Part 01 · Overview
Welcome
What it is, who it suits, its grades and the ten things to know first
2.8
GPA, above 32 of the 48 other AI meeting note takers we grade
Fathom records, transcribes and summarizes meetings on Zoom, Google Meet and Microsoft Teams. It can capture a call with a meeting bot or, on Mac, without one, and delivers a summary and action items when the call ends. Team plans add shared search, comments and CRM sync aimed at sales teams. Fathom became part of Superhuman in September 2026 and says the app, login and product stay the same.
To get you started, here are 10 things to know about Fathom, taken from its own pages and our grades.
No rating on record, but nothing to set up: the summary is waiting when the call ends and there's nothing for you to do in between.
- 1
Best for free recording and transcripts of video calls
Fathom records, transcribes and summarizes Zoom, Meet and Teams calls, with a bot or, on a Mac, without one.
- 2
Paid plans start at $15 a month for each person
As its pricing page puts it: $15 per user / month, billed annually (Team plan, 2-user minimum).
- 3
There is a free plan
Unlimited recordings, storage and transcription with instant AI summaries, clips and playlists. Advanced summaries cover only the first 5 calls each month, and action items and Ask Fathom have limited use.
- 4
It runs on 3 platforms
macOS, Windows and iOS.
- 5
Bot or bot-free capture
Record with a meeting bot that joins the call, or capture from the desktop app with nothing added to the meeting. Bot-free capture is in beta and currently works on Mac only.
- 6
AI summaries and action items
A summary is ready when the call ends. Free accounts get advanced summary templates on their first 5 calls each month; paid plans remove the cap and add AI action items.
- 7
Ask Fathom
Ask questions about a single call or across the calls in your account and get answers drawn from the transcripts. Use is limited on the Free plan.
- 8
Refunds: no set window
Fathom's terms are blunt: all fees are non-refundable. What you get instead is a clean exit.
- 9
A 2.8 GPA, above 32 of 48
That is against the other AI meeting note takers we grade, on value, the free plan, features, ease of use and platforms.
- 10
Keep it
To replace Fathom you would be making a bot that joins your calls and turns the talk into notes. That is not a weekend's work, with an AI app builder or without one.

