Who each one suits
Everdo
- GTD followers who want projects, contexts and next actions built in
- People who would rather buy a license once than subscribe
- Keeping task data on your own devices, with encrypted sync as an option
- Linux users: desktop builds come as AppImage, .deb, .pacman and Snap
Mindwtr
- People who follow Getting Things Done and want the method built in
- Keeping tasks on your own devices with no account
- Linux users who want the same app on desktop and phone
- Syncing through Dropbox, WebDAV, iCloud or a server you run
Worth knowing
Everdo
- The Free plan stops at 5 projects and 2 areas of responsibility.
- Encrypted online sync is not part of Pro. It is an ongoing fee listed at $1.66/mo, and the billing basis is not shown on the pricing page.
- The $39.99 App Store purchase unlocks Pro on iOS only; the $99.99 website purchase covers every platform.
- There is no web app, and local network sync works only while devices are on the same configured network.
Mindwtr
- It is built for one person: the site says it is not designed for shared workspaces, task assignments or team discussion.
- There is no hosted web app. The browser version (PWA) has to be self-hosted, stores data in localStorage and lacks some desktop features.
- The maker runs no sync service of its own, so syncing depends on iCloud, Dropbox, WebDAV, a shared folder or a server you host.
- It is maintained by one developer and funded by donations through Ko-fi and GitHub Sponsors.
Key features
Everdo
- Next actions and a Focus list
- Actions from active projects and standalone actions are pulled into one Next Actions list, and the Focus list narrows the view to due and starred actions.
- Parallel and sequential projects
- A sequential project sends only its top action to the Next Actions list, while a parallel project sends all of its next actions.
- Tags, contexts and areas
- Tags filter tasks by context, contact or label, and areas of responsibility let you work within one role at a time. The Free plan allows 2 areas.
- Local database with two sync options
- Every device keeps a full local copy of the data. Sync runs over your own network with a desktop app as the server, or through the paid Encrypted Sync Service.
- Scheduling, reminders and recurrence
- Tasks can be scheduled for specific dates with reminders, and repeating tasks are created from recurrence patterns you define.
- Quick capture and inline commands
- Quick capture collects tasks and ideas on every platform. In the desktop app, commands typed at the end of a title, such as :n to move an item to Next, apply on save.
Mindwtr
- Guided GTD workflow
- Inbox, Next, Waiting For and Someday lists with projects, areas and contexts. Inbox processing is guided and applies the two-minute rule, and wizards walk through daily and weekly reviews.
- Focus, calendar and board views
- Focus shows a time-based agenda next to the next actions. A calendar plans dated tasks and subscribes to external calendars and ICS feeds, and a Kanban board moves tasks between status lists.
- Quick capture
- Tasks are added by a global hotkey, the tray, the share sheet, a widget or voice, and the quick-add line reads contexts and due dates as you type. Spoken tasks are transcribed into the Inbox.
- Local data with sync you choose
- Tasks are stored as SQLite and JSON on the device. Sync is optional and runs through iCloud, Dropbox, a folder, WebDAV or a self-hosted server, and a JSON export serves as a backup.
- Import from other task apps
- Importers bring in tasks from Todoist, TickTick, DGT GTD and OmniFocus, and the desktop app can import an Obsidian vault with links back to the source notes.
- Optional AI, local API and MCP
- An AI assistant is off by default and uses your own provider key or a local model. The desktop app has a token-authenticated localhost REST API, and an MCP server lets AI tools manage tasks.
