2.4
GPA, above 3 of the 21 other spreadsheet and database tools we grade
Tap Forms Pro is a personal database app for Mac, iPhone, iPad and Apple Watch, used to track things like customers, inventory, collections and projects. Forms are designed with built-in tools or imported from a template library, and data is stored locally on each device with optional sync through iCloud, Dropbox, WebDAV or nearby devices. It is the subscription-based successor to Tap Forms 5.
To get you started, here are 9 things to know about Tap Forms Pro, taken from its own pages and our grades.

The report card
Best for a personal database kept on your own Apple devices
Tap Forms Pro is a personal database for Mac, iPhone and iPad that keeps your customers, inventory or record collection on your own devices. It starts at $12.99 a year on iPhone and iPad. But it's subscription only, the 14-day trial comes only with the yearly plan, the Mac app is licensed apart, the AI needs your own API key, and it's Apple or nothing.
| Subject | Grade | Comment |
|---|---|---|
| Value for money | A | The iPhone, iPad and Apple Watch apps are $12.99 a year, about $1.08 a month, against a $5.40 lowest quarter and a $9.99 middle in this category. Mac and iOS together is $49.99 a year, which is $4.17 a month. The Mac app alone is $44.99, so the combined licence is the one to look at. |
| Free plan and trial | D | No free plan. There's a 14-day free trial, but it only comes when you pick the yearly subscription, so the year's charge follows unless you cancel, and payment details are on file from the start. There's no lifetime option at this time either. |
| Features | B | It covers the whole personal-database job: forms you design or import from a template library, drag-and-drop layouts for Mac, iPhone and iPad, saved searches, coloured tags, cascading pick lists, reports and PDFs from the Mac app, a JavaScript script editor with breakpoints, Shortcuts and AppleScript. |
| Ease of use | C | No rating on record, and the work is designing the thing itself: forms, fields and layouts before you can type a record in. Templates and an AI form generator give you a start, though the AI needs your own ChatGPT or DeepSeek API key, and local storage means no server to set up. |
| Platforms and integrations | C | One family of devices: Mac, iPhone, iPad and Apple Watch, and no Windows, Android or web version is listed. Sync runs through iCloud, Dropbox, WebDAV or nearby devices, and it works with Shortcuts and AppleScript. |
An A is worth 4 points, a B 3, a C 2, a D 1 and an F nothing. The GPA is the average of the five.
Who Tap Forms Pro is for
- Fits if you want a personal database on your Mac, iPhone and iPad
- Works for people who'd rather keep records on their own devices than on a vendor's servers
Who it is not for
- Skip it if you use Windows or Android, as only Apple platforms are listed
- Not for you if you want to pay once, because it's subscription only with no lifetime option
- Pricey if you only want the Mac app, at $44.99 a year against $12.99 for iOS
- Watch out: the 14-day trial only comes with the yearly plan, so payment details are on file from the start
- Watch out: the AI form generator only works with your own ChatGPT or DeepSeek API key
Good to know
Good for
- Mac, iPhone and iPad users who want a personal database
- Keeping records on your own devices rather than on a vendor's servers
- Former Bento users: Bento data can be imported on the Mac
Worth knowing
- Tap Forms Pro is sold by subscription only; the vendor says there is no lifetime option at this time.
- The vendor lists only Apple platforms: Mac, iPhone, iPad and Apple Watch.
- The Mac and iOS apps are licensed separately unless you choose the combined iOS and macOS subscription.
- The AI form generator works only with your own ChatGPT or DeepSeek API key.

Keep it, or make your own?
Whether this is something you could build for yourself with an AI app builder, and what you would give up.
Keep it
The plain part of Tap Forms Pro you could make: templates and reports. What surrounds it you could not. The 5 things listed below take a company, not a weekend.
That makes this kind of software worth paying for, not this one in particular: 14 of the 21 other spreadsheet and database tools grade higher. It costs $12.99 a year.
What you could make
- Templates and reports: an app builder makes these well.
What you could not
- Databases with views, filters and links between them.
- Apps for macOS and iOS that stay in step with each other.
- It plugs into other products, iCloud, Dropbox and WebDAV among them.
- Hooks into the device itself: an Apple Watch app.
- The depth: we grade its features B, which means it covers the whole job.
What this rests on. Tap Forms Pro’s listing: what it does, where it runs, what it plugs into and what it costs. It is a judgement about the kind of software this is. We have not built a replacement for it, and making your own means looking after it too. How we decide, and every tool’s verdict.