The report card
Best for free recording and transcripts of video calls
Fathom records, transcribes and summarizes Zoom, Meet and Teams calls, with a bot or, on a Mac, without one. The free plan has no cap on recordings, but advanced summaries cover only 5 calls a month. Premium is $16 a month for one person on the yearly plan, team plans need 2 users, CRM sync needs Business at $25, and there's no Android, Linux or iPad support.
| Subject | Grade | Comment |
|---|---|---|
| Value for money | C | Premium, the plan for one person, is $16 a month on the yearly deal and $20 monthly; Team is $15 but needs two of you. That's the dear end of a category starting near $10, and CRM field sync and coaching scorecards wait on Business at $25. |
| Free plan and trial | B | Unlimited recordings, storage and transcription with a summary after every call, plus clips and playlists — a plan one person could really live on. The caps are real, though: advanced summaries cover the first 5 calls a month, and action items and Ask Fathom are rationed. |
| Features | B | It covers the job: bot or, on a Mac, bot-free capture in beta, a summary when the call ends, questions across all your calls, clips and playlists, notes into HubSpot, Salesforce or Close, and shared search and keyword alerts for teams. Fireflies and tldv cover the same ground. |
| Ease of use | B | No rating on record, but nothing to set up: the summary is waiting when the call ends and there's nothing for you to do in between. |
| Platforms and integrations | B | Mac, Windows and iPhone, sending notes to Slack, Notion, Asana, HubSpot, Salesforce and Zapier. No Android app, and Linux, Chromebooks and iPads aren't supported. |
An A is worth 4 points, a B 3, a C 2, a D 1 and an F nothing. The GPA is the average of the five.
Who Fathom is for
- Fits if you want unlimited call recording and transcripts on the free plan
- Works for sales teams that want call notes landing in HubSpot or Salesforce
Who it is not for
- Skip it if you're on Android, Linux, a Chromebook or an iPad, as none of those are supported
- Not for you if you want no bot in the call on Windows, since bot-free capture is Mac only and in beta
- Pricey if you're one person who wants the advanced summary on every call, at $16 a month yearly ($20 monthly)
- Tight if you stay free: advanced summaries cover 5 calls a month, and action items and Ask Fathom are rationed
- Watch out: Team and Business need at least 2 users, and CRM field sync and scorecards need Business at $25 a user
Good to know
Good for
- Individuals who want unlimited recording and transcription without paying
- Sales teams that log calls to HubSpot or Salesforce
- Teams that share clips and highlights from customer calls
Worth knowing
- On the Free plan, advanced summaries cover only the first 5 calls each month, and action items and Ask Fathom are limited.
- Team and Business plans have a 2-user minimum.
- Bot-free capture is Mac only for now. There is no Android app, and Linux, Chromebooks and iPads are not supported.
- CRM field sync, deal view and coaching scorecards require the Business plan.
Part 02 · Tips
Insider tips
What most people miss: ways to pay less, settings worth changing and the catches
7
Things most people miss, each from its own help pages
The things about Fathom that are easy to miss until they cost you: ways to pay less, settings worth changing and the catches at renewal or when you leave. Each one is from Fathom’s own pages, linked beside it.
Read on Oct 17, 2026. Read from Fathom's help centre (plan comparison, settings, recording consent, highlights, transcripts, downloads, cancelling and deleting an account) on 17 October 2026. Not tried out: these tips are what its own pages say.
- 1
Pay less
Your first 30 days include Premium, so decide before the caps start
Fathom's plan comparison says new accounts get a free preview that ends 30 days after sign-up. After that the Free limits apply, like advanced summaries on only your first 5 calls a month. That first month is the time to work out if Premium's worth paying for.
help.fathom.video - 2
Pay less
Free already sends call notes to HubSpot, Salesforce or Close
The same page lists CRM sync with HubSpot, Salesforce and Close on Free and Premium, for up to 3 users per email domain. Business adds field sync and the deal view, but if notes in the CRM are all you want, you may not need it.
help.fathom.video - 3
Setting
Choose what attendees get sent after each call
Under Auto-Record Settings on the Settings page, a second drop-down picks what attendees get: Summary & recording, Summary only, or Nothing. Pick Summary only if you'd rather outside guests didn't get a link to the video.
help.fathom.video - 4
Privacy
Turn on consent emails before you record outside guests
Switch on Auto Request Recording Consent under Options in Settings and Fathom emails external attendees 24 hours ahead. If one says no, auto-record is off for that meeting. Same-day meetings get no email, so ask out loud for those.
help.fathom.video - 5
Easy to miss
Highlights now get added after the call, from the transcript
The bot-free version has no in-meeting highlights. Open the call afterwards, hover over the transcript and click the blue plus to mark a moment. Drag it to make it longer, then copy a share link for just that clip.
help.fathom.video - 6
Leaving
Transcripts can't be downloaded, only copied out one by one
Its help page says transcripts can't be downloaded: you click Copy Transcript above each one and paste it somewhere else. Videos come out one call at a time as MP4 from the three-dot menu. If you're leaving, give yourself time.
help.fathom.video - 7
Renewal
You can cancel Premium yourself, but a Team plan needs Fathom
Downgrade to Free sits under Premium Features in Settings, and the plan runs to the end of the billing date with no more charges. Ending it sooner, or cancelling a Team plan, means contacting Fathom, so don't leave it to the day before renewal.

Part 05 · Standing
Where it stands
Its grades against its category, and whether to keep it or make your own
32/48
Other AI meeting note takers it is graded above
Fathom's GPA of 2.8 is higher than 32 of the 48 other AI meeting note takers we grade, and level with 5.
It stands best on free plan and trial (B, above 41 of 48) and worst on value for money (C, above 13).
Its paid plans start at $15 a month for each person, against a middle price of $10 for the category: 33 of the 47 others that charge start lower.
On features, ease of use and platforms it scores 3.0 out of 4. 15 tools score higher and cost less.

Every bar is all 49 AI meeting note takers we grade, cut by the letter each got. Fathom’s own letter is outlined.

Price against what you get
Each dot is one of 48 AI meeting note takers. Further left costs less; higher up scores better on features, ease of use and platforms. Fathom is the marked dot.

