Part 01 · Overview
Welcome
What it is, who it suits, its grades and the ten things to know first
2.4
GPA, above 18 of the 74 other calendar and scheduling apps we grade
Koalendar is scheduling and appointment booking software for professionals, teachers and small teams. Invitees book from a branded page that checks the host's Google, Outlook or iCloud calendars and translates itself into the visitor's language. The free plan has no cap on bookings or booking pages, and the paid Pro plan, priced per seat, adds payments, reminders, group sessions and team scheduling.
To get you started, here are 9 things to know about Koalendar, taken from its own pages and our grades.
No rating on record, and there's setting up to do before anyone can book: connect a calendar, set your hours, build the page.
- 1
Best for free booking pages with no cap on bookings
Koalendar gives you booking pages with no limit on bookings or pages, free with no time limit.
- 2
Paid plans start at $6.99 a month for each person
As its pricing page puts it: $6.99 per seat / month, billed annually ($9.99 billed monthly).
- 3
There is a free plan
Free forever plan: unlimited bookings and booking pages, sync with 2 calendars, Google Meet links, website embeds, mobile apps and booking pages in 30+ languages.
- 4
It runs on 3 platforms
Web, iOS and Android, with a browser extension too.
- 5
Booking pages
Unlimited booking pages with a custom link, logo and brand colors on every plan. Pages detect the visitor's time zone and are translated into more than 30 languages.
- 6
Calendar sync
Checks Google, Outlook and iCloud calendars for conflicts and writes new bookings back. The Free plan connects 2 calendars; Pro has no limit.
- 7
Team and resource scheduling
Pro adds round robin distribution, collective events with several hosts, and letting invitees pick a provider. A seat can be a person or a bookable resource such as a room.
- 8
A 2.4 GPA, above 18 of 74
That is against the other calendar and scheduling apps we grade, on value, the free plan, features, ease of use and platforms.
- 9
Keep it
To replace Koalendar you would be making connections to other products, each kept working as those products change. That is not a weekend's work, with an AI app builder or without one.

The report card
Best for free booking pages with no cap on bookings
Koalendar gives you booking pages with no limit on bookings or pages, free with no time limit. Free has no reminders, no payments and no group sessions, syncs 2 calendars and offers only Google Meet for video. Those need Pro at $6.99 a seat billed annually, every bookable room counts as a seat, and Koalendar is testing higher prices on some new visitors.
| Subject | Grade | Comment |
|---|---|---|
| Value for money | C | Pro is $6.99 a seat a month billed annually, $9.99 monthly, so above this category's $6 middle. Two things to watch: rooms and equipment count as paid seats, and Koalendar is testing new pricing, with some new visitors shown $9 instead. |
| Free plan and trial | B | Free with no time limit: unlimited bookings and booking pages, 2 synced calendars, website embeds and the phone apps. You go without reminders, payments, group sessions and any video link but Google Meet. |
| Features | C | The booking job: pages in 30-plus languages, round robin, collective events, group sessions, bookable rooms, Stripe or PayPal with taxes and coupons. That's a smaller job than a calendar, though, and the listing shows no API and no reporting, with Zapier the only automation link. |
| Ease of use | C | No rating on record, and there's setting up to do before anyone can book: connect a calendar, set your hours, build the page. Once it's live, pages pick up the visitor's time zone and language themselves. |
| Platforms and integrations | B | Web, iPhone and Android apps and extensions for Chrome, Edge and Brave, syncing Google, Outlook and iCloud, with Zoom, Meet, Teams, Stripe and Zapier. No desktop app, and no API on any plan. |
An A is worth 4 points, a B 3, a C 2, a D 1 and an F nothing. The GPA is the average of the five.
Who Koalendar is for
- Fits if you're a tutor or solo professional who wants unlimited bookings on a free plan
- Works for booking rooms or equipment alongside people, with each one a paid seat on Pro
Who it is not for
- Tight if you're staying free and need reminders, Zoom links or more than 2 calendars
- Pricey if you have lots of rooms to book, because every bookable resource is a paid seat
- Skip it if you want an API or reporting, which the listing doesn't show
- Watch out: Koalendar is testing new pricing, with some visitors shown Pro at $9 a seat billed annually
- Watch out: SMS reminders cost extra by usage, and HIPAA with a BAA is an add-on on request
Good to know
Good for
- Solo professionals and teachers who want unlimited free bookings
- Small businesses that take payment when a client books
- Booking rooms or other shared resources alongside people
Worth knowing
- The Free plan syncs 2 calendars, offers only Google Meet for video links and has no reminders, payments, group sessions or custom form questions.
- Koalendar is testing new pricing: some new visitors are shown Pro at $9 per seat / month on annual billing ($12 monthly) with an added Business or Premium tier.
- A seat is any bookable user or resource, so rooms and equipment count toward the bill. SMS reminders cost extra.
- HIPAA support with a BAA is sold as an add-on on request.

Keep it, or make your own?
Whether this is something you could build for yourself with an AI app builder, and what you would give up.
Keep it
To replace Koalendar you would be making connections to other products, each kept working as those products change. That is not a weekend's work, with an AI app builder or without one.
That makes this kind of software worth paying for, not this one in particular: 45 of the 74 other calendar and scheduling apps grade higher. It costs $83.88 a year.
What you could not
- Connections to other products, each kept working as those products change.
- Booking pages that read and write other people's calendars and send the emails.
- A real app for iOS and Android. Something home-made would be a web page.
- It is priced for each person, which means accounts and billing for a team.
What this rests on. Koalendar’s listing: what it does, where it runs, what it plugs into and what it costs. It is a judgement about the kind of software this is. We have not built a replacement for it, and making your own means looking after it too. How we decide, and every tool’s verdict.
