Part 01 · Overview
Welcome
What it is, who it suits, its grades and the ten things to know first
2.8
GPA, above 40 of the 48 other CRM tools we grade
Salesforce is a cloud CRM platform. Its Sales Cloud product covers lead, account, contact and opportunity management, forecasting, quoting and process automation, with Agentforce AI agents on the higher editions. Very small teams can start on the Free Suite or the Starter and Pro suites, which combine sales, service, marketing and commerce tools, while the Core, Advanced and Max editions are aimed at larger sales organizations.
To get you started, here are 10 things to know about Salesforce, taken from its own pages and our grades.
- 1
Best for big sales teams that need forecasting and depth
Salesforce covers forecasting, territories, quotes, automation and AI agents for large sales teams, with a free suite for two people and a $25 Starter plan.
- 2
Paid plans start at $25 a month for each person
As its pricing page puts it: $25 per user / month, billed monthly or annually.
- 3
There is a free plan
Free Suite: 2 user licenses with lead, opportunity and case management, up to 100 marketing emails a month and connected Slack conversations. No credit card; stays free if you log in at least once every 60 days.
- 4
It runs on 3 platforms
Web, iOS and Android, with a browser extension too.
- 5
Lead and opportunity management
Leads, accounts, contacts and opportunities are tracked on every edition, with lead routing, duplicate blocking and web-to-lead capture. Quotes, contracts and orders start at Pro Suite.
- 6
Forecasting and pipeline inspection
Pro Suite includes sales forecasting. Core and above add advanced forecast and pipeline management, pipeline inspection, opportunity scoring, deal insights and sales territories.
- 7
Agentforce AI agents
Agentforce agents take on lead nurturing, prospecting and pipeline management. They are included in Max and listed as an add-on from $125 per user / month on Core and Advanced.
- 8
Refunds: no set window
This is a contract, not a subscription you click off. The master agreement says fees are non-refundable and payment obligations non-cancelable, you cannot cut seats part-way through a term, and the thing renews for another full year unless somebody writes in at least 30 days before the end.
- 9
A 2.8 GPA, above 40 of 48
That is against the other CRM tools we grade, on value, the free plan, features, ease of use and platforms.
- 10
Keep it
To replace Salesforce you would be making connections to other products, each kept working as those products change. That is not a weekend's work, with an AI app builder or without one.

The report card
Best for big sales teams that need forecasting and depth
Salesforce covers forecasting, territories, quotes, automation and AI agents for large sales teams, with a free suite for two people and a $25 Starter plan. The trouble is the next step: quoting and forecasting need Pro Suite at $100 a seat on a yearly contract, the API is $25 a seat extra there, Agentforce is an add-on below Max at $550, and commenters call it overly complex.
| Subject | Grade | Comment |
|---|---|---|
| Value for money | D | Starter Suite is $25 a seat, the middle for this category. Then it quadruples: quoting and forecasting wait for Pro Suite at $100 a seat on an annual contract, where the API is another $25 a seat unless you go up to Core at $195. Max is $550. |
| Free plan and trial | B | The Free Suite covers 2 people with leads, opportunities, cases, reports and up to 100 marketing emails a month, no card needed. Two seats is tight for a sales team, and you have to log in every 60 days to keep it. |
| Features | A | Leads, accounts, opportunities, quotes, forecasting, territories, drag-and-drop automation, dashboards and Agentforce AI agents, and firms build their own apps on top of it. It covers more of the job than any other CRM here, but much of it starts at Pro Suite or higher. |
| Ease of use | B | 4.75 from about 353,000 App Store ratings, a score that would normally take our top mark. What holds it back is on record too: Hacker News commenters call the platform overly complex, and reviewers say the phone app buries everyday actions several steps deep. |
| Platforms and integrations | B | Web, iPhone, iPad and Android, with a browser extension from Pro Suite but no desktop app. Every edition connects to Slack, and it works with Tableau, Gmail, Outlook and MuleSoft. There's an API, included from Core and an extra $25 a seat on Pro Suite. |
An A is worth 4 points, a B 3, a C 2, a D 1 and an F nothing. The GPA is the average of the five.
Who Salesforce is for
- Fits if you run a sales team that needs forecasting, territories and lots of customizing
- Works for companies that want sales, service and marketing on one platform
Who it is not for
- Pricey if you outgrow Starter, since Pro Suite is $100 a seat, billed yearly, on a contract
- Pricey if you want AI agents, as Agentforce is an add-on from $125 a seat below Max at $550
- Not for you if you want something simple, because commenters keep calling it overly complex
- Tight if you stay free: 2 users, 100 marketing emails a month, and a login every 60 days to keep it
- Watch out: on Pro Suite the API is $25 a seat extra and Flow Builder stops at 5 flows
Good to know
Good for
- Sales organizations that need forecasting, territories and deep customization
- Very small teams that want a free CRM for 2 users
- Companies that want sales, service and marketing on one platform
- Teams planning to put AI agents to work across the sales cycle
Worth knowing
- The Free Suite covers only 2 users and 100 marketing emails a month, and stays free only with a login at least every 60 days.
- Only Starter Suite can be billed monthly. Pro Suite, Core, Advanced and Max are billed annually, and Pro Suite requires a contract.
- On Pro Suite the Web Services API costs an extra $25 per user / month and Flow Builder is limited to 5 flows per org.
- Agentforce for Sales is a paid add-on on Core and Advanced, listed from $125 per user / month; only Max includes it.
What people say
- 4.8on the App Store, from 353,414 ratings
What they like
- Some commenters who have worked with the platform defend its engineering, given how many heavily customised customer setups it has to keep running.
What they don’t
- Commenters call it overly complex, with one saying it tries to be everything to everyone and another that a small part of it would satisfy most of its users.
- Developers in the comments describe connecting other systems to it and working with its data as painful, from many overlapping APIs to custom fields whose meaning is hard to trace.
- Reviewers of the phone app say it is much harder to get around than the desktop version, with records and everyday actions buried several steps deep.
10 App Store reviews of the phone app, seven of them more than three years old, and about 25 Hacker News comments from September and October 2026, most in one thread about an outage

