Part 01 · Overview

Welcome

What it is, who it suits, its grades and the ten things to know first

2.8

GPA, above 36 of the 51 other email apps we grade

Zoho TeamInbox is a shared inbox tool from Zoho for group email addresses and customer messaging channels. Teams connect email, WhatsApp Business, Telegram, Facebook Messenger and Instagram to shared inboxes, then assign threads, discuss them internally, co-author replies and automate routine steps with rules. It is sold per user on two plans, with cheaper mobile-only plans for very small teams, and it is also part of Zoho One.

To get you started, here are 9 things to know about Zoho TeamInbox, taken from its own pages and our grades.

  1. 1

Best for a shared inbox from $5 a user

Zoho TeamInbox is a shared inbox where group addresses and WhatsApp, Telegram, Facebook and Instagram messages land together for a team to assign, discuss and answer, from $5 a user yearly.

  2. 2

Paid plans start at $0.99 a month

As its pricing page puts it: $0.99 per month (mobile-only Solo); Starter is $5 per user / month, billed annually.

  3. 3

    You can try it first

14-day free trial of the Professional plan for up to 5 users, with no payment information required

  4. 4

    It runs on 4 platforms

    Web, iOS, macOS and Android.

  5. 5

    Multichannel shared inboxes

Group email addresses, WhatsApp Business numbers, Telegram, a Facebook Page and an Instagram professional account can all feed one shared inbox. Email is added by forwarding or over POP/IMAP.

  6. 6

    Assign, follow, snooze and archive

Threads can be assigned to an owner, followed for notifications, snoozed until later and archived when finished, with views for what is assigned to or shared with you.

  7. 7

    Internal discussions and shared drafts

Teammates comment and @mention each other beside a thread instead of forwarding it, and can co-author a reply by sharing the draft and editing it in real time.

  8. 8

    A 2.8 GPA, above 36 of 51

That is against the other email apps we grade, on value, the free plan, features, ease of use and platforms.

  9. 9

    Keep it

To replace Zoho TeamInbox you would be making one mailbox that several people work at once. That is not a weekend's work, with an AI app builder or without one.

The report card

Best for a shared inbox from $5 a user

Zoho TeamInbox is a shared inbox where group addresses and WhatsApp, Telegram, Facebook and Instagram messages land together for a team to assign, discuss and answer, from $5 a user yearly. There's no free plan after the 14-day trial, and taxes come on top. Starter is capped at 3 shared incoming channels and 25 rules, analytics need Professional, extra channels are $4 each, and the $0.99 plans are phone only.

ToolGPA report cardZoho TeamInboxGraded Oct 10, 2026
SubjectGradeComment
Value for moneyAThis is a shared inbox, so we set it against the ones it lists as rivals: Front and Hiver at $25 a seat, Help Scout at $25, Missive at $14, Drag at $12. Starter is $5 a user billed annually, Professional $7.50, and there are phone-only plans from $0.99. It undercuts the lot.
Free plan and trialCNo free plan at all. What you get is 14 days of Professional for up to 5 users with no payment details asked for, which is a fair look but a short one. After that it's a paid plan, plus local taxes on top of the listed prices.
FeaturesCThe shared-inbox basics are here: assignments, following, snooze, comments beside a thread, drafts two people edit at once, rules and templates. The listing's own limits hold it here, though: 3 shared incoming channels and 25 rules on Starter, extra channels at $4 each, analytics only on Professional.
Ease of useCNo store rating on record, and there's wiring before anyone answers a message: email comes in by forwarding or over POP/IMAP, and WhatsApp, Telegram, Facebook and Instagram each have to be connected. After that it's assign, comment, reply.
Platforms and integrationsAWeb, a Mac app, iPhone and Android, with Windows and Linux people working in the browser. Integrations include Zapier, Make, n8n and Power Automate, plus eWidgets that put Zoho CRM, Zoho Desk, Asana and Trello in the thread.
Grade point averageGood, out of 4.02.8

An A is worth 4 points, a B 3, a C 2, a D 1 and an F nothing. The GPA is the average of the five.

Who Zoho TeamInbox is for

  • Fits if a small team shares a support or sales address and wants to pay $5 to $7.50 a user
  • Works for teams whose customers also message on WhatsApp, Instagram or Facebook

Who it is not for

  • Tight if you're on Starter, with 3 shared incoming channels and 25 rules
  • Skip it if you want a free plan, as a paid plan is needed after the 14-day trial
  • Not for you if you work at a desk and were eyeing the $0.99 plan, because Solo works on phones only
  • Pricey if you need more channels, at $4 a month each, or analytics, which need Professional
  • Watch out: local taxes are added to the listed prices, and there's no Windows or Linux app

Good to know

Good for

  • Small teams sharing group addresses such as support or sales
  • Businesses that also answer customers on WhatsApp, Instagram or Facebook
  • Organizations already using Zoho CRM, Zoho Desk or Zoho One

Worth knowing

  • There is no free plan: a paid plan is needed after the 14-day trial, and local taxes are added to the listed prices.
  • Starter is limited to 3 shared incoming channels and 25 rules; analytics and personal inboxes need Professional.
  • Channels beyond a plan's allowance are an add-on at $4 a month each, or $3.17 billed annually.
  • The Solo, Team and Team Plus plans work on phones only and cap the number of users and new conversations.

Keep it, or make your own?

Whether this is something you could build for yourself with an AI app builder, and what you would give up.

Keep it

To replace Zoho TeamInbox you would be making one mailbox that several people work at once. That is not a weekend's work, with an AI app builder or without one.

It is one of the better ones too: its GPA of 2.8 is higher than 36 of the 51 other email apps we grade. It costs $11.88 a year.

What you could make

  • Templates and reports: an app builder makes these well.

What you could not

  • One mailbox that several people work at once.
  • Connections to other products, each kept working as those products change.
  • Apps for macOS, iOS and Android that stay in step with each other.
  • Several people working in it at the same moment.

What this rests on. Zoho TeamInbox’s listing: what it does, where it runs, what it plugs into and what it costs. It is a judgement about the kind of software this is. We have not built a replacement for it, and making your own means looking after it too. How we decide, and every tool’s verdict.