Keep it, or make your own?
Whether this is something you could build for yourself with an AI app builder, and what you would give up.
Keep it
To replace Fathom you would be making a bot that joins your calls and turns the talk into notes. That is not a weekend's work, with an AI app builder or without one.
It is one of the better ones too: its GPA of 2.8 is higher than 32 of the 48 other AI meeting note takers we grade. It costs $180 a year.
What you could make
- Templates: an app builder makes this well.
What you could not
- A bot that joins your calls and turns the talk into notes.
- An AI model, which you can rent by the request but not make.
- Speech turned into text you can trust.
- Apps for macOS, Windows and iOS that stay in step with each other.
- It is priced for each person, which means accounts and billing for a team.
- It plugs into other products, Slack, HubSpot and Salesforce among them.
- People on the other end: coaches. No app builder makes those.
- The depth: we grade its features B, which means it covers the whole job.
What this rests on. Fathom’s listing: what it does, where it runs, what it plugs into and what it costs. It is a judgement about the kind of software this is. We have not built a replacement for it, and making your own means looking after it too. How we decide, and every tool’s verdict.
Part 06 · Refunds
After you pay
Getting your money back, getting out, and getting help
What happens once you have paid: whether you can get your money back, how to leave, and how to reach a person when something goes wrong. Each is graded from Fathom’s own terms and help pages.
Refunds and cancelling
Ordinary · checked Oct 18, 2026
Fathom's terms are blunt: all fees are non-refundable. What you get instead is a clean exit. An individual Premium plan is switched back to Free from the settings in a few clicks, you keep the paid features until the billing period ends, and the account drops to Fathom's free edition rather than closing. That is the ordinary deal, so a C. A Team plan is the weak spot: its admins have to write in to cancel.
- Refund window
- No set window
- How you cancel
- Yourself, in settings
- Getting your money back
Fathom's terms of service say all fees are non-refundable, exclusive of applicable taxes, which you are responsible for. They give no window, no money-back guarantee and no exception. The terms add that you may cancel without penalty or obligation at any time before the next renewal date, which stops the next charge rather than returning the last one.
Stated on fathom.ai- How to cancel Fathom
An individual Premium plan is switched back to Free from the Settings page, under Premium Features, or from Fathom's billing page. The article says the subscription then ends on the billing date with no further charges, and that you must write to Fathom if you need it cancelled at once. A Team plan cannot be cancelled there: the article tells team customers to write to its customer success address.
- Log in to Fathom and open Settings
- Scroll down to Premium Features
- Click Downgrade to Free, or open the billing page the article links to
- Click Cancel Plan to confirm the downgrade
- What you keep afterwards
The terms say you keep your subscription benefits until the end of the Subscription Term, at which point they expire and an individual account reverts to the free edition unless you ask for the account itself to be closed. A separate article on uninstalling says a Delete Account button at the bottom of Settings wipes the account in about 12 hours, with no recovery, and that Team plan users do not see it.
Stated on fathom.ai- Renewals
The terms say a paid subscription renews automatically on the monthly or annual basis you chose, and that the card on the account is charged automatically until you cancel, with no further consent or notice required. They mention no reminder before a renewal, and no refund of a renewal you did not want.
Stated on fathom.ai
In your favour
- An individual Premium plan is switched back to Free from the settings, with nobody to write to.
- You keep the paid features until the billing period you already paid for runs out.
- The account drops to Fathom's free edition rather than closing, and that free plan keeps your recordings.
Watch out for
- All fees are non-refundable, says the contract, so a year paid up front does not come back.
- Plans renew on their own and no page promises a reminder before the charge lands.
- A Team plan cannot be cancelled in the settings: an admin has to write in and ask.
- Delete the account and Fathom says the data goes for good within about 12 hours.
Customer support
Ordinary · checked Oct 18, 2026
A contact form on the help centre and a big written help centre, open to everyone including free users. There is no phone line, no public live chat, no stated hours and no stated reply time, so you cannot tell how long you would wait. That is where most tools at this price sit, and it is a C. Priority support with a service level is an Enterprise thing, and Enterprise has no published price.
Ways to get help
Contact form or ticket
A contact form on the help centre asks for a name, an email address, a subject and the question, and suggests articles as you type. It needs no account, so free users can send one too.
Stated on help.fathom.videoHelp centre
A written help centre with more than a hundred articles grouped into getting started, settings, using Fathom on and after a call, integrations, team pricing plans, FAQs and troubleshooting. It is open without signing in.

- When people answer
Its pages do not say.
- How fast it says it replies
Its pages do not say.
- What depends on your plan
The pricing page lists a dedicated success manager and priority support SLAs as Enterprise features. No other plan on that page is given a support line of its own, and none of the pages read describes a priority queue, live chat or a phone number for the Free, Premium, Team or Business plans.
Stated on fathom.ai
In your favour
- Anyone can send the contact form, free users included, with no account needed.
- The help centre is unusually thorough, with step-by-step articles on billing, cancelling and deleting an account.
Watch out for
- No page says when the support team works or how quickly it aims to answer.
- There is no phone number and no live chat anywhere on Fathom's public pages.
- A dedicated manager and a priority service level come only with Enterprise, which is priced on request.
What these two grades rest on. Read on 18 October 2026: Fathom's terms of service, its help articles on cancelling an individual Premium plan, viewing team billing, deleting an account when uninstalling and what happens when a team account goes inactive, plus the help centre, its contact form and the pricing page. Nobody here cancelled a plan or contacted its support. They are graded apart from the five that make the GPA. How we grade refunds and support.
