Part 01 · Overview
Welcome
What it is, who it suits, its grades and the ten things to know first
2.6
GPA, above 48 of the 123 other to-do list apps we grade
Zoho ToDo is the task manager that comes with Zoho Mail and Zoho Workplace, with a web app and mobile apps for iOS and Android. Tasks are either personal or attached to a group, and carry subtasks, priorities, categories, tags, reminders and recurrence, shown as a list or a kanban board. It has no plan of its own: it is one of the products included in the Zoho Mail and Workplace plans.
To get you started, here are 9 things to know about Zoho ToDo, taken from its own pages and our grades.
- 1
Best for team tasks if you already use Zoho Mail
It isn't sold by itself, so if you don't already use Zoho, look elsewhere.
- 2
Paid plans start at $1 a month for each person
As its pricing page puts it: $1 per user / month, billed annually (Zoho Mail Lite).
- 3
There is a free plan
The mobile apps are free downloads, and Zoho points people without a plan to Zoho Mail's Forever Free plan: up to 5 users on one domain, in select data centers. Multiple assignees need a paid plan.
- 4
It runs on 3 platforms
Web, iOS and Android.
- 5
Personal and group tasks
Personal tasks are visible to their owner and assignee. Group tasks belong to a Streams group, where every member can view, track and comment on them.
- 6
Subtasks, priorities and statuses
A task splits into subtasks with their own assignees, takes a High, Medium or Low priority, and can use custom color-coded statuses beyond Open and Closed.
- 7
List and kanban views
Tasks are shown as a list or as a kanban board, and can be sorted and filtered, with the chosen filters kept for the next visit.
- 8
A 2.6 GPA, above 48 of 123
That is against the other to-do list apps we grade, on value, the free plan, features, ease of use and platforms.
- 9
Your call
A to-do list at its plainest is tasks with dates, repeats and a box to tick.

The report card
Best for team tasks if you already use Zoho Mail
Zoho ToDo is the task manager that comes with Zoho Mail and Zoho Workplace, from $1 a user a month billed annually. It has personal and group tasks, subtasks and a kanban board, but no projects of your own, no desktop app, and several assignees on one task need a paid plan. It isn't sold by itself, so if you don't already use Zoho, look elsewhere.
| Subject | Grade | Comment |
|---|---|---|
| Value for money | A | There's no ToDo plan to buy. It comes with Zoho Mail Lite at $1 a user a month billed annually, and that gets you mail and a calendar as well. To-do apps in this category start at $2.42 a month at the low end, so $1 for the lot is well under it. Mail Lite has no monthly option, mind. |
| Free plan and trial | C | The free route is Zoho Mail's Forever Free plan, and it has strings: up to 5 users on one domain, which means a domain you own, and it's only offered in select data centers. One assignee per task until you pay. There's a 15-day trial of the top edition with no card if you'd rather try that. |
| Features | C | The basics are here: start and due dates, reminders, repeats, subtasks, priorities, tags and custom statuses, as a list or a kanban board. But tasks are either personal or stuck to a Streams group, with categories and tags instead of projects, and several people on one task needs a paid plan. |
| Ease of use | C | No rating is on record to go by. It also isn't a thing you just open: you're inside a Zoho Mail or Workplace organization first, and the Unified View only fills up once each Zoho integration has been switched on by hand. |
| Platforms and integrations | B | A web app plus iOS and Android, and one screen that pulls in tasks from Zoho CRM, Projects, People, Desk and Connect. No desktop app, which is where this stops short of the top mark, and everything it connects to is Zoho. |
An A is worth 4 points, a B 3, a C 2, a D 1 and an F nothing. The GPA is the average of the five.
Who Zoho ToDo is for
- Fits if your team already runs on Zoho Mail or Zoho Workplace, where it's included
- Works for Zoho users who want CRM, Projects and Desk tasks on one screen
Who it is not for
- Skip it if you don't use Zoho, as it isn't sold by itself and comes with Mail or Workplace plans priced per user
- Not for you if you sort work into projects, since you get categories, tags and Streams groups instead
- Tight if you're staying free: that plan wants a domain of your own, stops at 5 users and runs only in select data centers
- Watch out: several assignees on one task need a paid plan, and Mail Lite and Mail Premium are billed yearly only
- Skip it if you want a desktop app, since it runs on the web, iOS and Android only
Good to know
Good for
- Teams already using Zoho Mail or Zoho Workplace
- Organizations that assign and discuss tasks inside groups
- Zoho users who want CRM, Projects and Desk tasks on one screen
Worth knowing
- Not sold on its own: Zoho ToDo comes with Zoho Mail and Zoho Workplace plans, which are priced per user.
- Assigning one task to several people, up to 5, is limited to paid plans.
- Collaboration is built around an organization: the help pages describe assigning tasks to, and inviting, members of the same Zoho organization.
- Mail Lite and Mail Premium are billed annually only, and the Forever Free plan is offered only in select data centers.

Keep it, or make your own?
Whether this is something you could build for yourself with an AI app builder, and what you would give up.
Your call
A to-do list at its plainest is tasks with dates, repeats and a box to tick.
You could make the core of Zoho ToDo for yourself: tasks and kanban boards. What you would give up is listed below. Whether that is worth the price is your call. At $12 a year it costs less than the weekend it would take to replace, which is the argument for keeping it.
What you could make
- Tasks and kanban boards: an app builder makes these well.
What you could not
- A real app for iOS and Android. Something home-made would be a web page.
- It is priced for each person, which means accounts and billing for a team.
- It plugs into other products, Zoho Mail, Zoho CRM and Zoho Projects among them.
What this rests on. Zoho ToDo’s listing: what it does, where it runs, what it plugs into and what it costs. It is a judgement about the kind of software this is. We have not built a replacement for it, and making your own means looking after it too. How we decide, and every tool’s verdict.
