Part 01 · Overview
Welcome
What it is, who it suits, its grades and the ten things to know first
2.8
GPA, above 34 of the 51 other docs and wiki tools we grade
SharePoint is Microsoft's web-based platform for intranets, team sites and document management. Organizations use it to store and organize files in libraries with version history, publish internal news and pages, and control access down to individual items. It is sold as part of Microsoft 365 business plans and supplies the content that Microsoft 365 Copilot draws on.
To get you started, here are 10 things to know about Microsoft SharePoint, taken from its own pages and our grades.
- 1
Best for intranets for firms already on Microsoft 365
You can't buy it by itself, there's no free plan, and the one-month trial wants a card.
- 2
Paid plans start at $5.40 a month for each person
As its pricing page puts it: $5.40 per user / month, paid yearly (Microsoft 365 Business Basic, no Teams).
- 3
You can try it first
One-month free trial of Microsoft 365 business plans; credit card required, and trial storage is limited
- 4
It runs on 3 platforms
Web, iOS and Android.
- 5
Team and communication sites
Sites for individual teams and for organization-wide news, resources and campaigns, built from templates with flexible layouts and drag-and-drop editing.
- 6
Document libraries
Libraries keep version history and access control for every file. Documents can be edited by several people in real time, and files and folders can be kept offline.
- 7
Microsoft Lists
Lists share, organize and track structured information next to a site's pages and files, and are included in every business plan.
- 8
Refunds: 7 days
SharePoint comes inside a Microsoft 365 business subscription, and the business rules are tighter than the 30 days Microsoft gives consumers. On the newer billing account type you have seven days from the start or the renewal to cancel for a prorated refund, and after that all you can do is switch the renewal off and run out the term.
- 9
A 2.8 GPA, above 34 of 51
That is against the other docs and wiki tools we grade, on value, the free plan, features, ease of use and platforms.
- 10
Keep it
To replace Microsoft SharePoint you would be making a search engine with an AI model behind it. That is not a weekend's work, with an AI app builder or without one.

The report card
Best for intranets for firms already on Microsoft 365
SharePoint is where a company on Microsoft 365 keeps its intranet, team sites and documents, with version history on every file and permissions down to a single item. You can't buy it by itself, there's no free plan, and the one-month trial wants a card. Copilot on the $5.40 Basic plan is a $21 add-on, there's no desktop app, and the business plans stop at 300 users.
| Subject | Grade | Comment |
|---|---|---|
| Value for money | B | It comes with Microsoft 365 Business Basic at $5.40 a user a month paid yearly without Teams, or $7.00 with, which is inside the cheapest quarter for this category. That includes 1 TB of storage per user and the web Office apps. Copilot on Basic is an add-on at a regular $21.00. |
| Free plan and trial | D | No free plan. Microsoft 365 business plans have a one-month trial, but it needs a credit card and trial storage is limited. Eligible nonprofits do get Business Basic as a grant, free for up to 300 users. |
| Features | A | It covers the whole job: news and team sites from templates, document libraries with version history and live co-editing, and Microsoft Lists. The parts rivals don't have are permissions set down to a single list item, and your own web parts on SPFx with Power Apps and Power Automate in the same site. |
| Ease of use | B | 4.6 from about 141,000 App Store ratings, and that's the phone app. Before anyone opens it, a company needs a Microsoft 365 business plan and an admin to build the sites and decide who sees what. |
| Platforms and integrations | B | The browser plus iPhone and Android apps, wired into Teams, OneDrive, Word, Excel, Power Automate and Copilot Studio, with the SharePoint Framework for developers. Microsoft lists no dedicated desktop app. |
An A is worth 4 points, a B 3, a C 2, a D 1 and an F nothing. The GPA is the average of the five.
