Share dialog. Remove people in Team settings, Active users.

    help.miro.com
  5. 5

    Pay less

Share boards with visitors rather than buying them a seat

Every team member needs a licence, but Miro's billing page says sharing boards with visitors or guests doesn't cost extra. If a client or freelancer only needs one board, share it with them rather than adding them to the team.

    help.miro.com
  6. 6

    Shortcut

Cmd+K finds any tool, and F1 lists every shortcut

Cmd+K (Ctrl+K on Windows) opens the command palette. N picks sticky notes and Enter keeps adding them, Option+1 (Alt+1) zooms to fit the board, and Cmd+Shift+L locks what you've selected. F1 shows the rest.

    help.miro.com
  7. 7

    Pay less

On Free you can't pick which 3 boards stay editable

It's always the team's 3 most recently created boards, and older ones lock to view-only. Miro's help suggests deleting boards you don't need or duplicating a locked one to get it editable again. Remember the limit is per team, not per person.

25/30

Other whiteboard and mind map tools it is graded above

Miro's GPA of 3.0 is higher than 25 of the 30 other whiteboard and mind map tools we grade, and level with 2.

It stands best on features (A, above 27 of 30) and worst on free plan and trial (C, above 1).

Its paid plans start at $8 a month for each person, against a middle price of $8.29 for the category: 10 of the 23 others that charge start lower.

On features, ease of use and platforms it scores 3.7 out of 4, and no tool on the category's chart scores higher without costing more.

Keep it, or make your own?

Whether this is something you could build for yourself with an AI app builder, and what you would give up.

Keep it

The plain part of Miro you could make: mind mapping and templates. What surrounds it you could not. The 7 things listed below take a company, not a weekend.

It is one of the better ones too: its GPA of 3.0 is higher than 25 of the 30 other whiteboard and mind map tools we grade. It costs $96 a year.

What you could make

  • Mind mapping and templates: an app builder makes these well.

What you could not

  • An endless canvas that stays smooth with hundreds of things on it.
  • A diagram editor.
  • Apps for macOS, Windows, iOS and Android that stay in step with each other.
  • Several people working in it at the same moment.
  • It plugs into other products, Jira, Confluence and Slack among them, and has an API.
  • AI features, unless you pay a model provider for each request yourself.
  • The depth: we grade its features A, which means it covers the whole job.

What this rests on. Miro’s listing: what it does, where it runs, what it plugs into and what it costs. It is a judgement about the kind of software this is. We have not built a replacement for it, and making your own means looking after it too. How we decide, and every tool’s verdict.
