Part 01 · Overview
Welcome
What it is, who it suits, its grades and the ten things to know first
2.4
GPA, above 27 of the 123 other to-do list apps we grade
MyLifeOrganized (MLO) is a task manager built around an outline of tasks and subtasks with no depth limit, from which it generates a list of the actions that need attention now. It supports GTD-style contexts, reviews and task dependencies, with apps for Windows, Android and iOS. The mobile apps are free with a paid Pro upgrade, the Windows desktop app is sold separately in Standard and PRO editions, and syncing through MLO Cloud is a subscription.
To get you started, here are 9 things to know about MyLifeOrganized, taken from its own pages and our grades.
The GTD, FranklinCovey and Do-It-Tomorrow templates are there because you'll want a starting point.
- 1
Best for deep outlines that turn into a next-actions list
Paying is the puzzle, as phone Pro, the Windows app and cloud sync are three separate purchases and the Windows price isn't shown.
- 2
What it costs
Paid plans start at $29.99 in-app purchase for Pro on iOS; the Windows app is sold separately.
- 3
There is a free plan
The iOS and Android apps keep most features free: unlimited nested tasks, next actions, context filters, inbox, starred tasks, reminders and templates.
- 4
It runs on 3 platforms
Windows, iOS and Android.
- 5
Unlimited task hierarchy
Tasks nest into subtasks without a depth limit, so a project can be broken down until each action is a manageable size. Zoom narrows the view to one branch.
- 6
Automatic next-actions list
The app generates a list of only the actions that need attention now, sorted using the priority of each task and of its parents.
- 7
Contexts and Nearby view
Actions can be filtered by context. The Pro Nearby view lists actions for your current GPS location, with reminders when you reach or leave a place.
- 8
A 2.4 GPA, above 27 of 123
That is against the other to-do list apps we grade, on value, the free plan, features, ease of use and platforms.

The report card
Best for deep outlines that turn into a next-actions list
MyLifeOrganized is an outliner for tasks: nest them as deep as you like and it builds a list of next actions, with contexts and dependencies. Paying is the puzzle, as phone Pro, the Windows app and cloud sync are three separate purchases and the Windows price isn't shown. Repeats lock after the 21-day trial, there's no Mac or web version, and the iOS app was last updated in April 2022.
| Subject | Grade | Comment |
|---|---|---|
| Value for money | C | Three tills, not one: $29.99 for Pro on iPhone, $19.95 a year for cloud sync, and a Windows licence sold separately whose price isn't on record here. The phone purchase alone is $29.99, but you can't add up what the whole thing costs. |
| Free plan and trial | C | The phone apps keep a lot free, including unlimited nested tasks, next actions, contexts, reminders and templates. But repeating tasks, custom views and the calendar lock when the 21-day Pro trial runs out, and repeats are a thing most people need. |
| Features | B | It covers the whole job: tasks nesting without a depth limit, a next-actions list computed from each task's priority and its parents, contexts, dependencies, projects that run in order, custom views, a calendar and a Nearby view tied to where you are. |
| Ease of use | C | No store rating on record, and an outline this flexible wants setting up: contexts, filters, custom views and workspaces are all yours to arrange. The GTD, FranklinCovey and Do-It-Tomorrow templates are there because you'll want a starting point. |
| Platforms and integrations | B | Windows, iPhone and Android, with Apple Reminders and Google Assistant hooked in, so phone and computer are both covered. No Mac app, though, the web version announced in December 2024 still has no release date, and the iOS app was last updated in April 2022. |
An A is worth 4 points, a B 3, a C 2, a D 1 and an F nothing. The GPA is the average of the five.
Who MyLifeOrganized is for
- Fits if you plan in deep outlines and want the app to work out what's next
- Works for syncing a phone with a Windows PC over your own Wi-Fi
Who it is not for
- Skip it if you're on a Mac, as there's no Mac app and the web version announced in December 2024 has no release date
- Tight if you're staying free, because repeating tasks, custom views and the calendar lock after 21 days
- Pricey if you want everything, since phone Pro, the Windows app and cloud sync are bought separately
- Watch out: the Windows licence price isn't shown in the store listings, and sync adds tax or VAT in some countries
- Watch out: the iOS app was last updated in April 2022
Good to know
Good for
- People who plan in deep outlines of projects and subtasks
- GTD users who want contexts, reviews and dependencies in one tool
- Syncing a phone with a Windows PC over private Wi-Fi or working offline
Worth knowing
- The Windows app is sold separately in Standard and PRO editions after a 45-day trial; its license prices are not shown in the store listings or included here.
- Recurring tasks, custom views, the calendar view, dependencies and project tracking are Pro features that lock when the 21-day trial ends.
- Cloud sync is a separate subscription, from $4.95 for 30 days to $29.95 for 24 months, with tax or VAT added in some countries.
- The vendor lists apps for Windows, Android and iOS only. The iOS app was last updated in April 2022, and a web version announced in December 2024 has no release date.

Keep it, or make your own?
Whether this is something you could build for yourself with an AI app builder, and what you would give up.
Keep it
The plain part of MyLifeOrganized you could make: tasks, templates, calendar and goals. What surrounds it you could not. The 3 things listed below take a company, not a weekend.
That makes this kind of software worth paying for, not this one in particular: 76 of the 123 other to-do list apps grade higher.
What you could make
- Tasks, templates, calendar and goals: an app builder makes these well.
What you could not
- Apps for Windows, iOS and Android that stay in step with each other.
- Sharing with other people, which means accounts and invitations.
- The depth: we grade its features B, which means it covers the whole job.
What this rests on. MyLifeOrganized’s listing: what it does, where it runs, what it plugs into and what it costs. It is a judgement about the kind of software this is. We have not built a replacement for it, and making your own means looking after it too. How we decide, and every tool’s verdict.
