Worth knowing

Microsoft To Do

  • Signing in requires a personal Microsoft account or a work or school account.
  • Lists can be shared only between personal Microsoft accounts or between accounts in the same workplace or school.
  • No Linux app is listed; the vendor names Windows, Mac, iOS, Android and the web.

Zoho ToDo

  • Not sold on its own: Zoho ToDo comes with Zoho Mail and Zoho Workplace plans, which are priced per user.
  • Assigning one task to several people, up to 5, is limited to paid plans.
  • Collaboration is built around an organization: the help pages describe assigning tasks to, and inviting, members of the same Zoho organization.

My Day
A daily list that resets every night. Tasks left unfinished go back to the Tasks list and appear among the next day's suggestions.
Lists, steps and notes
Tasks sit in lists and can have due dates, reminders, notes, a breakdown into steps and up to 25MB of attached files.
Shared lists
A list is shared by sending an invitation link, and it stays in sync as members make changes. Access can later be limited to current members or switched off.
Outlook and Planner
Tasks are stored in Exchange Online, so they show up in both To Do and Outlook Tasks. Flagged email can be handled as tasks, and Planner tasks can be seen in To Do.
Sync across devices
Signing in with the same account on each device keeps lists in step; the vendor says the app updates every 5 seconds.
Tasks API
Microsoft points developers to the public Outlook Tasks REST API for reading and updating the tasks that To Do stores.

Zoho ToDo

Personal and group tasks
Personal tasks are visible to their owner and assignee. Group tasks belong to a Streams group, where every member can view, track and comment on them.
Subtasks, priorities and statuses
A task splits into subtasks with their own assignees, takes a High, Medium or Low priority, and can use custom color-coded statuses beyond Open and Closed.
List and kanban views
Tasks are shown as a list or as a kanban board, and can be sorted and filtered, with the chosen filters kept for the next visit.
Reminders and recurring tasks
Tasks take start and due dates, reminders by notification or email, an overdue alert, and daily, weekly, monthly or yearly recurrence.
Tasks from email
In Zoho Mail an email becomes a task from its menu, with the subject as the title. A task can also be created by sending yourself an email in a set format.
Unified View
One screen gathers tasks from Zoho ToDo, CRM, Projects, People, Desk and Connect, once each integration has been switched on in Zoho Mail.
