Part 01 · Overview

Welcome

What it is, who it suits, its grades and the ten things to know first

3.0

GPA, above 38 of the 48 other AI meeting note takers we grade

Otter.ai transcribes meetings in real time and stores them as searchable notes with summaries. Its meeting agent can auto-join Zoom, Microsoft Teams and Google Meet calls from your calendar, and the Mac and Windows desktop app records without a bot in the call. Plans are metered by transcription minutes, with the free Basic plan capped at 300 minutes a month.

To get you started, here are 10 things to know about Otter.ai, taken from its own pages and our grades.

Connect your calendar and the notetaker turns up to your meetings by itself.
From our grade for ease of use

The report card

Best for reading the transcript while the meeting's on

Otter is a meeting notetaker that transcribes as people talk and joins Zoom, Teams and Meet from your calendar, or records from a Mac or PC with no bot. The meters hold it back. Free stops each conversation at 30 minutes and keeps only your 25 most recent, Pro still stops at 1,200 minutes a month and 90 minutes a meeting, and unlimited meetings cost $19.99 a user a month on Business.

ToolGPA report cardOtter.aiGraded Oct 10, 2026
SubjectGradeComment
Value for moneyCPro is $8.33 a month on the yearly plan, which is right about where meeting notetakers start, and $16.99 if you pay monthly. Pro is still metered at 1,200 minutes a month and 90 minutes a meeting, and unlimited meetings wait for Business at $19.99, the dear end of this lot. Middling money, then.
Free plan and trialCBasic hands you 300 transcription minutes a month, but a conversation stops at 30 minutes, you get 3 file imports ever, and only your 25 most recent conversations stay open. Short calls are fine; anything longer runs into a cap.
FeaturesBIt covers the whole job: live transcription with speakers labelled, a summary of every conversation on every plan, AI Chat, file imports and exports, and a notetaker that joins Zoom, Teams and Meet or records bot-free from your desktop. Nothing here its rivals don't do, mind, and AI Chat is capped on every plan.
Ease of useA4.8 from about 83,000 App Store ratings. Connect your calendar and the notetaker turns up to your meetings by itself.
Platforms and integrationsAWeb, Mac, Windows, iPhone, Android and a browser extension. It works with Zoom, Google Meet, Teams, Slack and Notion, and with Salesforce, HubSpot and Zapier from Pro. An MCP server is on every plan, though the API and webhooks are Enterprise only.
Grade point averageVery good, out of 4.03.0

An A is worth 4 points, a B 3, a C 2, a D 1 and an F nothing. The GPA is the average of the five.

  • Not for you if your meetings run long, as Pro stops at 1,200 minutes a month and 90 a meeting, and unlimited starts on Business at $19.99
  • Pricey if you pay monthly: Pro is $16.99 and Business $30, against $8.33 and $19.99 a month on the yearly plan
  • Watch out: AI Chat is capped on every plan, at 20 questions a month free, 50 on Pro and 200 at most

38/48

Other AI meeting note takers it is graded above

Otter.ai's GPA of 3.0 is higher than 38 of the 48 other AI meeting note takers we grade, and level with 7.

It stands best on ease of use (A, above 40 of 48) and worst on free plan and trial (C, above 5).

Its paid plans start at $8.33 a month for each person, against a middle price of $10 for the category: 14 of the 47 others that charge start lower.

On features, ease of use and platforms it scores 3.7 out of 4. 2 tools score higher and cost less.

Keep it, or make your own?

Whether this is something you could build for yourself with an AI app builder, and what you would give up.

Keep it

To replace Otter.ai you would be making a bot that joins your calls and turns the talk into notes. That is not a weekend's work, with an AI app builder or without one.

It is one of the better ones too: its GPA of 3.0 is higher than 38 of the 48 other AI meeting note takers we grade. It costs $99.96 a year.

What you could not

  • A bot that joins your calls and turns the talk into notes.
  • An AI model, which you can rent by the request but not make.
  • Speech turned into text you can trust.
  • Apps for macOS, Windows, iOS and Android that stay in step with each other.
  • It is priced for each person, which means accounts and billing for a team.
  • It plugs into other products, Zoom, Google Meet and Microsoft Teams among them.
  • The depth: we grade its features B, which means it covers the whole job.

What this rests on. Otter.ai’s listing: what it does, where it runs, what it plugs into and what it costs. It is a judgement about the kind of software this is. We have not built a replacement for it, and making your own means looking after it too. How we decide, and every tool’s verdict.

