Part 01 · Overview

Welcome

What it is, who it suits, its grades and the ten things to know first

2.4

GPA, above 15 of the 40 other automation tools we grade

RoboTask is a task automation program for Windows. Tasks are assembled in a visual editor from more than 300 ready-made actions covering files, FTP, email, web requests, databases, windows and keyboard and mouse input, and they start on a schedule or in response to events such as a hotkey, a changed folder or a user logging on. It can run as a Windows service and is sold as a perpetual license that includes a year of updates.

To get you started, here are 9 things to know about RoboTask, taken from its own pages and our grades.

  1. 1

Best for replacing batch files and scheduled jobs on Windows

RoboTask builds Windows tasks from more than 300 ready-made actions, set off on a schedule, a hotkey or a changed folder, and can run as a Windows service with nobody logged on.

  2. 2

    What it costs

Paid plans start at $149 one-time for a Personal license, with 1 year of updates.

  3. 3

    There is a free plan

    Windows.

  5. 5

    Visual task editor

A task is built by picking and combining actions in a visual editor, with conditions, loops, custom variables and expressions. No batch files or scripts are needed.

  6. 6

    Schedules and event triggers

Tasks run on a schedule or when something happens: a hotkey, a file or folder change, a window or process event, a device being plugged in, a logon, or CPU and RAM usage.

  7. 7

    Macro recorder

Keyboard and mouse actions can be recorded and replayed, and tasks can send keystrokes, move the pointer and click in any application.

  8. 8

That is against the other automation tools we grade, on value, the free plan, features, ease of use and platforms.

  9. 9

    Keep it

To replace RoboTask you would be making connections to other products, each kept working as those products change. That is not a weekend's work, with an AI app builder or without one.

The report card

Best for replacing batch files and scheduled jobs on Windows

RoboTask builds Windows tasks from more than 300 ready-made actions, set off on a schedule, a hotkey or a changed folder, and can run as a Windows service with nobody logged on. You pay $149 once. It's Windows only, the Database, CSV and remote features need the $249 Business license, and updates stop after a year unless you pay $59 to renew.

ToolGPA report cardRoboTaskGraded Oct 10, 2026
SubjectGradeComment
Value for moneyA$149 once for a Personal license, where subscriptions here run from about $19 a month, so it costs about eight months of one and the installed version keeps working. Updates are included for a year and renewal is optional at $59. The Database, CSV and remote features need the $249 Business license.
Free plan and trialCThe Free Licence is personal and non-commercial only, and it stops at 5 tasks of 50 steps each, though it does include every trigger and the debugger. There's also a 30-day trial with everything working and no registration asked for.
FeaturesBMore than 300 ready-made actions covering files, FTP, SFTP, email, REST calls, web forms, databases and keyboard and mouse input, with conditions, loops, variables, a macro recorder and Python, JavaScript or PowerShell inside a task. It also runs as a Windows service with nobody logged on.
Ease of useCNo store rating on record. There's no scripting language to learn, which is the pitch, but building a task still means picking your way through 300-odd actions and adding conditions, loops and variables. The 30-day trial at least needs no registration.
Platforms and integrationsDWindows only, from Windows 7 to 11 and Server 2008 to 2022, with no Mac, Linux, web or phone version. Instances on different machines can launch each other's tasks, but remote network and REST connections need the Business licence.
Grade point averageFair, out of 4.02.4

An A is worth 4 points, a B 3, a C 2, a D 1 and an F nothing. The GPA is the average of the five.

Who RoboTask is for

  • Fits if you're on Windows and tired of Task Scheduler jobs and batch files
  • Works for servers that need file transfers, backups or email jobs run with nobody logged on

Who it is not for

  • Skip it if you're on a Mac or Linux, because it only runs on Windows
  • Pricey if you need the Database or CSV plugins or remote connections, which come with the $249 Business license
  • Tight if you're staying free, with 5 tasks of 50 steps and personal, non-commercial use only
  • Watch out: updates stop after a year unless you renew at $59 for Personal or $99 for Business
  • Not for you if you want to build tasks in a browser or on a phone, as there's no web or phone version

Good to know

Good for

  • Windows users replacing Task Scheduler jobs and batch files
  • Unattended file transfers, backups and email jobs on a server
  • Buyers who want a perpetual license instead of a subscription

Worth knowing

  • Windows only: the system requirements list Windows 7 to 11 and Windows Server 2008 to 2022.
  • The Free License is for personal, non-commercial use and stops at 5 tasks of 50 steps each.
  • The Personal License leaves out the Database, CSV Data, WebSockets and Console App plugins, and remote connections need a Business License.
  • Updates are included for one year. Renewing costs $59 a year for Personal and $99 for Business; the installed version keeps working without it.

Where it stands

Its grades against its category, and whether to keep it or make your own

15/40

Other automation tools it is graded above

RoboTask's GPA of 2.4 is higher than 15 of the 40 other automation tools we grade, and level with 8.

It stands best on value for money (A, above 27 of 40) and worst on platforms and integrations (D, above 0).

Keep it, or make your own?

Whether this is something you could build for yourself with an AI app builder, and what you would give up.

Keep it

To replace RoboTask you would be making connections to other products, each kept working as those products change. That is not a weekend's work, with an AI app builder or without one.

It costs $149, paid once.

What you could not

  • Connections to other products, each kept working as those products change.
  • A builder that other people can use without writing code.
  • A real app for Windows. Something home-made would be a web page.
  • It is priced for each person, which means accounts and billing for a team.
  • The depth: we grade its features B, which means it covers the whole job.

What this rests on. RoboTask’s listing: what it does, where it runs, what it plugs into and what it costs. It is a judgement about the kind of software this is. We have not built a replacement for it, and making your own means looking after it too. How we decide, and every tool’s verdict.