40/48
Other CRM tools it is graded above
Salesforce's GPA of 2.8 is higher than 40 of the 48 other CRM tools we grade, and level with 7.
It stands best on features (A, above 45 of 48) and worst on value for money (D, above 0).
Its paid plans start at $25 a month for each person, against a middle price of $24 for the category: 25 of the 46 others that charge start lower.
On features, ease of use and platforms it scores 3.3 out of 4. 1 tool scores higher and costs less.

Keep it, or make your own?
Whether this is something you could build for yourself with an AI app builder, and what you would give up.
Keep it
To replace Salesforce you would be making connections to other products, each kept working as those products change. That is not a weekend's work, with an AI app builder or without one.
It is one of the better ones too: its GPA of 2.8 is higher than 40 of the 48 other CRM tools we grade. It costs $300 a year.
What you could make
- Sales pipeline and reports: an app builder makes these well.
What you could not
- Connections to other products, each kept working as those products change.
- An AI agent, with the models and the safeguards behind it.
- A real app for iOS and Android. Something home-made would be a web page.
- It is priced for each person, which means accounts and billing for a team.
- The depth: we grade its features A, which means it covers the whole job.
What this rests on. Salesforce’s listing: what it does, where it runs, what it plugs into and what it costs. It is a judgement about the kind of software this is. We have not built a replacement for it, and making your own means looking after it too. How we decide, and every tool’s verdict.
Part 05 · Refunds
After you pay
Getting your money back, getting out, and getting help
What happens once you have paid: whether you can get your money back, how to leave, and how to reach a person when something goes wrong. Each is graded from Salesforce’s own terms and help pages.
Refunds and cancelling
Weak · checked Oct 18, 2026
This is a contract, not a subscription you click off. The master agreement says fees are non-refundable and payment obligations non-cancelable, you cannot cut seats part-way through a term, and the thing renews for another full year unless somebody writes in at least 30 days before the end. No public page shows a cancel button. Money back only arrives if you end the agreement because Salesforce breached it. That is a D.
- Refund window
- No set window
- How you cancel
- By writing to them
- Getting your money back
The Main Services Agreement says fees are based on subscriptions purchased rather than usage, that payment obligations are non-cancelable and fees paid are non-refundable, and that quantities bought cannot be decreased during the term. The only refund it describes is on termination for cause: if the customer ends the agreement over an uncured material breach, Salesforce refunds prepaid fees for the rest of the term.
Stated on salesforce.com- How to cancel Salesforce
The agreement describes no cancel button. A subscription ends by one party giving the other written notice, which it says may be by email, at least 30 days before the end of the term; otherwise it renews. The pricing FAQ says to contact a sales representative if your needs change, and the contact page says users with the right permissions can self-manage licences and renewals in the Your Account app.
Stated on salesforce.com- What you keep afterwards
The agreement says that if the customer asks within 30 days after the agreement ends, Salesforce will make the customer's data available for export or download as the documentation describes. After that 30-day window it says it has no obligation to keep or provide the data and will delete or destroy its copies, unless the law stops it.
Stated on salesforce.com- Renewals
The agreement says subscriptions renew automatically for further one-year terms unless either side gives written notice, email accepted, at least 30 days before the term ends. Promotional or one-time prices renew at Salesforce's list price at the time, and a renewal with fewer seats or a shorter term is re-priced without regard to the old per-unit price. Nothing in it promises a reminder before a renewal.
Stated on salesforce.com
In your favour
- Notice by email counts as written notice, so you do not have to post a letter.
- You get 30 days after the end to ask for your data and export it.
Watch out for
- Fees are non-refundable and payment obligations are non-cancelable. A year paid is a year gone.
- Miss the 30-day notice window and the subscription renews for another full year.
