Part 01 · Overview
Welcome
What it is, who it suits, its grades and the ten things to know first
2.6
GPA, above 35 of the 48 other CRM tools we grade
Zoho CRM is the sales CRM from Zoho, covering lead, contact and deal management, workflow automation, forecasting, analytics and the Zia AI assistant. It comes as a free edition for up to 3 users and four paid editions priced per user. The prices here are for Zoho CRM on its own; bundles such as CRM Plus and Zoho One are sold separately.
To get you started, here are 10 things to know about Zoho CRM, taken from its own pages and our grades.
- 1
Best for small teams that want a full CRM from $14 a user
Zoho CRM is free for 3 users and 5,000 records, and paid plans start at $14 a person with workflows, forecasting and AI agents in.
- 2
Paid plans start at $14 a month for each person
As its pricing page puts it: $14 per user / month, billed annually ($20 billed monthly).
- 3
There is a free plan
Free edition for up to 3 users: lead, contact and deal management, tasks and events, 5,000 records, 1 GB of file storage, up to 5 workflow automations and the mobile apps. No credit card required.
- 4
It runs on 3 platforms
Web, iOS and Android.
- 5
Lead, contact and deal management
Leads, accounts, contacts and deals are tracked through the sales cycle. Paid editions add multiple pipelines and sales forecasting, and Enterprise adds territory management.
- 6
Workflow and process automation
Workflow and assignment rules handle routine updates, cadences run sequences of follow-ups, and Blueprint holds a team to a structured sales process.
- 7
Zia AI
Zia gives predictions and recommendations, rewrites emails and flags anomalies. The pricing page lists AI agents from Standard and an AI sales assistant from Enterprise.
- 8
Refunds: 45 days
Zoho's refund policy is one of the more generous ones around: 45 days on an annual subscription, the first month on a monthly one, and a second chance after a renewal you forgot about. It also promises an email before every renewal telling you what is about to be charged, which most companies do not.
- 9
A 2.6 GPA, above 35 of 48
That is against the other CRM tools we grade, on value, the free plan, features, ease of use and platforms.
- 10
Keep it
To replace Zoho CRM you would be making connections to other products, each kept working as those products change. That is not a weekend's work, with an AI app builder or without one.

The report card
Best for small teams that want a full CRM from $14 a user
Zoho CRM is free for 3 users and 5,000 records, and paid plans start at $14 a person with workflows, forecasting and AI agents in. What holds it back is the spread: features sit across four paid editions, quoting and inventory on Professional, territories and portals on Enterprise at $40. Monthly billing costs more, tax is extra, and free stops at 5 workflows.
| Subject | Grade | Comment |
|---|---|---|
| Value for money | C | Standard is $14 a person a month on yearly billing, at the low end of ordinary for this category and well under what HubSpot or Salesforce charge. It isn't a stripped plan either: workflows, cadences, forecasting and AI agents are in. Pay monthly and it's $20, and tax is extra. |
| Free plan and trial | B | Free for up to 3 users with 5,000 records, 1 GB of files, lead, contact and deal management and the phone apps, no card needed. The walls are 5 workflow automations and standard reports only. |
| Features | B | Leads, contacts and deals, workflows, follow-up cadences, forecasting, dashboards, the Zia AI assistant and record pages you can redesign without code. It covers the CRM job, though it's spread over four paid editions: quoting and inventory on Professional, territories and portals on Enterprise. |
| Ease of use | C | 4.4 from about 2,700 App Store ratings, just under our bar for a B. The phone apps do add and edit records offline and sync when you're back, and they'll scan a business card, but working out which edition holds which feature is a job in itself. |
| Platforms and integrations | B | Web, iPhone, iPad and Android, with no desktop app. It connects to Google Workspace, Microsoft 365, Slack, Teams, Zoom, Mailchimp, QuickBooks and Zapier, and there's an API. |
An A is worth 4 points, a B 3, a C 2, a D 1 and an F nothing. The GPA is the average of the five.
Who Zoho CRM is for
- Fits if there are three of you or fewer and 5,000 records covers your list
- Works for companies already running on other Zoho apps
Who it is not for
- Pricey if you pay month by month, as Standard goes from $14 to $20 and Professional from $23 to $35
- Pricey if you need territories, custom functions or customer portals, since those wait for Enterprise at $40
- Tight if you're staying free, because free stops at 3 users, 5,000 records, 1 GB and 5 workflows
- Watch out: working out which of four paid editions has the feature you need is a job in itself
- Watch out: CPQ and inventory start on Professional at $23, and prices exclude local taxes
Good to know
Good for
- Small teams that want a free CRM for up to 3 users
- Businesses that want detailed customization and process automation
- Companies already using other Zoho apps
Worth knowing
- The Free edition is limited to 3 users, 5,000 records and 5 workflow automations.
- Monthly billing costs more: Standard is $20 instead of $14 per user, and Professional $35 instead of $23.
- CPQ and inventory management start at Professional; territory management, custom functions and customer portals need Enterprise.
- Prices exclude local taxes, and the CRM Plus and Zoho One bundles are priced separately from Zoho CRM.

