Part 01 · Overview

Welcome

What it is, who it suits, its grades and the ten things to know first

2.6

GPA, above 19 of the 30 other form and survey tools we grade

KoboToolbox is an open-source platform for collecting, managing and visualizing survey data, maintained by the nonprofit organization Kobo and widely used in humanitarian and development work. Forms are built in a visual Formbuilder or in XLSForm and filled in through web forms or the KoboCollect Android app, both of which work offline. Nonprofits use it free under the Community plan, while companies and high-volume users pay.

To get you started, here are 9 things to know about KoboToolbox, taken from its own pages and our grades.

There's no iPhone app, and going over a limit blocks new submissions until the quota resets.
From our report card of KoboToolbox

The report card

Best for field surveys that have to work offline

KoboToolbox is built for field data collection: long questionnaires, GPS points and photos, filled in offline on Android and uploaded later. The free plan is only for nonprofits, schools, UN bodies and government, everyone else pays from $21 a month billed yearly with no trial, and the next company rung is $88. There's no iPhone app, and going over a limit blocks new submissions until the quota resets.

ToolGPA report cardKoboToolboxGraded Oct 10, 2026
SubjectGradeComment
Value for moneyC$21 a month billed yearly for unlimited projects, unlimited data collectors and 1,000 submissions a month, which lands just under this category's $24 middle. For a company the next rung is brutal: 5,000 submissions costs $88, past the dearest tenth.
Free plan and trialCDepends entirely who you are. Nonprofits, government agencies, UN bodies and schools get 5,000 submissions a month and 1 GB free, caps a busy project would still reach. Everybody else gets nothing free and no trial either.
FeaturesAIt does the whole survey job and several things nothing else in this category does: XLSForm questionnaires with cascading selects and translations, GPS, photo, audio and barcode questions, offline collection, automatic transcription of audio answers, and exports to Stata, ArcGIS and Power BI.
Ease of useCNo store rating on record, and there's a real learning curve: the serious questionnaires are written as XLSForm spreadsheets, projects have to be deployed, and collectors need accounts. The visual Formbuilder is the gentle route.
Platforms and integrationsBWeb plus the KoboCollect Android app, both working offline, with an API that downloads data and deploys projects, and exports into Excel, Power BI, Tableau and ArcGIS. No iPhone app: Apple users fill forms in a browser.
Grade point averageGood, out of 4.02.6

An A is worth 4 points, a B 3, a C 2, a D 1 and an F nothing. The GPA is the average of the five.

Who KoboToolbox is for

  • Fits if you're a nonprofit, UN agency or researcher collecting data in the field
  • Works for survey teams collecting offline on Android phones and tablets with long, spreadsheet-built questionnaires

Who it is not for

  • Not for you if you're a company or individual hoping for free, as the free plan is for nonprofits, schools and government
  • Skip it if your team is on iPhones and wants an app, since KoboCollect is Android only
  • Pricey if you're a business past 1,000 submissions a month, where the next plan is $88 billed yearly, and there's no trial
  • Watch out: going over a submission or storage limit blocks new submissions until the quota resets or you upgrade
  • Watch out: these prices come from a July 5, 2026 archive copy, because the live pricing page could not be loaded

Good to know

Good for

  • Nonprofits, UN agencies and researchers collecting field data
  • Enumerator teams working offline on Android phones and tablets
  • Long questionnaires with complex logic built in XLSForm

Worth knowing

  • Going over a plan's submission or storage limit blocks new submissions until the quota resets or the plan is upgraded.
  • KoboCollect is an Android app; iPhones and iPads collect data through web forms in a browser.
  • Prices here come from a July 5, 2026 archive copy of the pricing page, because the live page could not be loaded.

Other form and survey tools it is graded above

KoboToolbox's GPA of 2.6 is higher than 19 of the 30 other form and survey tools we grade, and level with 2.

It stands best on features (A, above 27 of 30) and worst on ease of use (C, above 0).

Keep it, or make your own?

Whether this is something you could build for yourself with an AI app builder, and what you would give up.

Keep it

The plain part of KoboToolbox you could make: surveys, forms and reports. What surrounds it you could not. The 4 things listed below take a company, not a weekend.

It costs $252 a year. KoboToolbox is open source, so there is a third way: take its code and run it yourself.

What you could make

  • Surveys, forms and reports: an app builder makes these well.

What you could not

  • A real app for Android. Something home-made would be a web page.
  • It plugs into other products, Microsoft Excel, Google Sheets and Power BI among them, and has an API.
  • What a company asks for before it lets staff use something: roles and permissions.
  • The depth: we grade its features A, which means it covers the whole job.

What this rests on. KoboToolbox’s listing: what it does, where it runs, what it plugs into and what it costs. It is a judgement about the kind of software this is. We have not built a replacement for it, and making your own means looking after it too. How we decide, and every tool’s verdict.