- You cannot reduce the number of seats part-way through a term.
- An introductory or promotional price renews at Salesforce's list price instead.
Customer support
Ordinary · checked Oct 18, 2026
Every licence includes the Standard Success Plan, so anyone paying can log a case and read a very large help centre. What is missing is any promise about Standard: Salesforce says hours and target response times vary by plan and then gives numbers only for the paid tiers. One hour for business-impacting issues on Premier, 15 minutes on Signature, and Premier costs 30% of your licence fees on top. Help for everyone, speed for extra: a C.
Ways to get help
Contact form or ticket
Cases are logged through Salesforce Help. The Success Plans FAQ says all three plans provide case and incident support, and that hours of operation and target response times vary by plan.
Stated on salesforce.comAccount manager
The Signature Success Plan comes with a designated Customer Success Manager who gives proactive recommendations and brings in technical experts. It is priced by talking to an account executive.
Stated on salesforce.comHelp centre
The Standard Success Plan, included in every licence, covers Salesforce Help with its knowledge articles and troubleshooting videos, developer documentation with sample code and release notes, and Trailhead's free on-demand courses.
Stated on salesforce.comCommunity or forum
The global Trailblazer Community is listed as part of the Standard Success Plan, and the contact page links further communities for Slack, MuleSoft, Tableau and partners, plus IdeaExchange for feedback.
Stated on salesforce.com
Not listed on Salesforce’s pages: live chat, phone.
- When people answer
The Success Plans page says Premier gives access to 24/7 support for business-stopping issues, and that Signature gives help 24/7 including holidays and weekends. Its FAQ says hours of operation vary by Success Plan. No hours are stated for the Standard plan that comes with every licence.
Stated on salesforce.com- How fast it says it replies
The Success Plans page says Premier aims to get you a response within one hour for business-impacting issues, and that Signature has 15-minute response times for critical business-stopping issues. No target is stated for the Standard plan, and the FAQ says target response times vary by plan.
Stated on salesforce.com- What depends on your plan
Three Success Plans. Standard is included in all licences and is self-guided resources plus case support. Premier costs 30% of net licence fees, is bundled with Unlimited Edition, and adds onboarding, expert coaching and expedited support. Signature is priced through an account executive and adds a designated Customer Success Manager, architect reviews and the fastest response times.
Stated on salesforce.com
In your favour
- Case support is included with every licence, not sold separately.
- The free material is enormous: knowledge articles, developer docs and Trailhead courses.
- Premier and Signature put real numbers on response times, one hour and 15 minutes.
- The Trailblazer Community is large, public and free to join.
Watch out for
- Nothing is promised to Standard customers: no hours, no target response time.
- Premier costs 30% of your net licence fees on top of the licences themselves.
- Signature has no public price at all, only an account executive to ask.
- The 24/7 cover is framed around business-stopping issues, not everyday questions.
What these two grades rest on. Read on 18 October 2026: the Salesforce Main Services Agreement, a PDF on its legal site, covering fees, term, renewal, termination and data return, the Success Plans page and its FAQ, the Sales Cloud and small-business pricing FAQs, and the contact page. The contact page's own body and the help centre's articles load only with scripts and were not read. Nobody here cancelled a plan or contacted its support. They are graded apart from the five that make the GPA. How we grade refunds and support.

About ToolGPA
Who made this guide, what else is on the site, and how to cite it

Tools graded, in 94 categories
ToolGPA grades software the way a school report grades a pupil: five subjects, a letter for each with the reason written beside it, and a GPA that averages them. Prices, plans and platforms are read from each maker’s own pages and dated, so you always know how fresh a figure is.
Every grade, review and ranking on ToolGPA is our own judgement. No company can pay for a grade or change one. Every tool on the site has a guide like this one, free to download and pass on. It all lives at toolgpa.com.