What most people miss: ways to pay less, settings worth changing and the catches
7
Things most people miss, each from its own help pages
The things about Zoho CRM that are easy to miss until they cost you: ways to pay less, settings worth changing and the catches at renewal or when you leave. Each one is from Zoho CRM’s own pages, linked beside it.
Read on Oct 17, 2026. Read from Zoho's CRM help centre, its account help and its refund policy on 17 October 2026. Not tried out: these tips are what its own pages say.
- 1
Shortcut
Switch on keyboard shortcuts, because they're off by default
Zoho's help page says shortcuts are disabled for every account until you turn them on in Setup > General > Personal Settings > Accessibility > Motor > Keyboard shortcuts. Then press / to search records, and Z then / to see the full list, which you can remap.
help.zoho.com - 2
Leaving
Take the free full backup your paid plan includes
Paid editions get two free data backups and Ultimate gets four, from Setup > Data Administration > Data Backup. You get records and attachments as CSV files in ZIP folders, but not emails or documents, and the link lasts 7 days. On the Free edition you'd have to buy a backup add-on.
help.zoho.com - 3
Renewal
Forgot to cancel? You still get a few days for a full refund
Zoho's refund policy says it emails the amount before each renewal. If you forgot to cancel, you can ask for a full refund within five business days of a monthly renewal or 15 days of a yearly one. After that, not even a part refund.
zoho.com - 4
Pay less
Cutting users mid-year gets you credit, not cash
On a yearly plan, dropping users, an edition or an add-on is a partial downgrade. Zoho pays it back as a longer subscription, worked out as what you paid minus the monthly list price for each month used, discounts left out. So the months you've used are charged at the monthly price.
zoho.com - 5
Pay less
Deactivating a user doesn't stop you paying for them
Zoho's user FAQ says a deactivated user's licence isn't cancelled, so you're still billed for it. To stop paying, click Upgrade, then Manage for your edition and Downgrade to remove licences. Move their records to someone else first if you plan to delete them.
help.zoho.com - 6
Easy to miss
Deleted records wait 60 days in the Recycle Bin
Delete something by mistake and you can bring it back from Setup > Data Administration > Recycle Bin for 60 days. After that it's gone for good. What you see there follows your role, so an admin may need to restore other people's records.
help.zoho.com - 7
Privacy
Check which data centre your account lands in when you sign up
Zoho picks your data centre from your location by default, out of the US, EU, India, Australia, Japan, Canada and Saudi Arabia. Moving later means closing the account and signing up again, or asking support for a migration, which a few services don't support.

Other CRM tools it is graded above
Zoho CRM's GPA of 2.6 is higher than 35 of the 48 other CRM tools we grade, and level with 4.
It stands best on free plan and trial (B, above 37 of 48) and worst on ease of use (C, above 1).
Its paid plans start at $14 a month for each person, against a middle price of $24 for the category: 13 of the 46 others that charge start lower.
On features, ease of use and platforms it scores 2.7 out of 4. 3 tools score higher and cost less.

Keep it, or make your own?
Whether this is something you could build for yourself with an AI app builder, and what you would give up.
Keep it
To replace Zoho CRM you would be making connections to other products, each kept working as those products change. That is not a weekend's work, with an AI app builder or without one.
It is one of the better ones too: its GPA of 2.6 is higher than 35 of the 48 other CRM tools we grade. It costs $168 a year.
What you could make
- Sales pipeline: an app builder makes this well.
What you could not
- Connections to other products, each kept working as those products change.
- A real app for iOS and Android. Something home-made would be a web page.
- It is priced for each person, which means accounts and billing for a team.
- AI features, unless you pay a model provider for each request yourself.
- The depth: we grade its features B, which means it covers the whole job.
What this rests on. Zoho CRM’s listing: what it does, where it runs, what it plugs into and what it costs. It is a judgement about the kind of software this is. We have not built a replacement for it, and making your own means looking after it too. How we decide, and every tool’s verdict.
Part 06 · Refunds

