How to choose

Work out which Trello limit you have hit

If it is the 10-collaborator cap on the Free plan, ClickUp's free plan has no member limit and Basecamp charges a flat fee instead of a price per user. If it is views, Asana includes timeline and Gantt views from Starter and monday.com from Standard, where Trello holds its Timeline and Calendar views for Premium. If boards no longer fit the work at all, Airtable and Notion organize it in databases and Jira as work items in a custom workflow.

Count the people who need access

Free plans differ sharply on team size. ClickUp allows unlimited members, Jira up to 10 users and Airtable up to 5 editors, while Asana and monday.com stop at 2. On paid plans, monday.com needs at least 3 seats and Asana sells seats above 5 in blocks. Basecamp's Freelancer plan covers up to 20 users for $25 a month, and Studio has no user limit.
