Part 01 · Overview
Welcome
What it is, who it suits, its grades and the ten things to know first
2.4
GPA, above 20 of the 79 other project management tools we grade
SmartSuite is a no-code work management platform in which teams build Solutions: sets of linked tables with their own views, automations, dashboards and permissions. It ships more than 200 templates for projects, IT service, risk and compliance and business operations. Plans are priced per seat with minimums, and read-only users, commenters and people filling in forms are not billed.
To get you started, here are 9 things to know about SmartSuite, taken from its own pages and our grades.
No rating on record, and this is a kit you build before you use: tables, links, views and automations.
- 1
Best for building your own tracker from tables
SmartSuite is an Airtable-style kit: linked tables you shape into project trackers, IT desks or risk registers, shown as grids, boards, Gantt charts and dashboards, with automations doing the dull bits.
- 2
Paid plans start at $15 a month for each person
As its pricing page puts it: $15 per seat / month, billed annually ($20 billed monthly).
- 3
You can try it first
14-day free trial of Professional, no credit card required and no automatic charge
- 4
It runs on 3 platforms
Web, iOS and Android.
- 5
Solutions and linked tables
Model work as tables of records with more than 40 field types and links between tables, grouped into Solutions that can start from 200+ templates.
- 6
Grid, kanban, Gantt and other views
Show the same records as a grid, kanban board, calendar, timeline, Gantt chart or map, and build dashboards from widgets.
- 7
Automations
Triggers, conditions and multi-step actions run routine work; plans allow 25,000, 100,000 or 500,000 automation runs and API calls a month.
- 8
A 2.4 GPA, above 20 of 79
That is against the other project management tools we grade, on value, the free plan, features, ease of use and platforms.
- 9
Keep it
To replace SmartSuite you would be making connections to other products, each kept working as those products change. That is not a weekend's work, with an AI app builder or without one.

The report card
Best for building your own tracker from tables
SmartSuite is an Airtable-style kit: linked tables you shape into project trackers, IT desks or risk registers, shown as grids, boards, Gantt charts and dashboards, with automations doing the dull bits. Over 200 templates help you start. There's no free plan, though, and Team bills at least 3 seats at $15 each, even if it's just you.
| Subject | Grade | Comment |
|---|---|---|
| Value for money | C | Team is $15 a seat a month billed yearly, $20 monthly, above this category's dear quarter but short of its dearest tenth. It bills at least 3 seats, so you pay for three even on your own. Viewers, commenters and people filling in forms are free, which softens it. |
| Free plan and trial | C | No free plan, but a 14-day trial of Professional with no card and no automatic charge. If it ends without a plan, the account is switched off, though your data is kept. |
| Features | B | The whole job and more: 40+ field types in linked tables, grid, kanban, calendar, timeline, Gantt and map views, dashboards, multi-step automations, branded forms and an AI copilot that builds tables from a prompt. Team does cap a Solution at 5,000 records. |
| Ease of use | C | No rating on record, and this is a kit you build before you use: tables, links, views and automations. The 200+ templates and the copilot get you a first draft quickly. |
| Platforms and integrations | B | Web, iPhone and Android, with Slack, Microsoft Teams, Jira, Salesforce, HubSpot, Gmail, Zapier and Make, and a REST API. No desktop app, which is what keeps it off an A. |
An A is worth 4 points, a B 3, a C 2, a D 1 and an F nothing. The GPA is the average of the five.
Who SmartSuite is for
- Great if you want Airtable-style tables with Gantt charts and automations built in
- Handy when lots of people only view or fill in forms, since they aren't billed
- Good for risk, compliance and IT teams who'd start from a ready-made template
Who it is not for
- Skip it if you're on your own, as Team bills at least 3 seats
- Not for you if you want a free plan, because the account shuts when the trial ends
- Pricey if you need two-factor sign-in, which starts on Professional at $32 a seat
Good to know
Good for
- Teams that want Airtable-style tables with project views and automations
- Risk, compliance and IT teams starting from ready-made templates
- Organizations with many viewers and form submitters who should not need paid seats
Worth knowing
- There is no free plan; Team needs at least 3 billable users and Professional at least 5.
- Team is capped at 5,000 records per Solution; at the limit you cannot add records until you upgrade.
- Two-factor authentication starts on Professional, and SSO, SCIM, audit logs and HIPAA support are Enterprise only.
- When the trial ends without a plan, the account is disabled, though its data is kept.

Part 04 · Standing
Where it stands
Its grades against its category, and whether to keep it or make your own
20/79
Other project management tools it is graded above
SmartSuite's GPA of 2.4 is higher than 20 of the 79 other project management tools we grade, and level with 21.
It stands best on features (B, above 27 of 79) and worst on ease of use (C, above 2).
Its paid plans start at $15 a month for each person, against a middle price of $8 for the category: 61 of the 74 others that charge start lower.

Keep it, or make your own?
Whether this is something you could build for yourself with an AI app builder, and what you would give up.
Keep it
To replace SmartSuite you would be making connections to other products, each kept working as those products change. That is not a weekend's work, with an AI app builder or without one.
That makes this kind of software worth paying for, not this one in particular: 38 of the 79 other project management tools grade higher. It costs $180 a year.
What you could make
- Kanban boards and Gantt & timelines: an app builder makes these well.
What you could not
- Connections to other products, each kept working as those products change.
- A builder that other people can use without writing code.
- Databases with views, filters and links between them.
- A real app for iOS and Android. Something home-made would be a web page.
- It is priced for each person, which means accounts and billing for a team.
- AI features, unless you pay a model provider for each request yourself.
- Hooks into the device itself: widgets.
- What a company asks for before it lets staff use something: roles and permissions.
- The depth: we grade its features B, which means it covers the whole job.
What this rests on. SmartSuite’s listing: what it does, where it runs, what it plugs into and what it costs. It is a judgement about the kind of software this is. We have not built a replacement for it, and making your own means looking after it too. How we decide, and every tool’s verdict.