Getting your money back, getting out, and getting help
What happens once you have paid: whether you can get your money back, how to leave, and how to reach a person when something goes wrong. Each is graded from Zoho CRM’s own terms and help pages.
Refunds and cancelling
Good · checked Oct 18, 2026
Zoho's refund policy is one of the more generous ones around: 45 days on an annual subscription, the first month on a monthly one, and a second chance after a renewal you forgot about. It also promises an email before every renewal telling you what is about to be charged, which most companies do not. It is a B rather than an A because none of it is self-service. Every refund starts with you writing in and Zoho first trying to talk you round.
- Refund window
- 45 days
- How you cancel
- Yourself, in settings
- Getting your money back
A monthly subscriber dissatisfied within the first month, or an annual one within the first 45 days, is told to get in touch: Zoho will try to resolve the issue, and if you are still unhappy it refunds in full and downgrades the account to the free plan. Forget to cancel and it will still refund in full within five business days of a monthly renewal or 15 days of an annual one, and nothing after that.
Stated on zoho.com- How to cancel Zoho CRM
The terms say a subscription renews automatically unless you downgrade the paid plan to a free plan or tell Zoho you do not wish to renew, and that notice must come at least seven days before the renewal date. Zoho's common FAQ on cancelling says you can do it inside the Zoho service you are using, or write to the payments team at the address it gives. No page read lists the clicks.
Stated on zoho.com- What you keep afterwards
The refund policy says a refunded account is downgraded to the free plan rather than closed, so the account and its records survive. The terms add that Zoho reserves the right to terminate unpaid accounts left inactive for 120 continuous days and delete all the data in them, with prior notice and a chance to back it up first. A partial downgrade of an annual plan is repaid as subscription credit, not cash.
Stated on zoho.com- Renewals
Both monthly and yearly subscriptions renew automatically until cancelled, charged to the card last used. Zoho says it emails you before each renewal with the amount about to be charged, and again afterwards with a receipt and the next renewal date. The terms ask for at least seven days' notice if you are telling Zoho not to renew rather than downgrading yourself.
Stated on zoho.com
In your favour
- Forty-five days to change your mind on an annual plan is well beyond what most CRMs offer.
- Zoho says it emails you before every renewal with the amount it is about to charge.
- Miss the renewal anyway and there is still a window: five business days monthly, 15 days yearly.
- A refund downgrades you to the free edition rather than closing the account, so the records stay.
Watch out for
- No refund happens by itself. You have to write in, and Zoho will try to fix the problem first.
- Past those windows nothing comes back, and the policy says that includes prorated refunds.
- Reduce licences mid-contract and you get subscription credit, not money back.
- The terms want seven days' notice before renewal if you tell Zoho rather than downgrading yourself.
Customer support
Excellent · checked Oct 18, 2026
Pay anything at all and you get Classic Support, which means email, a ticket portal, live chat and a toll-free phone line, with a stated eight hours of cover five days a week and a maximum eight-hour first response in writing. Free users still get email and a 24-hour target. Live humans on every paid edition, with the hours and the response time published, is what an A looks like. Faster cover costs extra, but the baseline is already better than most.
Ways to get help
Live chat
Live chat support, listed for Classic at eight hours a day, five days a week and for Premium at 24 hours a day, five days a week. The support policy table shows no live chat on the Basic tier that free editions get.
Stated on help.zoho.comPhone
A toll-free line, included in Classic Support on every paid edition for eight hours a day, five days a week, and 24 hours a day five days a week on Premium. Free editions do not get it.
Stated on help.zoho.comEmail
Email support is listed on every tier, including the Basic one that comes with free editions of every Zoho product.
Stated on help.zoho.comContact form or ticket
A self-service portal where you view your existing tickets and submit new support requests. The CRM support plans page lists it on every tier, free editions included.
Stated on zoho.comAccount manager
Enterprise Support assigns a dedicated Technical Account Manager and Platinum Support a designated one. Both are paid add-ons priced as a share of the annual subscription, with minimum user counts.
Stated on zoho.comHelp centre
Zoho CRM's documentation covers setup, each module, administration, integrations and the developer APIs, and is open to anyone without signing in.
Stated on zoho.comCommunity or forum
A public Zoho CRM community where users ask questions and join discussions. It is listed as part of every support tier.
Stated on help.zoho.com
- When people answer
Classic Support, the tier that comes with every paid edition, is listed as eight hours a day, five days a week for chat and phone. Premium is 24 hours a day five days a week, Enterprise Support 24 hours a day seven days a week, and Platinum the customer's own time zone, Monday to Friday.
Stated on zoho.com- How fast it says it replies
Zoho states a maximum first response time by tier: 24 hours on Basic for free editions, eight hours on Classic for paid editions, three hours on Premium, one hour on Enterprise Support and 30 minutes on Platinum. It notes these are times to respond, not to resolve.
Stated on help.zoho.com- What depends on your plan
Classic Support comes free with any paid edition. Premium costs 20 per cent of the subscription fee, Enterprise Support 25 per cent of the annual fee with at least 50 licences, and Platinum 30 per cent with at least 250. Those tiers buy faster targets, longer hours, onboarding sessions and a technical account manager, not a different product.
Stated on zoho.com
In your favour
- Live chat and a toll-free line are included with every paid edition, not sold as an upgrade.
- Zoho puts numbers on it: eight hours to a first reply on paid plans, 24 on the free edition.
- Even free accounts get email support and the ticket portal, not just articles.
- Four hours of onboarding sessions come with the paid support tiers in the first 15 days.
Watch out for
- Classic cover is working hours only. Round-the-clock help starts at 20 per cent on top of your bill.
- The faster tiers are priced as a share of your subscription, so they grow as your team does.
- Enterprise and Platinum support need at least 50 and 250 licences, so small teams cannot buy them.
- The response times are first-reply targets. Zoho says plainly they are not resolution times.
What these two grades rest on. Read on 18 October 2026: Zoho's refund policy, its terms of service, its common FAQs on cancelling a subscription and on the support policy, and Zoho CRM's support plans page, documentation and community. The terms served to our reader were the India edition, since Zoho sends visitors here to that version. Nobody here cancelled a plan or contacted its support. They are graded apart from the five that make the GPA. How we grade refunds and support.
