Part 01 · Overview

Welcome

What it is, who it suits, its grades and the ten things to know first

2.2

GPA, above 6 of the 40 other automation tools we grade

Whalesync is a no-code tool that keeps records in two apps identical: a change made in either one is written to the other. It centers on Airtable, Notion and Google Sheets, connecting them to website builders, databases and CRMs such as Webflow, Supabase, Postgres and HubSpot. Plans are priced by the number of records kept in sync, with unlimited updates to those records.

To get you started, here are 9 things to know about Whalesync, taken from its own pages and our grades.

  1. 1

Best for keeping a spreadsheet and an app in two-way sync

Whalesync keeps the same records identical in two apps, both ways: change a row in Airtable and the Webflow page updates, and the reverse.

  2. 2

Paid plans start at $16 a month

As its pricing page puts it: $16 / month, billed yearly, for 2,000 records ($20 billed monthly).

  3. 3

    You can try it first

7-day free trial on every plan, no credit card required

  4. 4

    It runs on Web

    Web.

  5. 5

    Two-way sync

A sync connects two apps. You map tables and fields, choose a direction for each, and turn it on; changes on either side are then written to the other as they happen.

  6. 6

    Records-in-sync pricing

A record counts once when it first syncs, and is not counted again for the second app. Updates to synced records are unlimited, as are mappings and active syncs.

  7. 7

Linked records, rich text and images

Syncs carry multi-reference fields, rich text and images, which lets a spreadsheet act as the content source for a site built in Webflow, Framer or WordPress.

  8. 8

    A 2.2 GPA, above 6 of 40

That is against the other automation tools we grade, on value, the free plan, features, ease of use and platforms.

  9. 9

    Keep it

To replace Whalesync you would be making connections to other products, each kept working as those products change. That is not a weekend's work, with an AI app builder or without one.

The report card

Best for keeping a spreadsheet and an app in two-way sync

Whalesync keeps the same records identical in two apps, both ways: change a row in Airtable and the Webflow page updates, and the reverse. You pay by records kept in sync, and Starter is $16 a month on the yearly plan, $20 monthly, for 2,000 of them. There's no free plan, HubSpot needs Plus at $32, Salesforce needs Pro at $160, and yearly plans can't be downgraded until the year is out.

ToolGPA report cardWhalesyncGraded Oct 10, 2026
SubjectGradeComment
Value for moneyCStarter is $16 a month billed yearly, $20 monthly, for 2,000 records with as many updates as you like. That's the middle of this category, where the low end is $15 and the high end $25. Where it climbs is the connectors: HubSpot wants Plus at $32, Salesforce wants Pro at $160.
Free plan and trialCNothing free to keep. There's a 7-day trial on every plan and it asks for no card, but a week later the syncing stops until you choose and pay for a plan.
FeaturesCTwo-way sync, with a direction per field, linked records, formatted text and images carried over, an Issues page with the destination app's own error, Live Export, an API and an MCP server. That's a narrow slice of what this category does, and the connector list depends on your plan.
Ease of useCNo rating on record. There's no code and no triggers to reason about, but a sync is still a thing you set up: two apps to connect, tables to pair, fields to map, a direction to pick for each one.
Platforms and integrationsBWeb only, nothing for the phone or the desktop on the listing. The connectors carry the mark: Airtable, Notion, Google Sheets, Webflow, Supabase, WordPress, HubSpot and Salesforce, with an API reference and an MCP server in the docs.
Grade point averageFair, out of 4.02.2

An A is worth 4 points, a B 3, a C 2, a D 1 and an F nothing. The GPA is the average of the five.

Who Whalesync is for

  • Fits if you run a Webflow or WordPress site's content out of Airtable or Notion
  • Works for teams that want two apps mirrored, not a chain of triggers to look after

Who it is not for

  • Not for you if you want to stay free, as there's only a 7-day trial and then syncing pauses
  • Tight if you keep more than 2,000 records in sync on Starter, and past 20,000 you have to book a demo
  • Pricey if you need HubSpot, which wants Plus at $32, or Salesforce and Affinity, which are Pro only from $160 a month billed yearly
  • Skip it if you might want to downgrade mid-year, because yearly plans can't drop down or go monthly until the year's over

Good to know

Good for

  • Running a Webflow or WordPress site's content from Airtable or Notion
  • Operations teams bulk-editing CRM records from a spreadsheet
  • Teams that want records mirrored both ways, not trigger-based automations

Worth knowing

  • There is no free plan: when the 7-day trial ends, syncing pauses until a plan is chosen.
  • Starter stops at 2,000 records in sync. CRM connectors such as HubSpot need Plus, and Salesforce and Affinity need Pro.
  • Yearly plans are paid up front and cannot be downgraded or switched to monthly billing until the year is over.
  • More than 20,000 records in sync means booking a demo instead of buying online.

Keep it, or make your own?

Whether this is something you could build for yourself with an AI app builder, and what you would give up.

Keep it

To replace Whalesync you would be making connections to other products, each kept working as those products change. That is not a weekend's work, with an AI app builder or without one.

That makes this kind of software worth paying for, not this one in particular: 26 of the 40 other automation tools grade higher. It costs $192 a year.

What you could not

  • Connections to other products, each kept working as those products change.
  • A builder that other people can use without writing code.

What this rests on. Whalesync’s listing: what it does, where it runs, what it plugs into and what it costs. It is a judgement about the kind of software this is. We have not built a replacement for it, and making your own means looking after it too. How we decide, and every tool’s verdict.
