How we grade them

2.6GPAKan DoGood3.4GPATask FlowVery good
Value for money
A$2.99, one time, and that covers Mac, iPhone, iPad, Apple Vision Pro, Apple TV and Apple Watch. No subscription and no in-app purchases. Most paid to-do apps charge more than that every month.
ATask Flow+ is $19.99 a year, which is well under the $3.99 a month a typical to-do app charges. Monthly is $2.99. Don't fancy a subscription? Lifetime is $49.99, about a year of what rivals cost.
Free plan and trial
FNothing is free. It's a paid download with no free version and no trial. At $2.99 the risk is small, but you are buying it blind.
BFree gets you unlimited tasks, boards, subtasks, widgets, the focus timer and iCloud sync. But it stops at five projects and one attachment upload a day. Work, home and a couple more and you're done.
Features
ABoards with your own columns, Spaces, nested tags, smart lists and a Calendar view. Tasks take start dates, due dates, repeats and reminders that keep going until you're done. Each one has a notes editor with images, drawings and attachments.
AOne task can sit in several projects. Subtasks are full tasks with their own dates and subtasks. Repeats handle rules like the last Friday of a month, and a My Task Flow view pulls what's next from every project.
Ease of use
BWe have no App Store rating on record, so a B is as high as we go. There's no account to make. Buy it, open it, and your boards sync through your own iCloud.
A4.6 from about 330 App Store ratings. There's no account to make, because it syncs through the iCloud you already have.
Platforms and integrations
CApple only, and its FAQ says there's no web or Windows version. Inside that world it goes far: Siri, Shortcuts, and on the Mac a built-in MCP helper so assistants like Claude, ChatGPT and Cursor can read and manage your tasks.
CiPhone, iPad, Mac and Apple Vision, with hooks into Apple Reminders, Siri and Shortcuts. That's all Apple. There's no Android, Windows or web version, and sync is iCloud only.

Who each one suits

Kan Do

Task Flow

  • Buyers who prefer a lifetime purchase to a subscription

Worth knowing

Kan Do

  • Apple platforms only: the FAQ says there is no web or Windows version.
  • Boards cannot be shared with another person; sync runs only between one user's devices under a single Apple Account.
  • It is a paid download with no free version or trial.
  • Kan Do does not write tasks to the Calendar app, and Apple Reminders is the only app it imports from directly.

Task Flow

  • Apple platforms only: the App Store lists iPhone, iPad, Mac and Apple Vision, with no Android, Windows or web version.
  • The free version stops at five projects and one attachment upload per day, according to the terms of use.
  • Multiple reminders per task, task priorities and premium themes are listed as Task Flow Plus features in the vendor's press kit.
  • Data syncs only through the user's own iCloud account; there is no separate Task Flow account or sign-in.

Key features

Kan Do

Boards, columns and list view
Every project is a board of user-defined columns. Cards are dragged between columns, dividers split long columns into sections, and any project can switch to a list.
Spaces, projects and nested tags
Spaces group projects, each with its own icon and color, and tags can be nested to any depth to cut across projects.
Notes editor in every task
A task's note takes headings, lists, to-do checkboxes, quotes, code blocks, highlights, images, drawings and file attachments, which sync with the task.
Smart lists and Calendar view
Inbox, Today, Upcoming and Flagged collect tasks across projects, custom smart lists filter by tag, date, priority or project, and a built-in Calendar view shows tasks and subtasks.
Reminders that repeat until done
Tasks take start dates, due dates and repeats. Alert Until Done reminders recur every 30 minutes, hour, 3 hours or day, and can be snoozed from the notification.
Siri, Shortcuts and MCP connector
Siri and Shortcuts actions add, edit, find and complete tasks. On the Mac, a built-in MCP helper lets assistants such as Claude, ChatGPT and Cursor read and manage tasks.

Task Flow

My Task Flow view
A view that collects the tasks to do next from any project into sections such as Recent, Today and Upcoming, plus custom sections the user adds.
Tasks in several projects
One task can be added to more than one project and ordered separately in each. Completing it in one project marks it done in all of them.
List and board layouts
Each project is shown as a sectioned list or as a kanban board, and can be given its own icon and color.
Subtasks, notes and attachments
Subtasks are full tasks with their own due date, priority, notes and further subtasks. Notes accept Markdown checklists, and files can be attached to a task.
Reminders and recurring tasks
A task can carry several reminders, and repeats use presets or custom rules such as every Tuesday and Thursday or the last Friday of a month, with an optional end date.
Task Flow AI
On-device features built on Apple Intelligence summarize the Today view, suggest subtasks and reword tasks. Version 5.0 creates tasks from text, dictation or photos; some of it needs iOS 27.
