Part 01 · Overview
Welcome
What it is, who it suits, its grades and the ten things to know first
2.2
GPA, above 4 of the 42 other time tracking apps we grade
actiTIME is timesheet software that ties tracked hours to tasks, budgets, costs and client billing. Teams log time in a weekly timesheet or calendar, managers approve it, and reports show overtime, estimates against actuals and profit and loss. It is sold as an online subscription, as a one-time self-hosted license, and as a free version for up to 3 users with reduced functionality.
To get you started, here are 9 things to know about actiTIME, taken from its own pages and our grades.
- 1
Best for timesheets tied to project budgets
actiTIME is timesheet software that puts hours against tasks, budgets and billing rates, with approvals and profit and loss reports, online or bought once for your own server.
- 2
Paid plans start at $5 a month for each person
As its pricing page puts it: $5 per user / month, billed yearly ($6 for up to 40 users).
- 3
There is a free plan
Free actiTIME Online for 1 to 3 users with limited functionality: no approvals, overtime, task estimates, budgets, custom fields, API, Chrome extension, Zapier or QuickBooks integration.
- 4
It runs on 3 platforms
Web, iOS and Android, with a browser extension too.
- 5
Timesheets and calendar
Time is entered in a weekly timesheet or as start and stop time cards on a calendar, with comments, overtime and leave. Timesheets can be locked and sent for approval.
- 6
Task management
Tasks carry estimates, deadlines, priorities, assignments and custom workflow statuses, and a Kanban view shows progress across a project.
- 7
Budgets
Time, cost and billing budgets can be set for tasks, projects and customers, over a date range or the lifetime of the work, in any number.
- 8
A 2.2 GPA, above 4 of 42
That is against the other time tracking apps we grade, on value, the free plan, features, ease of use and platforms.
- 9
Keep it
The plain part of actiTIME you could make: time tracking, reports, invoicing and tasks. What surrounds it you could not. The 3 things listed below take a company, not a weekend.

The report card
Best for timesheets tied to project budgets
actiTIME is timesheet software that puts hours against tasks, budgets and billing rates, with approvals and profit and loss reports, online or bought once for your own server. The free version stops at 3 users with approvals, budgets and the API switched off, there's no desktop app with a timer, and every major Self-Hosted upgrade costs the full $120 a user again.
| Subject | Grade | Comment |
|---|---|---|
| Value for money | C | Online is $6 a user a month billed yearly for up to 40 people, $5 above that, which is the middle of what time tracking charges. The one-time Self-Hosted license is $120 a user, but every major upgrade costs the full $120 again. |
| Free plan and trial | C | Free takes 1 to 3 users, and the list of what's switched off is long: approvals, overtime, task estimates, budgets, custom fields, the API, the Chrome extension, Zapier and QuickBooks. A 30-day card-free trial covers the full product. |
| Features | C | On the accounting side it has weekly timesheets with approvals, tasks with estimates and a Kanban view, time, cost and billing budgets, profit and loss reports, invoices and a QuickBooks hand-off. But there's no desktop app with a timer at all, so tracking happens in a browser tab, on a phone or in a Chrome extension. |
| Ease of use | C | No App Store rating on record, and this is the kind of tool somebody sets up: customers, projects, tasks, billing rates, budgets and an approval workflow all have to be in place before the numbers mean anything. |
| Platforms and integrations | B | Browser, iPhone, Android and a Chrome extension, with a REST API on the paid plans. No desktop app on any operating system, and the integrations list is short: QuickBooks Online, Zapier and actiTIME's own actiPLANS. |
An A is worth 4 points, a B 3, a C 2, a D 1 and an F nothing. The GPA is the average of the five.
Who actiTIME is for
- Fits if you run projects and want budgets and profit tracked down to the task
- Works for companies that must keep timesheet data on their own server
Who it is not for
- Tight if you're staying free, as it stops at 3 users and approvals, overtime, budgets and the API are switched off
- Skip it if you want a desktop app with a timer, because actiTIME Online is browser only
- Pricey if you self-host for years, as each major upgrade costs the full $120 a user again
- Watch out: self-hosting puts maintenance on your own IT staff, engineer sessions are $40 an hour, and prices exclude taxes
- Too light for teams that connect lots of tools, as the integrations are QuickBooks Online, Zapier and actiPLANS
Good to know
Good for
- Project teams that track budgets and profitability by task
- Companies that must keep timesheet data on their own server
- Teams of up to 3 that can work with a reduced free version
Worth knowing
- The free version stops at 3 users and omits approvals, overtime, budgets, task estimates, custom fields, the API and the Chrome extension.
- actiTIME Online is browser-only: there is no desktop app, only iOS and Android apps and a Chrome extension.
- Self-Hosted maintenance falls to your own IT staff, major upgrades cost 100% of the initial price, and engineer sessions are $40 an hour.
- Listed prices exclude taxes.

Keep it, or make your own?
Whether this is something you could build for yourself with an AI app builder, and what you would give up.
Keep it
The plain part of actiTIME you could make: time tracking, reports, invoicing and tasks. What surrounds it you could not. The 3 things listed below take a company, not a weekend.
That makes this kind of software worth paying for, not this one in particular: 35 of the 42 other time tracking apps grade higher. It costs $60 a year.
What you could make
- Time tracking, reports, invoicing and tasks: an app builder makes these well.
What you could not
- A real app for iOS and Android. Something home-made would be a web page.
- It is priced for each person, which means accounts and billing for a team.
- It plugs into other products, QuickBooks Online, Zapier and actiPLANS among them, and has an API.
What this rests on. actiTIME’s listing: what it does, where it runs, what it plugs into and what it costs. It is a judgement about the kind of software this is. We have not built a replacement for it, and making your own means looking after it too. How we decide, and every tool’s verdict.