Who Microsoft SharePoint is for
- Fits if your company already pays for Microsoft 365 and needs an intranet
- Works for documents that need version history and permissions down to a single item
Who it is not for
- Skip it if you're not on Microsoft 365, because there's no standalone SharePoint plan
- Not for you if you want a free plan, as the one-month trial needs a credit card and limits storage
- Tight if you're over 300 users, since the business plans stop there and point you to enterprise
- Pricey if you want Copilot on Business Basic, where it's a $21 add-on on top of $5.40 a user
- Watch out: there's no desktop app, and an admin has to build the sites and decide who sees what
Good to know
Good for
- Organizations on Microsoft 365 that need an intranet and team sites

Part 04 · Standing
Where it stands
Its grades against its category, and whether to keep it or make your own
34/51
Other docs and wiki tools it is graded above
Microsoft SharePoint's GPA of 2.8 is higher than 34 of the 51 other docs and wiki tools we grade, and level with 8.
It stands best on features (A, above 48 of 51) and worst on free plan and trial (D, above 2).
Its paid plans start at $5.40 a month for each person, against a middle price of $16.50 for the category: 6 of the 41 others that charge start lower.
On features, ease of use and platforms it scores 3.3 out of 4. Nothing scores higher for less, though at least one tool matches that score at a lower price.

Every bar is all 52 docs and wiki tools we grade, cut by the letter each got. Microsoft SharePoint’s own letter is outlined.

Keep it, or make your own?
Whether this is something you could build for yourself with an AI app builder, and what you would give up.
Keep it
To replace Microsoft SharePoint you would be making a search engine with an AI model behind it. That is not a weekend's work, with an AI app builder or without one.
It is one of the better ones too: its GPA of 2.8 is higher than 34 of the 51 other docs and wiki tools we grade. It costs $64.80 a year.
What you could make
- Documents and templates: an app builder makes these well.
What you could not
- A search engine with an AI model behind it.
- Connections to other products, each kept working as those products change.
- Storing and serving files for other people.
- A real app for iOS and Android. Something home-made would be a web page.
- Several people working in it at the same moment.
- What a company asks for before it lets staff use something: roles and permissions.
- The depth: we grade its features A, which means it covers the whole job.
What this rests on. Microsoft SharePoint’s listing: what it does, where it runs, what it plugs into and what it costs. It is a judgement about the kind of software this is. We have not built a replacement for it, and making your own means looking after it too. How we decide, and every tool’s verdict.
Part 05 · Refunds
After you pay
Getting your money back, getting out, and getting help
What happens once you have paid: whether you can get your money back, how to leave, and how to reach a person when something goes wrong. Each is graded from Microsoft SharePoint’s own terms and help pages.
Refunds and cancelling
Good · checked Oct 18, 2026
SharePoint comes inside a Microsoft 365 business subscription, and the business rules are tighter than the 30 days Microsoft gives consumers. On the newer billing account type you have seven days from the start or the renewal to cancel for a prorated refund, and after that all you can do is switch the renewal off and run out the term. It is a real window, stated plainly, and you work it yourself in the admin centre, but seven days is a long way short of 30.
- Refund window
- 7 days
- How you cancel
- Yourself, in settings
- Getting your money back
On a Microsoft Customer Agreement billing account you can cancel for a prorated credit or refund only within seven days of the subscription starting or renewing, returned within one to two days; after that the only option is turning off recurring billing. On the older Microsoft Online Subscription Agreement, cancelling brings a prorated credit or refund in the next billing cycle.
Stated on learn.microsoft.com- How to cancel Microsoft SharePoint
An admin cancels in the Microsoft 365 admin centre, under Subscriptions or Billing then Your products, by opening the subscription and choosing Cancel subscription. Outside the seven-day window on a Microsoft Customer Agreement account the pane offers only Edit recurring billing, set to Off. A subscription bought from a partner is cancelled through that partner.
- Sign in to the Microsoft 365 admin centre as a billing account owner or billing admin
- Select Subscriptions in Simplified view, or Billing then Your products in Dashboard view
- Select the subscription you want to end
- In the billing settings, select Cancel subscription
- Inside the cancellation window, pick a reason and confirm
- Outside it, open the recurring billing settings, set them to Off and save
- Repeat for every other active subscription you want to end
- What you keep afterwards
A subscription goes Active, Expired, Disabled, Deleted. For most offers it sits 30 days Expired, with everyone still working as normal, then 90 days Disabled, when only admins reach the data and the Office apps fall back to read-only. After that the data is deleted. Microsoft warns that explicitly deleting a subscription wipes the SharePoint and OneDrive content immediately.
