Part 01 · Overview
Welcome
What it is, who it suits, its grades and the ten things to know first
2.8
GPA, above 48 of the 69 other daily planner apps we grade
EPIM, published by Astonsoft at epim.com and listed in the app stores as EssentialPIM, is a personal information manager for Windows. It keeps email, calendars, tasks, notes, contacts and passwords in one database, with a Today view that gathers upcoming events and tasks. The EPIM Mail edition is free, EPIM Pro adds cloud sync, automatic backup and advanced organizing tools, and EPIM Pro Business adds shared databases for teams.
To get you started, here are 9 things to know about EPIM (EssentialPIM), taken from its own pages and our grades.
The free edition has all six and no ads.
- 1
Best for mail, calendar and tasks in one Windows app
EPIM is a classic Windows organizer: email, calendar, tasks, notes, contacts and passwords in one program, with a Today view over the lot.
- 2
Paid plans start at about $4.15 a month
As its pricing page puts it: ₹4,814.95 per year (as shown to a visitor in India).
- 3
There is a free plan
EPIM Mail is free with no ads or time limits: email, calendar, tasks, notes, contacts and passwords on Windows, without cloud sync, automatic backup or the advanced organization tools.
- 4
It runs on 3 platforms
Windows, Android and iOS.
- 5
Connected modules with a Today view
Mail, calendar, tasks, notes, contacts and passwords live in one Windows application, and the Today view shows upcoming events and tasks from across them.
- 6
Calendar
Day, Week, Week Agenda, Month, Year and Agenda views, with a tasks sidebar beside the schedule, custom categories and reusable event templates.
- 7
Tasks
Tasks and subtasks sit in a hierarchy and can be shown in Tree, Plain or Kanban views, with search, filters, custom layouts and templates.
- 8
A 2.8 GPA, above 48 of 69
That is against the other daily planner apps we grade, on value, the free plan, features, ease of use and platforms.
- 9
Keep it
To replace EPIM (EssentialPIM) you would be making an email client: sending, receiving, threading and searching years of mail. That is not a weekend's work, with an AI app builder or without one.

The report card
Best for mail, calendar and tasks in one Windows app
EPIM is a classic Windows organizer: email, calendar, tasks, notes, contacts and passwords in one program, with a Today view over the lot. The free edition has all six and no ads. But the desktop app is Windows only, cloud sync is paid, the iPhone app only does tasks and passwords, both phone apps were last updated in 2023, and no dollar price is on record. Mac users should look elsewhere.
| Subject | Grade | Comment |
|---|---|---|
| Value for money | C | No dollar price is on record. Pro shows as ₹4,814.95 a year to a visitor in India, or ₹9,635.95 once with a year of updates, and those figures move with the exchange rate, so there's nothing to set fairly against the $5.99 a month in the middle of this category. The Cloud add-on is $2.99 a month. |
| Free plan and trial | B | EPIM Mail is free with no ads and no time limit, and it has all six modules: email, calendar, tasks, notes, contacts and passwords. One person could stay on it. What you give up is cloud sync, automatic backup, tags and templates. |
| Features | A | More than any planner here: six calendar views with a tasks sidebar, tasks as a tree or a Kanban board, a unified inbox for IMAP, POP3 and Exchange with rules and PGP, Markdown notes, an encrypted password store, and portable mode off a USB stick. A mail client and a password vault its rivals don't do. |
| Ease of use | C | No store rating on record, and six modules in one Windows window is a lot to take in. There's no account to make and it can run from a USB drive, but you'll be clicking about for a while before it fits you. |
| Platforms and integrations | B | Windows on the desktop plus Android and iPhone apps, and Pro syncs with Google, Microsoft 365, iCloud, Nextcloud, ownCloud and Dropbox. No Mac and no web, the iPhone app has only Tasks and Passwords, and the stores date both mobile apps' last updates to 2023. |
An A is worth 4 points, a B 3, a C 2, a D 1 and an F nothing. The GPA is the average of the five.
Who EPIM (EssentialPIM) is for
- Fits if you're on Windows and want mail, calendar, tasks and notes in one app
- Works for anyone who'd rather buy a perpetual license than subscribe
Who it is not for
- Skip it if you work on a Mac, as the desktop app is Windows only, and there's no web version
- Not for you if you plan mostly on your phone, since the iPhone app only has Tasks and Passwords
- Tight if you're staying free and want your Google or iCloud calendar in step, because sync is Pro
- Watch out: the stores date both mobile apps' last updates to 2023
- Watch out: no dollar price is on record, and a perpetual license gets 1 year of updates before you pay to extend
Good to know
Good for
- Windows users who want mail, calendar, tasks and notes in one app
- People who prefer a perpetual license to a subscription
- Small teams sharing calendars and tasks from one database
Worth knowing
- The desktop app is Windows only. The iOS app includes only the Tasks and Passwords modules, and the store listings date both mobile apps' latest updates to 2023.
- Cloud sync, automatic backup, tags, templates and Sticky Notes need EPIM Pro. The free EPIM Mail edition leaves them out.
- A perpetual license includes 1 year of updates. Newer versions after that need a paid 12-month update extension.
- License prices are in Indian rupees, as the checkout converts them for a visitor in India; they shift with the exchange rate. US dollar prices could not be read.

Keep it, or make your own?
Whether this is something you could build for yourself with an AI app builder, and what you would give up.
Keep it
To replace EPIM (EssentialPIM) you would be making an email client: sending, receiving, threading and searching years of mail. That is not a weekend's work, with an AI app builder or without one.
It is one of the better ones too: its GPA of 2.8 is higher than 48 of the 69 other daily planner apps we grade. It costs $49.78 a year.
What you could make
- Calendar, tasks, notes and kanban boards: an app builder makes these well.
What you could not
- An email client: sending, receiving, threading and searching years of mail.
- A password vault, the last thing anyone should make for themselves.
- Apps for Windows, iOS and Android that stay in step with each other.
- It plugs into other products, Google Calendar, Google Tasks and Microsoft 365 among them.
- The depth: we grade its features A, which means it covers the whole job.
What this rests on. EPIM (EssentialPIM)’s listing: what it does, where it runs, what it plugs into and what it costs. It is a judgement about the kind of software this is. We have not built a replacement for it, and making your own means looking after it too. How we decide, and every tool’s verdict.
