Part 01 · Overview

Welcome

What it is, who it suits, its grades and the ten things to know first

2.4

GPA, above 19 of the 51 other email apps we grade

Mailbutler is an add-on for Apple Mail, Gmail and Outlook rather than a mail app of its own. It adds open and link tracking, message templates, mail merge, scheduled sending, notes and tasks on emails, and tools for assigning mail in a shared inbox you already have. A free Starter plan covers basic tracking and signatures with a Mailbutler watermark on sent mail, and the AI Smart Assistant starts at the Smart plan.

To get you started, here are 9 things to know about Mailbutler, taken from its own pages and our grades.

The iPhone and Android apps are companions that need a desktop install first.
From our grade for ease of use
  1. 1

Best for tracking and templates inside the mail app you have

It's an add-on inside Apple Mail, Gmail or Outlook that adds tracking, templates, mail merge, scheduled sending and notes on emails.

  2. 2

Paid plans start at $4 a month for each person

As its pricing page puts it: $4 per user / month, billed yearly (paid Starter).

  3. 3

    There is a free plan

Free-forever Starter plan: first-open and first-click tracking, real-time notifications and email signatures. Sent emails carry a visible Mailbutler watermark.

  4. 4

    It runs on 4 platforms

macOS, Windows, iOS and Android, with a browser extension too.

  5. 5

    Email tracking

Shows when a message was first opened and its links first clicked, with real-time notifications. Full open history, device and location details and per-recipient tracking start at the Smart plan.

  6. 6

    Templates and mail merge

Message templates with placeholders, and mail merge that fills them from Apple, Google or Outlook contacts, HubSpot, Salesforce or a CSV file. Both start at the Professional plan.

  7. 7

    Inbox collaboration

On a shared inbox you already have, teammates can assign emails, see who is viewing or replying to a message, and share notes, tasks and color-coded tags.

  8. 8

    A 2.4 GPA, above 19 of 51

That is against the other email apps we grade, on value, the free plan, features, ease of use and platforms.

  9. 9

    Keep it

To replace Mailbutler you would be making one mailbox that several people work at once. That is not a weekend's work, with an AI app builder or without one.

The report card

Best for tracking and templates inside the mail app you have

Mailbutler isn't a mail app. It's an add-on inside Apple Mail, Gmail or Outlook that adds tracking, templates, mail merge, scheduled sending and notes on emails. The free plan stamps a Mailbutler watermark on what you send, paid Starter at $4 has the same features, templates need $7, the AI waits for the $11 plan, CRM sync is $24, the phone apps need a desktop install, and custom SMTP isn't out yet.

ToolGPA report cardMailbutlerGraded Oct 10, 2026
SubjectGradeComment
Value for moneyCPaid Starter is $4 a user a month billed yearly, but its feature list is the same as the free plan's. Templates, mail merge and assignments need Professional at $7, and the AI needs the $11 plan, so you're at or above this category's $8 middle. Business is $24.
Free plan and trialCStarter is free for good, with first-open and first-click tracking, notifications and signatures. But every email you send carries a visible Mailbutler watermark. The 14-day trial of all features needs no card.
FeaturesCAs an add-on it does its job: open and link tracking, templates with placeholders, mail merge from contacts or a CSV, notes and tasks on emails, assignments in a shared inbox and automations. That's a smaller job than a mail app's, and the AI, full open history and CRM sync are rationed by plan.
Ease of useBNo rating on record, and little to set up: it adds itself to the mail app you already use and tracking starts working, with no new inbox to learn. The iPhone and Android apps are companions that need a desktop install first.
Platforms and integrationsBInside Apple Mail, Gmail in Chrome, Safari or Edge, and Outlook, on Mac and Windows, with companion phone apps rather than standalone ones and no web app of its own. It connects to HubSpot, Salesforce, Asana, Todoist, Trello and Evernote, and custom SMTP is still coming soon.
Grade point averageFair, out of 4.02.4

An A is worth 4 points, a B 3, a C 2, a D 1 and an F nothing. The GPA is the average of the five.

Who Mailbutler is for

  • Fits if you want tracking and templates without leaving Apple Mail, Gmail or Outlook
  • Works for mixed teams where one person is on Apple Mail and the next is on Outlook

Who it is not for

  • Skip it if you want a whole new mail app, because this is an add-on to the one you have
  • Tight if you stay free, as every email you send carries a visible Mailbutler watermark
  • Pricey if you need HubSpot or Salesforce tracking sync, which is on Business at $24 a user
  • Watch out: paid Starter at $4 lists the same features as free; templates need $7 and the AI $11 a user
  • Watch out: the phone apps only work alongside a desktop install, and custom SMTP is still listed as coming soon

Good to know

Good for

  • People who want tracking and templates inside Apple Mail, Gmail or Outlook
  • Teams sharing an info@ or sales@ inbox without moving to a new mail app
  • Mixed teams whose members use different email clients

Worth knowing

  • It is an add-on, not a mail client: it runs inside Apple Mail, Gmail in Chrome, Safari or Edge, and Outlook. The iOS and Android apps are companions that need a desktop install.
  • The free Starter plan puts a visible Mailbutler watermark on sent emails and covers only basic tracking and signatures.
  • The AI Smart Assistant, per-recipient tracking and full open history need the Smart plan at $11 per user / month, billed yearly.
  • HubSpot and Salesforce tracking sync, a custom tracking subdomain and IP exclusion are limited to Business. Custom SMTP is listed as coming soon.

Keep it, or make your own?

Whether this is something you could build for yourself with an AI app builder, and what you would give up.

Keep it

To replace Mailbutler you would be making one mailbox that several people work at once. That is not a weekend's work, with an AI app builder or without one.

It costs $48 a year.

What you could make

  • Templates and tasks: an app builder makes these well.

What you could not

  • One mailbox that several people work at once.
  • Connections to other products, each kept working as those products change.
  • Apps for macOS, Windows, iOS and Android that stay in step with each other.
  • It is priced for each person, which means accounts and billing for a team.
  • AI features, unless you pay a model provider for each request yourself.

What this rests on. Mailbutler’s listing: what it does, where it runs, what it plugs into and what it costs. It is a judgement about the kind of software this is. We have not built a replacement for it, and making your own means looking after it too. How we decide, and every tool’s verdict.