Stated on learn.microsoft.com- Renewals
Recurring billing is on by default when a business subscription is paid by card or through a billing profile, and Microsoft keeps billing at the end of each term. Turning it off does not cancel the subscription: it stays active until the term expires, and the expiry date is shown on the Your products page. Doing so also cancels any scheduled changes. No reminder before a renewal is mentioned on the pages read.
Stated on learn.microsoft.com
In your favour
- There is a stated window, seven days from the start or a renewal, with the money back pro rata.
- Microsoft says a prorated refund lands within one or two days of the cancellation.
- Admins do all of it themselves in the admin centre, with nobody to phone.
- Turning off recurring billing leaves the subscription working normally until its term runs out.
Watch out for
- Seven days is the whole window on the newer billing account type: miss it and you ride out the term.
- Only billing owners or billing admins can do any of this, not ordinary users.
- On the older agreement type, cancelling online needs 25 licences or fewer, so bigger tenants cut back first.
- Delete a subscription outright and Microsoft says the SharePoint and OneDrive content goes immediately.
Customer support
Excellent · checked Oct 18, 2026
This is the part the business plans pay for. Any admin on any Microsoft 365 for business subscription can open a request in the admin centre and ask to be phoned or emailed, with the expected wait shown before they commit, and the numbers are published country by country. Technical support runs in English around the clock, billing on weekday office hours. Add a large help site and a public community and that is an A.
Ways to get help
Phone
Microsoft publishes support numbers by country for Microsoft 365 for business admins, and asks you to have the account details ready. A call from a number not registered on the organisation's profile triggers a PIN sent to the registered contact before the agent can open the account.
Stated on learn.microsoft.comContact form or ticket
An online service request started from Help & support in the Microsoft 365 admin centre. A support assistant answers first; if it cannot help, Contact Support takes your details, you pick phone or email, and the pane shows the expected wait before you send it.
Stated on learn.microsoft.comHelp centre
The SharePoint help and learning site, with written and video guidance on sites, lists, libraries, permissions, sharing and the mobile app, open to anyone without signing in.
Stated on support.microsoft.comCommunity or forum
A SharePoint discussion area in the Microsoft Community Hub, where customers, MVPs and Microsoft staff post questions and answers in public.
Stated on techcommunity.microsoft.com
Not listed on Microsoft SharePoint’s pages: live chat.
- When people answer
Microsoft states that technical support for Microsoft 365 for business is provided in English 24 hours a day, 7 days a week, with local languages in some countries, and that billing support in most countries is in English from 9 AM to 5 PM, Monday to Friday. Local language cover varies by country.
Stated on learn.microsoft.com- How fast it says it replies
No fixed reply time is published. Microsoft says instead that when you ask to be contacted from the admin centre, the expected wait time is shown in the Contact support pane before you send the request.
Stated on learn.microsoft.com- What depends on your plan
These routes are for admins of a business subscription bought through Microsoft, and Microsoft says you need at least one subscription bought from it to use them. An organisation that bought everything through a partner is sent to that partner instead. Volume licensing customers have a separate team, reached the same way.
Stated on learn.microsoft.com
In your favour
- Technical support is in English around the clock, on every Microsoft 365 for business plan.
- The admin centre shows the expected wait before you send a request, which almost nobody does.
- You choose whether to be phoned or emailed back rather than sitting on hold.
- The SharePoint help site and the public community are open to everyone, admin or not.
Watch out for
- Only admins get these routes: everyone else is sent to the general consumer support page.
- Billing questions get office hours only, 9 to 5 Monday to Friday in most countries.
- Buy entirely through a reseller and Microsoft sends you to the reseller for help.
- A support assistant answers first in the admin centre before a person is offered.
What these two grades rest on. Read on 18 October 2026: Microsoft Learn articles on cancelling a business subscription, on recurring billing and on what happens to data when a subscription ends, the Microsoft 365 admin support page, the SharePoint help site, the SharePoint community hub and the business plans page. These are Microsoft 365 for business rules, which differ from the consumer policy. Nobody here cancelled a plan or contacted support. They are graded apart from the five that make the GPA. How we grade refunds and support.
