Part 01 · Overview

Welcome

What it is, who it suits, its grades and the ten things to know first

2.4

GPA, above 19 of the 48 other CRM tools we grade

EngageBay is a combined marketing, sales and support suite for small businesses, built around a shared CRM. It bundles email marketing, landing pages, deal pipelines, appointment scheduling, a helpdesk and live chat. It is sold as one All-in-One plan or as separate Marketing, CRM & Sales and Service products, and a free plan covers up to 15 users and 250 contacts.

To get you started, here are 9 things to know about EngageBay, taken from its own pages and our grades.

  1. 1

Best for small teams wanting marketing, sales and support

EngageBay puts email marketing, a sales CRM and a helpdesk behind one login with shared contacts, free for up to 15 users.

  2. 2

Paid plans start at $13.79 a month for each person

As its pricing page puts it: $13.79 per user / month, billed yearly ($14.99 billed monthly).

  3. 3

    There is a free plan

Free plan for up to 15 users: 250 contacts, 1,000 branded emails, CRM, helpdesk, live chat, 1 landing page, 2 email sequences and 20 AI conversations a month.

  4. 4

    It runs on 3 platforms

    Web, iOS and Android.

  5. 5

    CRM and deal pipelines

The CRM covers contacts and companies with a 360-degree view, deals, tasks and email tracking, and is part of the Free plan. Pipelines track each deal by stage for forecasting.

  6. 6

    Email marketing and automation

Email broadcasts, sequences, templates and landing pages come with the suite. Automation workflows begin on Growth with 10 workflows and rise to 100 on Pro.

  7. 7

    Helpdesk and live chat

The Service Bay adds ticketing, ticket views, canned responses and live chat. It is included in the All-in-One plans and is also offered on its own as a free help desk.

  8. 8

    A 2.4 GPA, above 19 of 48

That is against the other CRM tools we grade, on value, the free plan, features, ease of use and platforms.

  9. 9

    Keep it

To replace EngageBay you would be making email sent in volume that still reaches the inbox. That is not a weekend's work, with an AI app builder or without one.

The report card

Best for small teams wanting marketing, sales and support

EngageBay puts email marketing, a sales CRM and a helpdesk behind one login with shared contacts, free for up to 15 users. What holds it back is contacts: Free stops at 250, Basic at 500 and Growth at 5,000. Marketing automation starts on Growth at $59.79 a user, workflows are rationed, and the lowest prices need a two-year term.

ToolGPA report cardEngageBayGraded Oct 10, 2026
SubjectGradeComment
Value for moneyDBasic is $13.79 a user a month billed yearly, but it holds only 500 contacts. The automation you'd buy a suite like this for starts on Growth at $59.79, two and a half times the $24 middle for CRMs, and Pro is $110.39. The lowest rates of all need a two-year term.
Free plan and trialBFree for up to 15 users, with the CRM, helpdesk, live chat, a landing page, 2 email sequences and 20 AI conversations a month. But it stops at 250 contacts and 1,000 branded emails, which won't last a growing business long.
FeaturesBContacts, deal pipelines, email broadcasts, sequences, landing pages, automation workflows, a ticket desk, live chat, booking links and an AI chatbot. Marketing, sales and support are all covered, though workflows are rationed, 10 on Growth and 100 on Pro, and every plan caps contacts.
Ease of useCNo store rating on record. One login for marketing, sales and support saves stitching three tools together, but it's also sold as separate Marketing, CRM & Sales and Service products, so there's working out which you need before any of it is set up.
Platforms and integrationsBWeb, iPhone and Android, with no desktop app. It connects to Zapier, Shopify, Stripe, Xero, Twilio, Slack, Mailchimp and WhatsApp, and there's a REST API with webhooks, though API calls are capped each month, from 500 on Free to 75,000 on Pro.
Grade point averageFair, out of 4.02.4

An A is worth 4 points, a B 3, a C 2, a D 1 and an F nothing. The GPA is the average of the five.

Who EngageBay is for

  • Fits if you'd otherwise pay for a CRM, an email tool and a helpdesk separately
  • Works for teams of up to 15 with under 250 contacts, as that's free

Who it is not for

  • Tight if your list is growing, as contacts stop at 250 on Free, 500 on Basic, 5,000 on Growth and 10,000 on Pro
  • Pricey if you need marketing automation, which starts on Growth at $59.79 a user and allows 10 workflows
  • Not for you if you hate long contracts, because the lowest advertised rates need a two-year term
  • Watch out: API calls are capped each month, from 500 on Free to 75,000 on Pro, and there's no desktop app
  • Tight if you send a lot of email: 1,000 branded emails on Free and 3,000 on Basic

Good to know

Good for

  • Small businesses that want marketing, sales and support in one tool
  • Teams of up to 15 starting on a free plan with a small contact list
  • Buyers who would otherwise pay for a CRM and an email tool separately

Worth knowing

  • All-in-One plans cap contacts: 250 on Free, 500 on Basic, 5,000 on Growth and 10,000 on Pro.
  • The pricing page lists marketing automation from the Growth plan, which allows 10 workflows of up to 15 nodes each.
  • Prices here are for the All-in-One suite. The CRM & Sales Bay alone is $11.95, $45.99 or $73.59 per user / month, billed yearly.
  • The lowest advertised rates need a two-year (biennial) term, which takes 15% off the monthly prices.

EngageBay's GPA of 2.4 is higher than 19 of the 48 other CRM tools we grade, and level with 15.

It stands best on free plan and trial (B, above 37 of 48) and worst on value for money (D, above 0).

Keep it, or make your own?

Whether this is something you could build for yourself with an AI app builder, and what you would give up.

Keep it

To replace EngageBay you would be making email sent in volume that still reaches the inbox. That is not a weekend's work, with an AI app builder or without one.

It costs $165.48 a year.

What you could make

  • Sales pipeline and forms: an app builder makes these well.

What you could not

  • Email sent in volume that still reaches the inbox.
  • Connections to other products, each kept working as those products change.
  • Booking pages that read and write other people's calendars and send the emails.
  • A real app for iOS and Android. Something home-made would be a web page.
  • It is priced for each person, which means accounts and billing for a team.
  • AI features, unless you pay a model provider for each request yourself.
  • The depth: we grade its features B, which means it covers the whole job.

What this rests on. EngageBay’s listing: what it does, where it runs, what it plugs into and what it costs. It is a judgement about the kind of software this is. We have not built a replacement for it, and making your own means looking after it too. How we decide, and every tool’s verdict.
