Part 01 · Overview
Welcome
What it is, who it suits, its grades and the ten things to know first
2.6
GPA, above 42 of the 79 other project management tools we grade
Zoho Projects is a web-based project management tool from Zoho. Work is broken into milestones, task lists, tasks and issues, planned on Gantt charts and tracked with timesheets, with blueprints and workflow rules to automate routine steps. It has a free plan for up to 5 users and three paid plans priced per user, and it connects to other Zoho apps such as Zoho CRM and Zoho Invoice.
To get you started, here are 9 things to know about Zoho Projects, taken from its own pages and our grades.
- 1
Best for Gantt charts and timesheets on a budget
Zoho Projects gives you Gantt charts, timesheets and an issue tracker for $4 a user a month billed annually, and it links to Zoho CRM and Zoho Invoice so logged hours can become invoices.
- 2
Paid plans start at $4 a month for each person
As its pricing page puts it: $4 per user / month, billed annually.
- 3
There is a free plan
Up to 5 users, 3 projects and 5 GB of storage, with subtasks, Gantt charts, a whiteboard, mobile apps and 50 workflow executions a month.
- 4
It runs on 3 platforms
Web, iOS and Android.
- 5
Gantt charts and dependencies
Gantt charts lay out the task schedule and show where actual progress departs from the plan. Free allows finish-to-start dependencies; paid plans allow all four types.
- 6
Timesheets and invoicing
From the Premium plan, billable and non-billable hours are logged by hand or with timers, and an integration with Zoho Invoice turns timesheets into invoices.
- 7
Issue tracker
Issues are tracked next to tasks. Business rules, linked issues and a web-to-issue form start at Premium, while SLAs and webhooks need Enterprise.
- 8
A 2.6 GPA, above 42 of 79
That is against the other project management tools we grade, on value, the free plan, features, ease of use and platforms.
- 9
Keep it
To replace Zoho Projects you would be making connections to other products, each kept working as those products change. That is not a weekend's work, with an AI app builder or without one.

The report card
Best for Gantt charts and timesheets on a budget
Zoho Projects gives you Gantt charts, timesheets and an issue tracker for $4 a user a month billed annually, and it links to Zoho CRM and Zoho Invoice so logged hours can become invoices. The free plan stops at 5 users and 3 projects with no time tracking, critical path, custom fields and single sign-on need Enterprise at $9, tax comes on top, and on a computer it only runs in the browser.
| Subject | Grade | Comment |
|---|---|---|
| Value for money | B | Premium is $4 a user a month billed annually, inside the cheapest quarter for project tools here and half the $8 middle, and it buys unlimited projects, 100 GB, timesheets, budgets and Zia AI. Enterprise, with critical path and baselines, is $9. Local taxes come on top. |
| Free plan and trial | C | Free for up to 5 users with subtasks, Gantt charts, a whiteboard and the mobile apps, but the caps bite: 3 projects, 5 GB, 50 workflow runs a month and no time tracking at all. The 15-day trial of a paid plan asks for no card. |
| Features | B | It covers the whole job: milestones, task lists, tasks and issues, Gantt charts with all four dependency types on paid plans, timers and timesheets that become invoices through Zoho Invoice, blueprints, workflow rules, budgets and earned value. Asana and Wrike cover the same. |
| Ease of use | C | 4.42 from about 730 App Store ratings, which is middling rather than good, and a few reviewers are plainly unhappy. The 15-day trial of any paid plan needs no card, so you can look round the full thing before deciding. |
| Platforms and integrations | B | Web, iPhone, iPad and Android, with Zoho CRM, Zoho Invoice, Slack, Microsoft Teams, GitHub, Zapier and Zendesk wired in and an MCP server for outside AI models. No desktop app, which is what keeps it off the top mark. |
An A is worth 4 points, a B 3, a C 2, a D 1 and an F nothing. The GPA is the average of the five.
Who Zoho Projects is for
- Fits if you want Gantt planning and timesheets at $4 a user a month
- Works for businesses already on Zoho CRM, Zoho Invoice or other Zoho apps
Who it is not for
- Tight if you're staying free: 5 users, 3 projects, 5 GB, 50 workflow runs a month and no time tracking
- Skip it if you need critical path, baselines, custom fields or single sign-on on the cheapest plan, as they need Enterprise at $9
- Not for you if you want a desktop app, since on a computer it runs in the browser
- Watch out: VAT or GST is charged on top, and the App Store rating is 4.42 with some plainly unhappy reviewers
Good to know
Good for
- Teams of up to 5 people whose work fits in 3 projects on the free plan
- Businesses already using Zoho CRM, Zoho Invoice or other Zoho apps
- Teams that want Gantt planning and timesheets at a low per-user price
Worth knowing
- The Free plan is limited to 5 users, 3 projects and 5 GB of storage, and it does not include time tracking.
- Critical path, baselines, custom fields and single sign-on need the Enterprise plan or higher.
- Apps are listed for iOS, iPad and Android only; on a computer Zoho Projects runs in the browser.
- Local taxes such as VAT or GST are charged on top of the listed prices.

Keep it, or make your own?
Whether this is something you could build for yourself with an AI app builder, and what you would give up.
Keep it
To replace Zoho Projects you would be making connections to other products, each kept working as those products change. That is not a weekend's work, with an AI app builder or without one.
It costs $48 a year.
What you could make
- Tasks, Gantt & timelines, kanban boards, time tracking and issue tracking: an app builder makes these well.
What you could not
- Connections to other products, each kept working as those products change.
- A real app for iOS and Android. Something home-made would be a web page.
- It is priced for each person, which means accounts and billing for a team.
- AI features, unless you pay a model provider for each request yourself.
- The depth: we grade its features B, which means it covers the whole job.
What this rests on. Zoho Projects’s listing: what it does, where it runs, what it plugs into and what it costs. It is a judgement about the kind of software this is. We have not built a replacement for it, and making your own means looking after it too. How we decide, and every tool’s verdict.
