Part 01 · Overview

Welcome

What it is, who it suits, its grades and the ten things to know first

2.8

GPA, above 13 of the 21 other spreadsheet and database tools we grade

Zoho Tables is a no-code work management tool that pairs a spreadsheet-style grid with a relational database. Records can be linked across tables, viewed as a grid, kanban board, gallery, calendar or form, and acted on by trigger-and-action automations. It runs in the browser and in mobile apps for iPhone, iPad and Android, and its Professional plan is also included with Zoho One.

To get you started, here are 9 things to know about Zoho Tables, taken from its own pages and our grades.

No rating on record, and the work is still building the base: tables, links, views and automations.
From our grade for ease of use
  1. 1

Best for an Airtable-style database you can run from a phone

Zoho Tables is a spreadsheet-style grid on top of a relational database, with linked records, automations and phone apps.

  2. 2

Paid plans start at $4 a month for each person

As its pricing page puts it: $4 per user / month, billed annually ($5 billed monthly); minimum 3 licenses.

  3. 3

    There is a free plan

Free plan for up to 2 users and 3 viewers: 1 workspace, 5 bases, 5,000 records per base, 5 GB of attachments, 3 active automations per base and 1 month of activity history.

  4. 4

    It runs on 4 platforms

    Web, iOS, Android and macOS.

  5. 5

Grid, kanban, gallery, calendar and form

The same records can be shown in a spreadsheet-style grid with formulas, on a drag-and-drop kanban board, as gallery cards or on a calendar. Form views collect entries from other people.

  6. 6

    Linked records, lookups and rollups

Records link across tables in both directions. Lookup fields bring in values from a linked table, and rollup fields total or calculate over linked records.

  7. 7

    Trigger-and-action automations

Automations start when a record is created, updated or enters a view, or on a schedule, and can send an email or a Zoho Cliq message or create and update records.

  8. 8

    A 2.8 GPA, above 13 of 21

That is against the other spreadsheet and database tools we grade, on value, the free plan, features, ease of use and platforms.

  9. 9

    Keep it

To replace Zoho Tables you would be making a builder that other people can use without writing code. That is not a weekend's work, with an AI app builder or without one.

The report card

Best for an Airtable-style database you can run from a phone

Zoho Tables is a spreadsheet-style grid on top of a relational database, with linked records, automations and phone apps. It's $4 a user a month billed annually, and Zoho One customers get Professional at no extra cost. But the paid plan starts at 3 licences, Free stops at 2 users, records are capped per base, and outside connections barely go past Zoho.

ToolGPA report cardZoho TablesGraded Oct 10, 2026
SubjectGradeComment
Value for moneyBProfessional is $4 a user a month billed annually, $5 monthly, inside the lowest quarter for this category, which starts at $5.40. That buys 50,000 records a base, 200 GB of attachments and unlimited viewers. It starts from 3 licences, so three seats is the least you can pay for.
Free plan and trialBFree for up to 2 users and 3 viewers, with 5 bases, 5,000 records a base and 5 GB of attachments. The limits past that are 3 active automations per base and 1 month of activity history. The 15-day Professional trial needs no card.
FeaturesBIt covers the no-code database job: grid, kanban, gallery, calendar and form views, records linked both ways with lookups and rollups, trigger-and-action automations that email, message Cliq or update records, live cursors and comments, and Zia building a base from a description.
Ease of useCNo rating on record, and the work is still building the base: tables, links, views and automations. Zia can draft a whole base from a description, and the phone apps have a guest mode that needs no sign-up.
Platforms and integrationsBBrowser, iPhone, iPad and Android, with the App Store listing showing Mac compatibility, though the pricing page treats desktop as the browser. No API is on record and the connections are mostly Zoho's own, CRM, Cliq and Zoho One, plus Google Drive and Dropbox, so an A is out.
Grade point averageGood, out of 4.02.8

An A is worth 4 points, a B 3, a C 2, a D 1 and an F nothing. The GPA is the average of the five.

Who Zoho Tables is for

  • Fits if you're a small team wanting an Airtable-style database for $4 a user a month
  • Works for organisations on Zoho One, who get the Professional plan at no extra cost

Who it is not for

  • Tight if you're staying free with more than 2 people, as the Free plan stops there
  • Skip it if it has to talk to tools outside Zoho, as the list stops at Google Drive and Dropbox, with no API on record
  • Too light for big tables, with records capped at 50,000 a base on Professional unless you buy an add-on
  • Pricey if you're one person on the web, since Professional starts from 3 licences
  • Watch out: AI fields and removing Zoho branding from forms need Professional, and the in-app plan isn't on the web page

Good to know

Good for

  • Small teams that want an inexpensive Airtable-style database
  • Organizations on Zoho One, which includes the Professional plan
  • People who manage their records mostly from a phone or tablet

Worth knowing

  • The Professional plan starts from 3 licenses, and the Free plan is limited to 2 users.
  • Records are capped per base: 5,000 on Free and 50,000 on Professional, with more sold as an add-on.
  • AI field types and removing Zoho Tables branding from forms need the Professional plan.
  • The pricing page lists apps for Android and iOS only. The App Store listing also shows Mac compatibility; other desktop use is through the browser.

Keep it, or make your own?

Whether this is something you could build for yourself with an AI app builder, and what you would give up.

Keep it

To replace Zoho Tables you would be making a builder that other people can use without writing code. That is not a weekend's work, with an AI app builder or without one.

It costs $48 a year.

What you could make

  • Kanban boards and forms: an app builder makes these well.

What you could not

  • A builder that other people can use without writing code.
  • Connections to other products, each kept working as those products change.
  • Databases with views, filters and links between them.
  • Apps for macOS, iOS and Android that stay in step with each other.
  • Several people working in it at the same moment.
  • AI features, unless you pay a model provider for each request yourself.
  • The depth: we grade its features B, which means it covers the whole job.

What this rests on. Zoho Tables’s listing: what it does, where it runs, what it plugs into and what it costs. It is a judgement about the kind of software this is. We have not built a replacement for it, and making your own means looking after it too. How we decide, and every tool’s verdict.
