Part 01 · Overview

What it is, who it suits, its grades and the ten things to know first

2.8

GPA, above 12 of the 17 other accounting and invoicing tools we grade

Square Invoices is the invoicing part of Square, the payments and point-of-sale service from Block. Every Square plan, including the free one, sends unlimited invoices, recurring invoices, estimates and contracts with e-signature, and customers pay by card, ACH bank transfer, Cash App Pay or Afterpay. The paid plans, charged per location, cut processing fees and add batch invoices and payment schedules.

To get you started, here are 9 things to know about Square Invoices, taken from its own pages and our grades.

If you already take payments with Square, invoices sit in the same account.

The report card

Best for free invoicing for businesses already on Square

Square Invoices sends unlimited invoices, estimates and contracts for nothing a month, and your customers can pay just about any way, from cards to Afterpay. You pay Square per payment instead, 3.3% + 30¢ on an online card. It keeps no books, though, so you'll want QuickBooks Online or Xero alongside it.

SubjectGradeComment
Value for moneyDPlus is $49 a location a month, where the dearest tenth of accounting tools starts. For invoicing it mostly buys a lower card fee, 2.9% instead of 3.3%, plus batch invoices and payment schedules. That fee cut only pays for itself past about $12,000 a month in card payments.
Free plan and trialAUnlimited invoices, recurring invoices, deposits, reminders, estimates and contracts cost nothing a month, with no cap. You pay per payment instead: 3.3% + 30¢ on an online card, and 1% on a bank transfer.
FeaturesCInvoices on any schedule, deposits, auto-pay, estimates, e-signed contracts, a project workspace and cards, Cash App Pay, ACH or Afterpay. It does invoicing fully, but that's the smaller job: it keeps no books and takes one currency only.
Ease of useA4.8 from 93,229 App Store ratings, the top band in this category. If you already take payments with Square, invoices sit in the same account.
Platforms and integrationsBWeb, iPhone and Android, with QuickBooks Online, Xero, Afterpay, Cash App Pay, Apple Pay and Google Pay. There's no desktop app, which keeps it off an A.
Grade point averageGood, out of 4.02.8

An A is worth 4 points, a B 3, a C 2, a D 1 and an F nothing. The GPA is the average of the five.

Who Square Invoices is for

  • Great if you already take payments in person with Square
  • Handy when you send estimates and contracts before billing the job
  • Good for service businesses that want to invoice without a monthly fee

Who it is not for

  • Too light for keeping the books, as it only sends payments on to QuickBooks Online or Xero
  • Pricey if you go for Plus just for lower fees, at $49 a month for each location
  • Not for you if you bill clients in other currencies, since it takes one currency only

Good to know

Good for

  • Service businesses that want to send invoices without a monthly fee
  • Businesses already taking in-person payments with Square
  • Contractors who send estimates and contracts before billing

Worth knowing

  • Invoices come with Square's general plans, which also cover point of sale and bookings; Plus and Premium are charged per location.
  • Each payment has a fee: invoice card payments are 3.3% + 30¢ on Free and 2.9% + 30¢ on Plus or Premium, ACH 1% ($1 minimum).
  • It does not keep books: Square sends payments to QuickBooks Online or Xero, and it accepts one currency only.
  • Square Payroll is a separate product, from $35 a month plus $6 per person paid.

Keep it, or make your own?

Whether this is something you could build for yourself with an AI app builder, and what you would give up.

Keep it

The plain part of Square Invoices you could make: invoicing and reports. What surrounds it you could not. The 2 things listed below take a company, not a weekend.

It is one of the better ones too: its GPA of 2.8 is higher than 12 of the 17 other accounting and invoicing tools we grade. It costs $588 a year.

What you could make

  • Invoicing and reports: an app builder makes these well.

What you could not

  • A real app for iOS and Android. Something home-made would be a web page.
  • It plugs into other products, QuickBooks Online, Xero and Afterpay among them.

What this rests on. Square Invoices’s listing: what it does, where it runs, what it plugs into and what it costs. It is a judgement about the kind of software this is. We have not built a replacement for it, and making your own means looking after it too. How we decide, and every tool’s verdict.
