Part 01 · Overview

Welcome

What it is, who it suits, its grades and the ten things to know first

3.2

GPA, above 39 of the 42 other time tracking apps we grade

Clockify is a time tracker and timesheet tool for teams. Hours are logged with a timer, a weekly timesheet, a calendar view or a shared clock-in kiosk, then reported by project, client and team member. Paid plans layer on invoicing, time off, approvals, scheduling, expenses and GPS tracking, and the product is part of the CAKE.com suite alongside Pumble and Plaky.

To get you started, here are 10 things to know about Clockify, taken from its own pages and our grades.

Start a timer, or type your hours into a timesheet.
From our grade for ease of use

Best for free time tracking for a small team

Free reports cover one month and export as PDF only, and there are no refunds.

  2. 2

Paid plans start at $3.99 a month for each person

As its pricing page puts it: $3.99 per seat / month, billed annually.

  3. 3

Free for up to 5 users: unlimited tracking, timer, timesheet, calendar, auto tracker, Pomodoro timer and the apps. Reports cover a range of up to 1 month and export as PDF only.

Web, macOS, Windows, Linux, iOS and Android, with a browser extension too.

  5. 5

    Timer, timesheet and calendar

  6. 6

    Auto tracker

Records the time you spend in apps, websites and documents on a timeline that only you can see, and lets you turn those records into time entries.

  7. 7

    Reports and rates

Summary, detailed and weekly reports break down tracked time. Billable rates start on Basic, and labor cost and profit reports need Pro.

  8. 8

    Refunds: no set window

No money comes back. The CAKE.com terms call paid fees non-cancellable and non-refundable, and the cancel article repeats it: no refunds unless a charge went wrong through a system error.

  9. 9

    A 3.2 GPA, above 39 of 42

That is against the other time tracking apps we grade, on value, the free plan, features, ease of use and platforms.

    Keep it

The plain part of Clockify you could make: time tracking, reports, invoicing and Pomodoro timer. What surrounds it you could not. The 4 things listed below take a company, not a weekend.

The report card

Best for free time tracking for a small team

Clockify lets up to 5 people track unlimited time for free on web, desktop, phone and browser, with paid plans from $3.99 a seat. The ladder is the catch: invoicing, time off and approvals wait on Standard, scheduling, expenses and GPS on Pro, and single sign-on on Enterprise at $11.99. Free reports cover one month and export as PDF only, and there are no refunds.

SubjectGradeComment
Value for moneyBBasic is $3.99 a seat a month billed annually, $4.99 monthly, which puts it in the cheaper quarter for time trackers rather than out on its own. Pro, with scheduling, expenses and GPS, is $7.99. Don't hold out for a deal: Clockify says 20% off for annual billing is the only one.
Free plan and trialBFree for up to 5 users with no cap on tracked time, and the timer, timesheet, calendar, auto tracker and Pomodoro timer are all in it. A single user can stay on it. The catch is reports: a 1-month range, and PDF export only.
FeaturesBA timer, a weekly timesheet, a calendar and an auto tracker that logs the apps and sites you were in, then a kiosk, invoicing, time off, approvals, scheduling, expenses and GPS as you climb the plans. Nothing in the job is missing, and nothing here is unusual either.
Ease of useB4.6 from about 4,400 App Store ratings. Start a timer, or type your hours into a timesheet. There's not much more to it than that.
Platforms and integrationsAWeb, Mac, Windows, Linux, iPhone, Android and a browser extension. It hooks into Jira, Asana, Trello, QuickBooks, Xero and Zapier, and there's a public API.
Grade point averageVery good, out of 4.03.2

An A is worth 4 points, a B 3, a C 2, a D 1 and an F nothing. The GPA is the average of the five.

Who Clockify is for

  • Fits if you're a team of up to 5 and want a free tracker with no limit on tracked time
  • Works for companies that need timesheets, attendance and approvals for payroll

Who it is not for

  • Tight if you're staying free with a sixth person, or need reports longer than a month or in a format other than PDF
  • Skip it if you want invoicing on the cheapest plan, as that starts on Standard at $5.49
  • Not for you if you need scheduling, expenses, budgets or GPS tracking below Pro at $7.99 a seat
  • Pricey if you only need single sign-on, which sits on Enterprise at $11.99 a seat
  • Watch out: Clockify says it gives no refunds and no discount beyond 20% off for annual billing

Good to know

Good for

  • Teams of up to 5 that want a free tracker with no cap on tracked time
  • Companies that need timesheets, attendance and approvals for payroll

  • Invoicing, time off and approvals need Standard; scheduling, expenses, budgets and GPS tracking need Pro.
  • Single sign-on, SCIM and the audit log are limited to Enterprise at $11.99 per seat / month.
  • Clockify states it offers no discounts beyond 20% off for annual billing, and no refunds.

