Part 01 · Overview
Welcome
What it is, who it suits, its grades and the ten things to know first
2.4
GPA, above 15 of the 40 other automation tools we grade
Google Workspace Studio is where Google Workspace users design, manage and share flows: automations made of a starter and one or more steps. A flow can be described in plain language for Gemini to build, started from a template or assembled by hand, and it can act in Gmail, Chat, Drive and Sheets as well as some third-party services. Studio is not sold separately; it comes with eligible Google Workspace editions. Google describes it as an evolution of the alpha product Google Workspace Flows.
To get you started, here are 9 things to know about Google Workspace Studio, taken from its own pages and our grades.
You can describe a flow to Gemini, and flows can be managed from inside Gmail, Chat and Drive.
- 1
Best for automating Gmail, Drive and Sheets on Google Workspace
Step outside Google and it thins out, because third-party steps are still in beta.
- 2
Paid plans start at $7 a month for each person
As its pricing page puts it: $7 per user / month with a 1-year commitment (Workspace Business Starter).
- 3
You can try it first
Google Workspace, the suite that includes Studio, can be tried for 14 days
- 4
It runs on Web

- 5
Flows created with Gemini
Describe what you want automated in plain language and Gemini builds a flow for it. Flows can also be started from a template or built from scratch.
- 6
Starters and steps
A starter launches the flow from an event, a schedule or a manual trigger. Steps then carry out actions or send notifications, with conditional steps and variables to pass data along.
- 7
AI steps
Steps that use Gemini can analyze new emails, write summaries, pick out action items or draft replies as part of a flow.
- 8
A 2.4 GPA, above 15 of 40
That is against the other automation tools we grade, on value, the free plan, features, ease of use and platforms.
- 9
Keep it
To replace Google Workspace Studio you would be making connections to other products, each kept working as those products change. That is not a weekend's work, with an AI app builder or without one.

The report card
Best for automating Gmail, Drive and Sheets on Google Workspace
Studio comes with most paid Google Workspace editions, from $7 a user a month: you tell Gemini what to automate in Gmail, Chat, Drive or Sheets and it builds the flow. It isn't sold on its own, flows must be built on a computer, and the caps are 25 flows a user, 20 steps a flow and a daily run limit. Step outside Google and it thins out, because third-party steps are still in beta.
| Subject | Grade | Comment |
|---|---|---|
| Value for money | A | It isn't sold on its own: it comes with Workspace, and Business Starter is $7 a user a month on a 1-year commitment. That's under half what automation tools here charge, and the price includes the rest of Workspace. Nothing extra to buy for Studio itself. |
| Free plan and trial | C | No free plan of its own. Studio arrives with paid Workspace editions, so the only free look is Workspace's own 14-day trial, and a personal Google account needs Google Workspace Experiments to get in at all. |
| Features | C | Gemini builds a flow from a description, starters and steps cover events, schedules, conditions and variables, and AI steps summarise email or draft replies. The limits are its own: 25 flows a user, 20 steps a flow, a daily run cap, and third-party steps still in beta. |
| Ease of use | C | No store rating on record. You can describe a flow to Gemini, and flows can be managed from inside Gmail, Chat and Drive. But flows have to be built on a computer, and some steps wait for approvals an administrator has set. |
| Platforms and integrations | C | Web only, with no app of its own, and the services it acts in are mostly Google's: Gmail, Chat, Drive, Sheets, Calendar. Steps for Asana, Mailchimp and Salesforce are in beta through the Workspace Marketplace, and anything else needs a webhook. |
An A is worth 4 points, a B 3, a C 2, a D 1 and an F nothing. The GPA is the average of the five.
Who Google Workspace Studio is for
- Fits if your company already pays for Google Workspace, since Studio comes with most editions
- Works for people who'd rather describe an automation to Gemini than build one
Who it is not for
- Skip it if most of your apps aren't Google's, as third-party steps are still in beta
- Tight if you automate a lot, with 25 flows a user, 20 steps a flow and a daily run cap
- Not for you if you're on a personal Google account, which needs Google Workspace Experiments
- Watch out: Studio isn't sold on its own, so you're buying Workspace, from $7 a user a month on a 1-year commitment
- Watch out: flows have to be built on a computer, and some steps wait for approvals an administrator has set
Good to know
Good for
- Organizations that already pay for Google Workspace
- Automating routine work in Gmail, Chat, Drive and Sheets without code
- People who want Gemini to draft an automation from a description
Worth knowing
- Studio is not sold on its own: it comes with Workspace Business Starter, Standard and Plus, Enterprise Standard and Plus, and some Education editions.
- A user can create at most 25 flows, a flow can have at most 20 steps, and flows stop once a daily run limit is reached until it resets.
- Flows have to be created on a computer in a supported web browser; once turned on, they can run on any device.
- Third-party integration steps are in beta, and personal Google accounts need Google Workspace Experiments to use Studio.

Keep it, or make your own?
Whether this is something you could build for yourself with an AI app builder, and what you would give up.
Keep it
To replace Google Workspace Studio you would be making connections to other products, each kept working as those products change. That is not a weekend's work, with an AI app builder or without one.
It costs $84 a year.
What you could make
- Templates: an app builder makes this well.
What you could not
- Connections to other products, each kept working as those products change.
- An AI agent, with the models and the safeguards behind it.
- A builder that other people can use without writing code.
- It is priced for each person, which means accounts and billing for a team.
What this rests on. Google Workspace Studio’s listing: what it does, where it runs, what it plugs into and what it costs. It is a judgement about the kind of software this is. We have not built a replacement for it, and making your own means looking after it too. How we decide, and every tool’s verdict.
