Part 01 · Overview

Welcome

What it is, who it suits, its grades and the ten things to know first

2.8

GPA, above 92 of the 123 other to-do list apps we grade

Tasks is a task manager for iPhone, iPad, Mac, Apple Watch and Apple Vision Pro that starts as a simple list and can grow into a kanban workflow with custom statuses, fields and task types. Tasks can be timed with a focus timer that blocks distracting apps, and personal projects sync through iCloud without an account. The essentials are free; Tasks Plus, sold as a subscription or a lifetime purchase, adds custom workflows, Smart Lists, automation and project sharing.

To get you started, here are 9 things to know about Tasks, taken from its own pages and our grades.

It starts as a plain list and only turns into boards and workflows if you build them.

  5. 5

    Natural-language capture

Typing a sentence such as "Team meeting every Monday at 4pm" sets the date and the repeat. Tasks can also be added with Siri, from the Share Extension or by pasting a whole list.

  6. 6

    Custom statuses and kanban boards

A project can have its own statuses, fields and task types, and can be laid out as a board whose columns are created, renamed and rearranged to fit the work.

  7. 7

    Focus timer and time tracking

A timer starts from any task and records time task by task. It can block distracting apps while it runs and stays visible on the Lock Screen and Dynamic Island.

  8. 8

The report card

Best for a simple list that can grow into a board

Tasks starts as a simple list and can turn into a kanban board with your own statuses, fields and task types, across iPhone, iPad, Mac and Apple Watch. But custom workflows, advanced fields, automation and sharing all need Tasks Plus at $24.99 a year or $3.99 a month, adding an AI assistant to a project counts as sharing, and there's no Windows or Android version. Its web app is still in beta.

ToolGPA report cardTasksGraded Oct 10, 2026
SubjectGradeComment
Value for moneyBTasks Plus is $24.99 a year, about two dollars a month, which sits inside the cheapest quarter of paid to-do apps. Monthly is $3.99, so take the year. Individual lifetime is $69.99, under two years of the category's middle plan. And in a shared project only the owner needs Plus.
Free plan and trialBThe free tier covers capturing tasks and organizing projects across your Apple devices, synced through iCloud with no account, which one person could live on. Custom workflows, advanced fields, Smart Lists, automation and project sharing all need Tasks Plus.
FeaturesBType "Team meeting every Monday at 4pm" and it sets the date and the repeat. Projects take custom statuses, fields and board columns, a focus timer tracks time per task, and there are location reminders, shared projects and two-way sync with Apple Reminders. No gap in the core work shows up.
Ease of useB4.62 from 1,908 App Store ratings, taken as the store writes it, which is a B and not the 4.7 an A asks for. It starts as a plain list and only turns into boards and workflows if you build them.
Platforms and integrationsCiPhone, iPad, Mac, Apple Watch and Apple Vision Pro, with Siri, Shortcuts and Apple Reminders, and ChatGPT or Claude able to join a project. Still one family of devices. The vendor says it isn't available on Windows or Android, and its web app is in beta testing.
Grade point averageGood, out of 4.02.8

An A is worth 4 points, a B 3, a C 2, a D 1 and an F nothing. The GPA is the average of the five.

Who Tasks is for

  • Fits if you want one task app across iPhone, iPad, Mac and Apple Watch
  • Works for projects whose stages go beyond to do and done, if you pay for Tasks Plus

Who it is not for

  • Skip it if you use Windows or Android, as the vendor says it isn't available there, and the web app is in beta
  • Tight if you're staying free, because custom workflows, automation and project sharing all need Tasks Plus
  • Pricey if you pay monthly, at $3.99 against $24.99 for the year, and Family Plus is $49.99 a year
  • Watch out: connecting an AI assistant is free, but adding it to a project counts as sharing and needs Plus
  • Watch out: these are US prices, and the vendor notes that local App Store prices and tax can differ

Good to know

Good for

  • One task app across iPhone, iPad, Mac and Apple Watch
  • Projects whose stages go beyond to do and done
  • People who prefer a lifetime purchase to a subscription
  • Small shared projects where only the owner pays

Worth knowing

  • Apple devices only: the vendor says Tasks is not available on Windows or Android, and its web app is still in beta testing.
  • Custom workflows, advanced fields, Smart Lists, automation and project sharing all need Tasks Plus.
  • Connecting an AI assistant is free, but adding it to a project counts as sharing and so needs Tasks Plus.
  • The listed prices are for the US storefront; the vendor notes that local App Store prices and tax can differ.

Keep it, or make your own?

Whether this is something you could build for yourself with an AI app builder, and what you would give up.

Keep it

The plain part of Tasks you could make: tasks, kanban boards, natural-language input, time tracking and templates. What surrounds it you could not. The 6 things listed below take a company, not a weekend.

It is one of the better ones too: its GPA of 2.8 is higher than 92 of the 123 other to-do list apps we grade. It costs $24.99 a year.

What you could make

  • Tasks, kanban boards, natural-language input, time tracking and templates: an app builder makes these well.

What you could not

  • Blocking that reaches every browser and app and is hard to switch off.
  • Apps for macOS and iOS that stay in step with each other.
  • It plugs into other products, Apple Reminders, Siri and Apple Shortcuts among them.
  • Hooks into the device itself: an Apple Watch app, widgets, Siri and the lock screen.
  • Sharing with other people, which means accounts and invitations.
  • The depth: we grade its features B, which means it covers the whole job.

What this rests on. Tasks’s listing: what it does, where it runs, what it plugs into and what it costs. It is a judgement about the kind of software this is. We have not built a replacement for it, and making your own means looking after it too. How we decide, and every tool’s verdict.