Part 02 · Tips

Insider tips

What most people miss: ways to pay less, settings worth changing and the catches

7

Things most people miss, each from its own help pages

The things about Clockify that are easy to miss until they cost you: ways to pay less, settings worth changing and the catches at renewal or when you leave. Each one is from Clockify’s own pages, linked beside it.

Read on Oct 17, 2026. Read from Clockify's help centre (seats and billing, cancelling, the web and Windows apps, workspace settings) and its hidden-features guide on 17 October 2026. Not tried out: these tips are what its own pages say.

  1. 1

    Renewal

Deactivating someone doesn't stop you paying for their seat

You're charged each cycle for every seat you have, used or not. Clockify's help says that after you deactivate a user, you have to remove their seat yourself on the Subscription page. Removed seats aren't refunded, but the next bill comes down.

    clockify.me
  2. 2

    Shortcut

Press n to start a timer in the web app

On the Time Tracker page, when you're not typing in a field, n starts a new timer, s stops it, c carries on your last entry and m switches to manual mode. Keys 1 to 5 start your pinned favourites, but only if an admin has switched on Favorite entries.

    clockify.me
  3. 3

    Setting

Switch on idle detection and reminders in the desktop app

In the Windows app, open Preferences, then the Time tracking tab. Tick Idle time detection (10 minutes by default) and "Remind me to track time" for the hours and days you work. The same tab can stop the timer when the screen locks or the computer sleeps.

    clockify.me
  4. 4

    Privacy

The auto tracker stays on your computer and clears out after 45 days

Only you can see what the auto tracker records, and its help page says it's stored locally with nothing sent online. You can look back a week, and anything older than 45 days is deleted. Turn what you need into time entries before then. URL recording can be switched off.

    clockify.me
  5. 5

    Easy to miss

Save a normal week's timesheet as a template

In the timesheet, Save as template keeps your rows of projects and tasks, and ticking Save time also copies the hours across. It's on the free plan. If most of your weeks look the same, that's most of the typing done.

    clockify.me
  6. 6

    Leaving

Back up a whole year of time entries from Workspace settings

Go to Workspace settings, the Import tab, then Data export. Pick a year and click Export time entries to download every entry in the workspace for that year. It's the simplest way to keep your own copy before you leave or clean up.

    clockify.me
  7. 7

    Renewal

Going back from yearly to monthly waits until the year is up

Upgrades, extra seats and moving from monthly to yearly are charged straight away, prorated. The other direction is slower: a switch to monthly or a downgrade only starts when your paid period ends, and you keep the higher plan until then.

39/42

Other time tracking apps it is graded above

Clockify's GPA of 3.2 is higher than 39 of the 42 other time tracking apps we grade, and level with 2.

It stands best on platforms and integrations (A, above 24 of 42) and worst on features (B, above 22).

Its paid plans start at $3.99 a month for each person, against a middle price of $6.55 for the category: 5 of the 35 others that charge start lower.

On features, ease of use and platforms it scores 3.3 out of 4, and no tool on the category's chart scores higher without costing more.

Keep it, or make your own?

Whether this is something you could build for yourself with an AI app builder, and what you would give up.

Keep it

The plain part of Clockify you could make: time tracking, reports, invoicing and Pomodoro timer. What surrounds it you could not. The 4 things listed below take a company, not a weekend.

It is one of the better ones too: its GPA of 3.2 is higher than 39 of the 42 other time tracking apps we grade. It costs $47.88 a year.

What you could make

  • Time tracking, reports, invoicing and Pomodoro timer: an app builder makes these well.

What you could not

  • Apps for macOS, Windows, Linux, iOS and Android that stay in step with each other.
  • It is priced for each person, which means accounts and billing for a team.
  • It plugs into other products, Jira, Asana and Trello among them, and has an API.
  • The depth: we grade its features B, which means it covers the whole job.

What this rests on. Clockify’s listing: what it does, where it runs, what it plugs into and what it costs. It is a judgement about the kind of software this is. We have not built a replacement for it, and making your own means looking after it too. How we decide, and every tool’s verdict.

Refunds and cancelling

CGrade

Ordinary · checked Oct 18, 2026

No money comes back. The CAKE.com terms call paid fees non-cancellable and non-refundable, and the cancel article repeats it: no refunds unless a charge went wrong through a system error. What you do get is a clean exit. You end the plan yourself from the Subscription page, keep the paid features to the end of the cycle, drop to Free and keep your data. That is the ordinary deal, so it is a C.

Refund window
No set window
How you cancel
Yourself, in settings
Getting your money back

The CAKE.com terms, which cover Clockify, say all payments are non-cancellable for the current term and are final and non-refundable, unless CAKE.com agrees otherwise or the law requires it, with a pro rata refund of prepaid unused charges where a cooling-off right applies. Clockify's cancel article says it gives no refunds for cancelled subscriptions unless a charge happened through a system error.

