Part 01 · Overview

Welcome

What it is, who it suits, its grades and the ten things to know first

2.4

GPA, above 2 of the 12 other shift scheduling apps we grade

RotaCloud is a UK staff rota app from York used by care homes, hospitality, retail, vets and dental practices. Managers build rotas by drag and drop from templates and see labor costs as they go, staff swap shifts and request leave in the mobile app, and an optional Time & Attendance add-on handles clocking in, timesheets and payroll exports. Prices rise in bands by the number of employees.

To get you started, here are 9 things to know about RotaCloud, taken from its own pages and our grades.

It's priced by headcount band in pounds, and clocking in is an add-on.

The report card

Best for UK care, hospitality and retail rotas

RotaCloud is a UK rota app with drag-and-drop scheduling, labor costs as you plan, and a staff app for swaps and leave. It's priced by headcount band in pounds, and clocking in is an add-on. Worth a look for a UK team of up to a few dozen; elsewhere, the pound-only prices are a nuisance.

ToolGPA report cardRotaCloudGraded Oct 18, 2026
SubjectGradeComment
Value for moneyCStandard is £40 a month at 11 to 20 employees, or £400 a year paid yearly, so 15 staff cost about £33 a month. Prices are in pounds only. That's near the middle of this category, and clocking in costs £18 a month more at that size.
Free plan and trialCNo free plan, but a 30-day trial with no payment details needed. Long enough to run a month of real rotas before you pay.
FeaturesBRota templates, labor costs as you plan, holiday, TOIL and absence tracking, shift swaps and reports on Standard. Pro adds labor forecasting against sales and budget caps. Clocking in, timesheets and payroll exports are a paid add-on.
Ease of useCNo App Store rating to go on, as its app has too few ratings on record. Rotas are built by drag and drop from templates, but teams, roles and leave rules need setting up first.
Platforms and integrationsBWeb, iPhone and Android. It connects to Sage, PayCaptain, Staffology, Breathe, People HR, Tevalis, Google Calendar and Zapier, and has an API. Mostly UK payroll and HR tools.
Grade point averageFair, out of 4.02.4

An A is worth 4 points, a B 3, a C 2, a D 1 and an F nothing. The GPA is the average of the five.

Who RotaCloud is for

  • Great if you run a UK care home, pub or shop and plan rotas weekly
  • Handy when you want to see labor costs while you build the rota
  • Good for teams already paying staff through Sage, Staffology or PayCaptain

Who it is not for

  • Not for you if you pay in dollars, as prices are in pounds only
  • Pricey if you need clocking in, since Time & Attendance costs extra at every size
  • Skip it if you want a free plan, as there's only the 30-day trial

Good to know

Good for

  • UK care homes, vets and dental practices planning staff rotas
  • Employers tracking holiday, TOIL and sickness beside the rota
  • Small teams that want to add clocking in only if they need it

Worth knowing

  • Prices are shown in pounds sterling only; the site gives no dollar price.
  • Clocking in and timesheets are a Time & Attendance add-on, priced by the same headcount bands: £4.50 a month for up to 5 employees, £18 at 11 to 20 and £45 at 41 to 50.
  • Text message notifications are a further add-on: £2 a month for up to 5 employees, £8 at 11 to 20 and £20 at 41 to 50; email and push are included.
  • There is no free plan, and businesses with more than 500 employees need a custom quote.

Keep it, or make your own?

Whether this is something you could build for yourself with an AI app builder, and what you would give up.

Keep it

The plain part of RotaCloud you could make: time off, reports and employee records. What surrounds it you could not. The 5 things listed below take a company, not a weekend.

That makes this kind of software worth paying for, not this one in particular: 8 of the 12 other shift scheduling apps grade higher. It costs $158.64 a year.

What you could make

  • Time off, reports and employee records: an app builder makes these well.

What you could not

  • A rota the whole staff sees on their phones, with swaps and alerts.
  • Clocking in from a phone, checked against where and when.
  • A real app for iOS and Android. Something home-made would be a web page.
  • It plugs into other products, Sage, PayCaptain and Staffology among them, and has an API.
  • The depth: we grade its features B, which means it covers the whole job.

What this rests on. RotaCloud’s listing: what it does, where it runs, what it plugs into and what it costs. It is a judgement about the kind of software this is. We have not built a replacement for it, and making your own means looking after it too. How we decide, and every tool’s verdict.
