How we grade them
| 3.4GPAAirtableVery good | 3.4GPAZoho TablesVery good | |
|---|---|---|
| Value for money | CTeam is $20 a seat a month billed annually, or $24 monthly. That's about double the dear end of this category, where plans start around $10. Two-way sync and the admin panel wait on Business, at $45 a seat. | AProfessional is $4 a user a month billed annually, or $5 monthly, the cheap end of a category that typically starts at $9.99. That buys 50,000 records a base, 200 GB of attachments and unlimited viewers. It starts from 3 licences, though, so three people is the least you can pay for. |
| Free plan and trial | BFree for up to 5 editors, with 500 AI credits each a month. But it's 1,000 records and 1 GB of attachments per base, with 2 weeks of revision history. Fine for a small tracker, tight for one that grows. No timeline or Gantt view either. | BFree for up to 2 users and 3 viewers, with 5 bases, 5,000 records a base and 5 GB of attachments. Fine for one person or a pair, tight for a team. You get 3 active automations per base and 1 month of activity history. The 15-day Professional trial needs no card. |
| Features | ALinked tables you can see as a grid, form, calendar, gallery, kanban, timeline, list or Gantt. Then custom interfaces, automations, portals for outside guests, and Omni, which builds an app from a plain description. Deep, and yours to shape. | BGrid, kanban, gallery, calendar and form views, records linked both ways with lookups and rollups, and automations that send an email or a Zoho Cliq message or update records. Solid basics. But we have no scripting, app builder or API on record for it, and the AI field types are Professional only. |
| Ease of use | A4.8 from about 25,000 App Store ratings. Worth knowing you're building your own tracker here, not opening a ready-made one, so there's some design work before there's anything to tick off. | BNo App Store rating on record, so a B is as high as we go. Zia will build a complete base from a description, so you needn't start from a blank grid. The phone apps even have a guest mode that needs no sign-up. |
| Platforms and integrations | AWeb, Mac, Windows, iPhone and Android. It connects to Slack, Google Drive, Salesforce, Jira, Zendesk and GitHub, and there's a public API for everything else. | ABrowser, iPhone, iPad and Android, and the App Store listing shows Mac compatibility too. The phone apps do voice notes and OCR text scanning. Connections are mostly Zoho's own, CRM, Cliq and Zoho One, plus Google Drive and Dropbox. |
| Best for | building your own tracker from a database | a cheap Airtable-style database you can run from a phone |

Key features
Airtable
- Relational bases
- Data lives in bases of linked tables. Record limits per base rise from 1,000 on Free to 50,000 on Team and 125,000 on Business.
- Eight view types
- A table can be shown as a grid, form, calendar, gallery, kanban, timeline, list or Gantt view. Timeline and Gantt views need the Team plan.
- Interfaces
- Custom interfaces can be built from base data, giving each team a tailored app on top of the same records.
- Automations and sync
- Automations handle repetitive steps inside a base. Two-way sync with outside tools is included from the Business plan.
- Omni and field agents
- Omni builds apps from a plain-language description and field agents run AI across records. Both draw on monthly AI credits: 500 per editor on Free and 15,000 per seat on Team.
- Portals
- Portals let guest users from outside the organization collaborate on selected data.
Zoho Tables
- Grid, kanban, gallery, calendar and form
- The same records can be shown in a spreadsheet-style grid with formulas, on a drag-and-drop kanban board, as gallery cards or on a calendar. Form views collect entries from other people.
- Linked records, lookups and rollups
- Records link across tables in both directions. Lookup fields bring in values from a linked table, and rollup fields total or calculate over linked records.
- Trigger-and-action automations
- Automations start when a record is created, updated or enters a view, or on a schedule, and can send an email or a Zoho Cliq message or create and update records.
- Real-time collaboration
- Live cursors show who is active, record-level comments support mentions and attachments, and a collaborator field assigns records and notifies the person assigned.
- AI base creation and AI fields
- The Zia assistant builds a complete base from a description. AI field types such as sentiment analysis, keyword extraction and language detection are part of the Professional plan.
- Mobile apps
- Apps for iPhone, iPad and Android offer grid, gallery, kanban, calendar and form views, voice notes, OCR text scanning and a guest mode that needs no sign-up.