Stated on cake.com
How to cancel Clockify

A workspace owner or admin cancels from the Subscription page in the app, on the Billing tab, by clicking Cancel subscription and confirming. The terms say the same: you can cancel at any time in your account settings and the plan ends when the current term expires. Cancelling a Bundle plan drops every workspace in the organisation to Free.

  1. Open the menu next to your workspace name
  2. Choose Subscription from the dropdown
  3. Go to the Billing tab
  4. Find your current subscription plan
  5. Click Cancel subscription
  6. Share feedback if you want to, which is optional
  7. Confirm your decision
Stated on clockify.me
What you keep afterwards

Paid features stay until the end of the current billing cycle, then the workspace switches automatically to the Free plan and no further charges are made. Past invoices stay available to download. The article says all your data stays safe and that Clockify deletes nothing unless you remove the workspace or the CAKE.com account. If a past-due subscription is cancelled, it ends immediately.

Stated on clockify.me
Renewals

The terms say a plan renews automatically for further terms of the same length unless you cancel. CAKE.com says it will tell you at least 30 days before a yearly renewal, or 10 days before a monthly one, if the fee is changing, and will send a reminder before a renewal where the law requires one. Cancel after the renewal date and nothing already paid comes back.

Stated on cake.com

In your favour

  • You cancel yourself on the Billing tab, in seven clicks, with nobody to email.
  • Paid features run to the end of the cycle you have already paid for.
  • Clockify says it deletes nothing: your data sits there on the Free plan.
  • Old invoices stay downloadable after you have gone.

Watch out for

  • Fees are non-refundable, so a year paid up front is a year spent.
  • Plans renew by themselves, and nothing is refunded once a renewal has been charged.
  • Seats you remove mid-term are not refunded, only taken off the next bill.
  • Cancel a Bundle and every workspace in the organisation drops to Free with it.

Customer support

AGrade

Excellent · checked Oct 18, 2026

Clockify is unusually generous here. The pricing table ticks 24/7 support by email, chat and phone on every column, Free included, and the home page says the team is there 24 hours a day, every day, holidays as well. Add a large help centre, a public forum and a status page and there is little left to ask for. No reply time is promised, but with a phone line open all hours that matters less.

Ways to get help

  • Live chat

A Start chat button sits at the top of the help contact page. The pricing table counts chat as part of 24/7 support, though no page read says whether an agent or a bot answers first.

    Stated on clockify.me
  • Phone

The help contact page gives a phone number for support, alongside a separate line into sales. The pricing table lists phone as part of its 24/7 support on every plan.

    Stated on clockify.me
  • Email

The help contact page and the site footer both give a support email address for writing in directly.

    Stated on clockify.me
  • Contact form or ticket

The same page carries a contact form asking for your name, email, subject and message, with a file upload. Anyone can use it without logging in.

    Stated on clockify.me
  • Help centre

The Clockify Help Center has articles on administration, billing, tracking, reports, projects and the apps, with a search and a changelog, open to everyone.

  • Community or forum

Its pages do not say.

What depends on your plan

The pricing comparison table ticks 24/7 support by email, chat and phone in all five columns, Free, Basic, Standard, Pro and Enterprise. A dedicated success representative is ticked on every paid plan but not on Free, and the tooltip sets a seat minimum for each: 120 on Basic, 90 on Standard, 60 on Pro, 40 on Enterprise and 30 on the Bundle.

Stated on clockify.me

In your favour

  • Email, chat and phone are ticked on every plan, the free one included.
  • Clockify states its hours plainly: 24 hours a day, every day, holidays too.
  • There is a help centre, a public forum and a status page as well as the live channels.
  • A dedicated success representative comes with any paid plan, once you are big enough.

Watch out for

  • No page states how fast support aims to reply, only that someone is always there.
  • No page read says whether a person or a bot picks up the chat first.
  • The dedicated representative needs a lot of seats: 120 on Basic, 40 on Enterprise.

What these two grades rest on. Read on 18 October 2026: the CAKE.com terms that cover Clockify, its help articles on cancelling a subscription, managing subscription and billing, and subscription plans, its help contact page, the pricing comparison table and the home page's support section. Nobody here cancelled a plan or contacted its support. They are graded apart from the five that make the GPA. How we grade refunds and support.

ToolGPA grades software the way a school report grades a pupil: five subjects, a letter for each with the reason written beside it, and a GPA that averages them. Prices, plans and platforms are read from each maker’s own pages and dated, so you always know how fresh a figure is.

Every grade, review and ranking on ToolGPA is our own judgement. No company can pay for a grade or change one. Every tool on the site has a guide like this one, free to download and pass on. It all lives at toolgpa.com.