Getting your money back, getting out, and getting help

CRefunds

What happens once you have paid: whether you can get your money back, how to leave, and how to reach a person when something goes wrong. Each is graded from Otter.ai’s own terms and help pages.

Refunds and cancelling

CGrade

Ordinary · checked Oct 18, 2026

No refunds, and Otter says so in both its terms and its help centre: fees are non-refundable, full stop. What you do get is a clean exit. You cancel in the billing settings yourself, keep the paid features to the end of the period, can reactivate or pause instead, and nothing you recorded is deleted when the workspace drops to Basic. That is the ordinary deal, so a C.

Refund window
No set window
How you cancel
Yourself, in settings
Getting your money back

Otter's help article on cancelling says subscriptions are non-refundable, as explained in its terms of service, and the terms say all fees are non-refundable. Subscriptions bought through the Apple App Store or Google Play are managed on those platforms for billing, refunds and cancellation, under their own refund policies. No window of any length is stated for a purchase made on Otter's own site.

Stated on help.otter.ai
How to cancel Otter.ai

A subscription bought from Otter must be managed in a web browser: sign in as an admin, go to Account Settings, then Billing, click Cancel Plan, pick a reason and confirm. Otter says to cancel at least 24 hours before the next billing date to avoid an unwanted charge, offers a Pause plan instead, and lets you reactivate before the period ends. App Store and Google Play subscriptions are cancelled in those stores.

  1. Sign in to Otter on the web as an admin
  2. Go to Account Settings, then Billing, and click Cancel Plan
  3. Select your main reason for cancelling and click Continue
  4. Read the information in the pop-up and click Cancel subscription to confirm
Stated on help.otter.ai
What you keep afterwards

Otter says conversations stay in the account whether you cancel, downgrade or change plan, and are deleted only if you delete them, delete the account, or a workspace admin does. On the Basic free plan you can open the 25 most recent conversations; older ones are archived rather than deleted, are not deleted later either, and can still be exported. Paid features last until the end of the billing period.

Stated on help.otter.ai
Renewals

Otter's terms say a subscription renews automatically for a period equal to the first one or one year, whichever is less, and that you must cancel before it renews to avoid the next charge. For customers on an order form, the terms ask for 30 days' written notice before the end of a term to change or end it. No reminder before a renewal is promised on the pages read.

Stated on otter.ai

In your favour

  • You cancel in the billing settings yourself, and keep the paid features to the end of the period.
  • Change your mind before the period ends and you can reactivate the plan in the same place.
  • Need a break rather than an exit? Otter offers a pause instead of a cancellation.
  • Nothing you recorded is deleted on the way down to Basic, and archived conversations still export.

Watch out for

  • Fees are non-refundable in the terms and in the help centre alike: there is no window at all.
  • Cancel at least 24 hours before the billing date or the next charge goes through.
  • On Basic you can only open your 25 most recent conversations until you pay again.
  • Bought Otter in the App Store or Google Play? That store handles billing, refunds and cancelling.

Customer support

CGrade

Ordinary · checked Oct 18, 2026

You write in and wait. There is a request form anyone can use and the pricing table promises email support on every plan, prioritised on Business and Enterprise. There is no chat with a person, no phone, and not one page that says when the team works or how fast it aims to answer. That is where most tools sit, so a C.

Ways to get help

  • Email

Otter's terms give a support address and say a subscription can be cancelled by writing to it, as an alternative to the settings page or the app stores.

What depends on your plan

The pricing page's Product Support section lists email support as Standard on the Basic and Pro plans and Prioritised on Business and Enterprise. It states no hours, no reply target and no other difference between the plans.

Stated on otter.ai

In your favour

  • Anyone can send a request, free users included, without signing in first.
  • The help centre answers the awkward questions: archived conversations, cancelling and deleting an account.
  • Email support is listed on every plan, not held back for the paid ones.

Watch out for

  • No live chat with a person and no phone number anywhere on the site.
  • No page states support hours or how quickly Otter aims to reply.
  • Business and Enterprise get prioritised support, which says nothing about the wait on Pro.
  • Anything bought through an app store is that store's problem, not Otter's.

What these two grades rest on. Read on 18 October 2026: Otter's terms of service, its help articles on cancelling a Pro subscription and on what happens to conversations when a plan changes, its help centre and request form, and the pricing page with its support row and questions. The help centre turns automated readers away, so it was read in a browser. Nobody here cancelled a plan or contacted its support. They are graded apart from the five that make the GPA.
