Part 01 · Overview
Welcome
What it is, who it suits, its grades and the ten things to know first
2.6
GPA, above 48 of the 123 other to-do list apps we grade
Smart Tasks is a personal to-do list and weekly planner for iPhone, iPad, Mac and Apple Watch, built by a solo developer. Tasks are sorted into color-coded categories and laid out day by day on a Next 7 Days screen, with Apple Calendar events shown above each day's tasks. The core app is free and needs no account. An optional Smart Tasks+ subscription adds reminders, routines, notes and iCloud sync.
To get you started, here are 9 things to know about Smart Tasks, taken from its own pages and our grades.
No account, no sign-up, and a task can be ticked off from a Home Screen widget without the app being opened.

The report card
Best for a color-coded week of tasks on Apple devices
Smart Tasks is a color-coded to-do list for iPhone, iPad, Mac and Apple Watch, with a Next 7 Days screen that puts each day's calendar events above its tasks. But reminders, routines, notes and iCloud sync all need the paid tier at $17.99 a year, there's no Family Sharing or sync between Apple IDs, and there's nothing for Windows, Android or the web.
| Subject | Grade | Comment |
|---|---|---|
| Value for money | B | $17.99 a year is about $1.50 a month, inside this category's cheaper quarter of $2.42, and one subscription covers every device on your Apple ID. Pay monthly at $2.99 and you'd spend double over a year, so don't. |
| Free plan and trial | C | Free with no account, and you get tasks, colour-coded categories, Next 7 Days, widgets, calendar events, Siri and Shortcuts. But reminders, routines, notes, unlimited categories and iCloud sync are all Smart Tasks+, and a to-do list that can't remind you is a tight one. |
| Features | C | It covers a personal week: 42 category colors, calendar events above each day's tasks, a Whenever list for undated things, widgets you can tick from and an Apple Watch app. The limits are real, with no sharing between Apple IDs and no Family Sharing for the subscription. |
| Ease of use | A | 4.74 from 4,500 App Store ratings. No account, no sign-up, and a task can be ticked off from a Home Screen widget without the app being opened. |
| Platforms and integrations | C | One family of devices: iPhone, iPad, Mac and Apple Watch, with Apple Calendar, Reminders, iCloud, Siri and Shortcuts. The FAQ says it's unavailable on Windows and Android, and there's no web version. |
An A is worth 4 points, a B 3, a C 2, a D 1 and an F nothing. The GPA is the average of the five.
Who Smart Tasks is for
- Fits if you're on Apple devices and plan a week at a time by color-coded category
- Works for students who give each class its own color and want calendar events beside tasks
Who it is not for
- Skip it if you use Windows or Android, as the FAQ says it's unavailable there and there's no web version
- Tight if you're staying free, because reminders, routines, notes, iCloud sync and unlimited categories all need the paid tier
- Not for you if you share lists with family, since tasks can't sync between Apple IDs and there's no Family Sharing
- Pricey if you pay monthly, as $2.99 a month comes to about double the $17.99 yearly price
- Watch out: the site shows no prices, and the App Store lists three more paid items, $1.99 to $11.99, with no period
Good to know
Good for
- Apple users who plan a week at a time and want it color-coded
- Students who give each class its own color
- People who want a to-do list with no account or sign-up
- Seeing calendar events and tasks on one screen
Worth knowing
- Apple only: the FAQ says Smart Tasks is unavailable on Windows and Android, and there is no web version.
- Reminders, routines, notes, iCloud sync and unlimited categories all require the Smart Tasks+ subscription.
- Smart Tasks+ does not support Family Sharing, and tasks cannot be synced between different Apple IDs.
- The vendor's site gives no prices and points to the in-app subscription screen; the figures here are from the US App Store listing.

Keep it, or make your own?
Whether this is something you could build for yourself with an AI app builder, and what you would give up.
Keep it
The plain part of Smart Tasks you could make: tasks and calendar. What surrounds it you could not. The 3 things listed below take a company, not a weekend.
It costs $17.99 a year.
What you could make
- Tasks and calendar: an app builder makes these well.
What you could not
- Apps for macOS and iOS that stay in step with each other.
- It plugs into other products, Apple Calendar, Apple Reminders and iCloud among them.
- Hooks into the device itself: an Apple Watch app, widgets and the lock screen.
What this rests on. Smart Tasks’s listing: what it does, where it runs, what it plugs into and what it costs. It is a judgement about the kind of software this is. We have not built a replacement for it, and making your own means looking after it too. How we decide, and every tool’s verdict.
