Part 01 · Overview

Welcome

What it is, who it suits, its grades and the ten things to know first

2.4

GPA, above 15 of the 40 other automation tools we grade

Zoho Flow is an integration platform that connects more than 1,000 cloud and on-premises apps and automates the workflows between them. Flows are built in a drag-and-drop builder or generated by Zia, Zoho's AI, from a plain-English description, and custom functions can be written in Deluge, Zoho's scripting language. Paid plans are priced by the number of tasks run each month.

To get you started, here are 9 things to know about Zoho Flow, taken from its own pages and our grades.

Drag-and-drop and Zia drafting from plain English get you going, and drafts mean you can't break a live flow by accident.
From our grade for ease of use
  1. 1

Best for connecting Zoho apps to everything else

Zoho Flow wires Zoho CRM and more than 1,000 other apps together, and an on-prem agent reaches systems on your own network.

  2. 2

Paid plans start at $25 a month

As its pricing page puts it: $25 / month, billed annually, for 5,000 tasks ($29 billed monthly).

  3. 3

    There is a free plan

100 tasks a month and up to 5 flows, with base apps, logic steps such as Decision and Delay, 15-minute polling and 30 days of flow history.

  4. 4

    It runs on Web

    Web.

  5. 5

    Drag-and-drop builder

Flows are laid out on a canvas with decision branches, delays, subflows, error branches and variables. Changes stay in a draft until the flow is switched on, and versions are tracked.

  6. 6

    Zia AI

Zia generates a workflow from a plain-English description. AI steps can summarize, rephrase or generate text, and agentic actions let the AI choose which action to run from a prompt.

  7. 7

    Triggers

A flow can start from an app event, a webhook, a schedule, an incoming email, an RSS or Atom feed, or a URL that is checked periodically.

  8. 8

    A 2.4 GPA, above 15 of 40

That is against the other automation tools we grade, on value, the free plan, features, ease of use and platforms.

  9. 9

    Keep it

To replace Zoho Flow you would be making connections to other products, each kept working as those products change. That is not a weekend's work, with an AI app builder or without one.

The report card

Best for connecting Zoho apps to everything else

Zoho Flow wires Zoho CRM and more than 1,000 other apps together, and an on-prem agent reaches systems on your own network. The free plan stops at 100 tasks a month and 5 flows, with base apps only. Standard is $25 a month billed annually, and premium apps, on-premises links and 5-minute polling all need Professional at $41. Custom functions mean learning Deluge.

Value for moneyCStandard is $25 a month billed annually for 5,000 tasks, $29 monthly. That's the dear end of this category's normal range, which runs from $15 to $25. And the things you may well need, premium apps, on-premises links, 5-minute polling, sit on Professional at $41 against a category middle of $19.
Free plan and trialCFree forever, and small: 100 tasks a month, 5 flows, base apps only, and a check for new data every 15 minutes. That's a look round rather than a plan to live on. The 15-day trial of the premium features, with no card, tells you more.
FeaturesBThe job is covered: a canvas with decision branches, delays, subflows, error branches and versions, triggers from app events, webhooks, schedules, email or an RSS feed, Zia drafting a flow from a description, and an on-prem agent that reaches SQL databases and SAP on your own network.
Ease of useCNo rating on record. Drag-and-drop and Zia drafting from plain English get you going, and drafts mean you can't break a live flow by accident. But apps still need connecting, flows still need building, and custom functions mean learning Deluge.
Platforms and integrationsBWeb only, nothing for phone or desktop on the listing. It's the connections that count here: more than 1,000 cloud and on-premises apps, from Zoho CRM to Slack, QuickBooks and WordPress, with an agent for systems inside your network.
Grade point averageFair, out of 4.02.4

An A is worth 4 points, a B 3, a C 2, a D 1 and an F nothing. The GPA is the average of the five.

Who Zoho Flow is for

  • Fits if your business already runs on Zoho apps like Zoho CRM
  • Works for linking a cloud app to a database or SAP system inside your own network

Who it is not for

  • Tight if you're staying free, with 100 tasks a month, 5 flows, base apps only and 15-minute polling
  • Pricey if you need premium apps, on-premises links or 5-minute polling, since all of them mean Professional at $41 a month
  • Pricey if you pay monthly, at $29 for Standard and $49 for Professional
  • Watch out: every action counts as a task, and with overage on, tasks past your limit are billed at the cycle's end
  • Not for you if you'd rather not learn Deluge, the Zoho scripting language custom functions are written in

Good to know

Good for

  • Businesses already running Zoho apps such as Zoho CRM
  • Linking cloud apps to on-premises systems and databases
  • Teams that want AI to draft a workflow from a description

Worth knowing

  • The Free plan allows 5 flows and 100 tasks a month, with base apps only.
  • Premium apps, on-premises integrations, auto rerun and 5-minute polling need the Professional plan.
  • Each action a flow executes counts as a task, so a flow with two actions uses two tasks every time it runs.
  • With overage enabled, tasks beyond the plan limit are charged at the end of the billing cycle.

Keep it, or make your own?

Whether this is something you could build for yourself with an AI app builder, and what you would give up.

Keep it

To replace Zoho Flow you would be making connections to other products, each kept working as those products change. That is not a weekend's work, with an AI app builder or without one.

It costs $300 a year.

What you could make

  • Templates: an app builder makes this well.

What you could not

  • Connections to other products, each kept working as those products change.
  • A builder that other people can use without writing code.
  • AI features, unless you pay a model provider for each request yourself.
  • The depth: we grade its features B, which means it covers the whole job.

What this rests on. Zoho Flow’s listing: what it does, where it runs, what it plugs into and what it costs. It is a judgement about the kind of software this is. We have not built a replacement for it, and making your own means looking after it too. How we decide, and every tool’s verdict.
