Part 01 · Overview

Welcome

What it is, who it suits, its grades and the ten things to know first

3.0

GPA, above 15 of the 21 other spreadsheet and database tools we grade

Stackby is a no-code platform that looks like a spreadsheet and works as a relational database. Tables with more than 30 column types can be viewed as a grid, kanban board, calendar, gallery, list or timeline, and extended with forms, automations, AI columns and connectors that pull data from third-party APIs. It runs in the browser and has apps for Mac, Windows, iOS and Android.

To get you started, here are 9 things to know about Stackby, taken from its own pages and our grades.

No rating on record, and the work is building the stack: tables, column types, views, forms and automations.

The report card

Best for a spreadsheet-style database for small teams

Stackby looks like a spreadsheet and works like a database, with forms, automations and columns that pull data from other services' APIs. Economy is $149 a year for a team of three. But rows are capped per stack, 1,500 on Free and 7,000 on Economy, monthly billing is $10 a user, and permissions and 2FA wait for Business.

ToolGPA report cardStackbyGraded Oct 10, 2026
SubjectGradeComment
Value for moneyBEconomy is $149 a year for 3 users, $4.20 each a month, inside the lowest quarter for this category, which starts at $5.40. That's the annual bundle rate, though: one user alone is $99 a year, paying monthly is $10 a user, and permissions and 2FA wait for Business at $299 a year for three.
Free plan and trialBFree forever for up to 5 editors and 50 read-only guests, with 20 stacks. The limits are per stack: 1,500 rows, 2 GB of attachments, 100 automation runs, 2 weeks of history, and API-fed cells that only refresh when you do it by hand.
FeaturesBIt covers the whole no-code database job: 30-odd column types, six views from grid to timeline, drag-and-drop forms with conditional logic and signatures, trigger-and-action automations, AI columns on your own API keys, columns that pull from third-party APIs, and an interface designer on every plan.
Ease of useCNo rating on record, and the work is building the stack: tables, column types, views, forms and automations. The grid looks like a spreadsheet, and forms are drag and drop. AI columns need more of you, since they run on your own OpenAI, Gemini or Anthropic keys.
Platforms and integrationsAThe full set: browser, Mac, Windows, iPhone and Android, with Zapier, Make, Slack, Microsoft Teams, Google Sheets, Gmail and Google Calendar, and columns that call third-party APIs directly.
Grade point averageVery good, out of 4.03.0

An A is worth 4 points, a B 3, a C 2, a D 1 and an F nothing. The GPA is the average of the five.

Who Stackby is for

  • Fits if you're a small team wanting a spreadsheet-style database with forms and automations
  • Works for teams of three or more, where the annual bundle sets the per-user price at $4.20

Who it is not for

  • Tight if your tables are big, as rows are capped at 1,500 a stack on Free and 7,000 on Economy
  • Pricey if you pay month to month, at $10 a user for Economy against $149 a year for three
  • Skip it if you need SAML single sign-on, which is Enterprise only
  • Watch out: table, column and view permissions and 2FA start at Business, $299 a year for three
  • Watch out: free API columns only refresh by hand, and the trial is 7 days on one page and 14 on another

Good to know

Good for

  • Small teams that want a spreadsheet-style database with forms and automations
  • Pulling data from third-party APIs into table columns
  • Teams of three or more, where annual bundles lower the per-user price

Worth knowing

  • Annual prices are sold in team-size bundles (1, 3, 6, 10 users and up), so the per-user rate changes with the seat count.
  • Rows are capped per stack: 1,500 on Free, 7,000 on Economy, 50,000 on Business and 100,000 on Pro.
  • Table, column and view permissions, personal and locked views and 2FA start at Business; SAML single sign-on is Enterprise only.
  • The Free plan refreshes API-connected cells manually and keeps only 2 weeks of activity history.

Keep it, or make your own?

Whether this is something you could build for yourself with an AI app builder, and what you would give up.

Keep it

To replace Stackby you would be making a builder that other people can use without writing code. That is not a weekend's work, with an AI app builder or without one.

It is one of the better ones too: its GPA of 3.0 is higher than 15 of the 21 other spreadsheet and database tools we grade. It costs $50.40 a year.

What you could make

  • Forms, kanban boards and Gantt & timelines: an app builder makes these well.

What you could not

  • A builder that other people can use without writing code.
  • Connections to other products, each kept working as those products change.
  • Databases with views, filters and links between them.
  • Apps for macOS, Windows, iOS and Android that stay in step with each other.
  • AI features, unless you pay a model provider for each request yourself.
  • The depth: we grade its features B, which means it covers the whole job.

What this rests on. Stackby’s listing: what it does, where it runs, what it plugs into and what it costs. It is a judgement about the kind of software this is. We have not built a replacement for it, and making your own means looking after it too. How we decide, and every tool’s verdict.
