Part 01 · Overview
Welcome
What it is, who it suits, its grades and the ten things to know first
3.0
GPA, above 57 of the 74 other calendar and scheduling apps we grade
WhenIsGood is a free web tool for finding a time that suits a group. An organizer paints the proposed times on a grid and circulates a link, invitees paint the times that are good for them, and a results page shows which times everyone can make. It works without an account, and the site's FAQ says everything is free with no adverts. The service launched in November 2007 and is owned by private individuals based in the UK.
To get you started, here are 8 things to know about WhenIsGood, taken from its own pages and our grades.
No rating on record, but there's nothing to set up: click the grid, press Create Event, send the link.
- 1
Best for a free group poll with no sign-up and no adverts
It's free, with no ads and no account needed.
- 2
It is free
WhenIsGood has no paid plan at all. The FAQ says everything on WhenIsGood is free, with no adverts, and that everything works without an account. The terms of use also state that the service is free.
- 3
It runs on Web
Web.
- 4
Paint-the-grid event setup
Click the grid for the dates and times you propose, optionally name the event, and press Create Event to get a link for invitees and a results code for yourself.
- 5
Results with near misses
Times that suit everyone show in green, and near misses carry red dots for the people who cannot make them. Respondents are listed from most flexible to least flexible.
- 6
Adjustable slots and hours
Buttons switch the grid between 15-, 30- and 60-minute slots or whole days, and the options panel widens the hours beyond the default 8am to 6pm.
- 7
A 3.0 GPA, above 57 of 74

The report card
Best for a free group poll with no sign-up and no adverts
WhenIsGood has done one thing since 2007: you mark the times you propose on a grid, send a link, and everyone marks when's good for them. It's free, with no ads and no account needed. But it doesn't read your calendar, so everyone fills in times by hand, there are no apps, event links have no passwords, and without an account you need a results code to see responses later.
| Subject | Grade | Comment |
|---|---|---|
| Value for money | A | Everything is free, where a typical calendar tool wants about $6 a month. The FAQ says so, the terms of use say so, and there's no paid plan anywhere on the site. |
| Free plan and trial | A | The product is free outright, and the FAQ says there are no adverts and that everything works without an account. |
| Features | C | Slots of 15, 30 or 60 minutes or whole days, times adjusted to each invitee's own zone, results that mark near misses with a red dot per person who can't make it, email alerts and a dashboard. It does the group-poll job fully, and that job is small: calendar integration is only an iCal export of the time you pick. |
| Ease of use | B | No rating on record, but there's nothing to set up: click the grid, press Create Event, send the link. Even making an account skips the password, because logging in is a six-digit code by email. |
| Platforms and integrations | C | A web page and nothing else. No phone or desktop app is listed, and it doesn't connect to any calendar or video tool. The nearest thing is the iCal file you can download for the chosen time. |
An A is worth 4 points, a B 3, a C 2, a D 1 and an F nothing. The GPA is the average of the five.
Who WhenIsGood is for
- Fits if you want an availability poll with no sign-up and no ads
- Works for groups spread across time zones that need a time for a call
Who it is not for
- Skip it if you want your calendar to fill in your free time, as availability is entered by hand
- Not for you if the poll is sensitive, since event links have no passwords, just a hard-to-guess URL
- Too light for booking clients, because it only finds a time a group can make
- Watch out: without an account, lose the results code from the event-created page and you can't see responses
- Not for you if you want a phone app or a site in your own language, as it's web only and English only
Good to know
Good for
- Organizers who want an availability poll with no sign-up and no adverts
- Groups in different time zones choosing a time for a call
- One-off meetings and events where invitees should not need accounts
Worth knowing
- Event links have no passwords; the FAQ relies on the random invitation URL being hard to guess.
- The FAQ describes calendar integration only as an iCal (.ics) export of the chosen time, so availability is entered by hand.
- Without an account, you need the results code from the event-created page to see responses later.
- The site text is in English only; the language box changes how dates, times and numbers are written.

- Time zone support
- With time zones switched on, proposed times are adjusted to each invitee's own zone, and the results page produces text showing the chosen time for every invitee.
- Optional account and dashboard
- Logging in with an emailed six-digit code, with no password to choose, collects your events and responses on a dashboard so results codes do not have to be kept.
- Email alerts and iCal export
- An organizer can ask for an email whenever someone responds. Clicking the chosen time on the results grid gives an iCal (.ics) link to add to a calendar or attach to an email.
