Part 01 · Overview
Welcome
What it is, who it suits, its grades and the ten things to know first
2.6
GPA, above 42 of the 79 other project management tools we grade
Leantime is a project management system that pairs kanban, table and list task views with milestones on a timeline, goals, docs, timesheets and retrospectives. Its maker says it is built with ADHD, dyslexia and autism in mind, and the cloud version includes an AI assistant that prioritizes and breaks down tasks. The core is open source under AGPLv3 for self-hosting, and the hosted Leantime Pro is a single paid plan.
To get you started, here are 9 things to know about Leantime, taken from its own pages and our grades.
- 1
Best for people who find project tools overwhelming
Leantime is project management designed with ADHD, dyslexia and autism in mind, with kanban, table and list views, a timeline, goals, timesheets and an AI helper.
- 2
Paid plans start at $8 a month for each person
As its pricing page puts it: $8 per user / month, billed annually.
- 3
There is a free plan
Community Edition: open source under AGPLv3 and free to self-host with the core features. There is no free cloud plan, and extras such as whiteboards and custom fields are paid plugins.
- 4
It runs on 3 platforms
Web, iOS and Android.
- 5
Kanban, table and list task views
To-dos can be viewed as a kanban board, a table or a list, with subtasks, dependencies, custom statuses, sprints and a backlog.
- 6
Milestones on a timeline
Milestones bundle tasks under a date and appear on a Gantt-style timeline. Program plans, a paid extra when self-hosting, give the same view across projects.
- 7
My Work dashboard
A personal dashboard gathers tasks from every project in customizable widgets, with time blocking around events imported from an iCal link.
- 8
A 2.6 GPA, above 42 of 79
That is against the other project management tools we grade, on value, the free plan, features, ease of use and platforms.

The report card
Best for people who find project tools overwhelming
Leantime is project management designed with ADHD, dyslexia and autism in mind, with kanban, table and list views, a timeline, goals, timesheets and an AI helper. The cloud version is one plan at $8 a user a month. There's no free cloud plan, the self-hosted free edition has no AI and charges for whiteboards and custom fields as plugins, and the phone apps are beta companions.
| Subject | Grade | Comment |
|---|---|---|
| Value for money | C | Leantime Pro is $8 a user a month billed annually, $10 monthly, which is exactly the middle price in this category. At least it's one plan with everything in it and 500 AI credits a month, and self-hosters can buy every paid plugin for $99 once, for 1 to 3 users. |
| Free plan and trial | B | Free means hosting it yourself: the Community Edition is open source with the core features. But whiteboards, custom fields and recurring tasks are paid plugins there, the AI isn't available at all, and the cloud side only gets a 14-day trial. |
| Features | B | Kanban, table and list views with subtasks, dependencies, sprints and a backlog, milestones on a Gantt-style timeline, goals and strategy boards, timesheets you can export, and a dashboard with time blocking. The whole job, then, with the AI reserved for the hosted version. |
| Ease of use | C | No store rating on record. The My Work dashboard pulling your tasks into one place helps, and the maker says the design accounts for ADHD, dyslexia and autism, but you're still setting up projects, statuses and sprints, and self-hosting is a server job. |
| Platforms and integrations | B | Web with iPhone and Android apps, and no desktop app. The phone apps are in beta and act as companions for tasks, notes and timers, so real project work stays in the browser. Connections are Slack, Discord and Mattermost. |
An A is worth 4 points, a B 3, a C 2, a D 1 and an F nothing. The GPA is the average of the five.
Who Leantime is for
- Fits if you have ADHD, dyslexia or autism and find standard project tools overwhelming
- Works for teams that want to self-host an open-source project tool and can pay for plugins
Who it is not for
- Skip it if you want a free hosted plan, as the cloud version is paid once the 14-day trial ends
- Not for you if you want the AI on your own server, because it isn't in the open-source version or sold as a plugin
- Tight if you'd run whole projects from your phone, since the apps are beta companions for tasks, notes and timers
- Watch out: when you self-host, whiteboards, custom fields, recurring tasks and program plans are paid plugins, $99 for 1 to 3 users
- Watch out: a self-hosted server needs the paid Advanced Auth plugin before the mobile app can connect
Good to know
Good for
- People with ADHD, dyslexia or autism who find standard project tools overwhelming
- Teams that want to self-host an open-source project management tool
- Small businesses and agencies that track billable hours on projects
Worth knowing
- There is no free cloud plan: the hosted version is a single paid plan after a 14-day trial.
- AI features are not available when self-hosting, and whiteboards, custom fields, recurring tasks and program plans are paid plugins there.
- The iPhone and Android apps are in beta and act as companions for tasks, notes and timers; full project work stays on the web.
- Self-hosted instances need the paid Advanced Auth plugin before the mobile app can connect.

Keep it, or make your own?
Whether this is something you could build for yourself with an AI app builder, and what you would give up.
Keep it
The plain part of Leantime you could make: kanban boards, Gantt & timelines, time tracking and goals. What surrounds it you could not. The 5 things listed below take a company, not a weekend.
It costs $96 a year. Leantime is open source, so there is a third way: take its code and run it yourself.
What you could make
- Kanban boards, Gantt & timelines, time tracking and goals: an app builder makes these well.
What you could not
- A real app for iOS and Android. Something home-made would be a web page.
- It is priced for each person, which means accounts and billing for a team.
- AI features, unless you pay a model provider for each request yourself.
- Hooks into the device itself: widgets.
- The depth: we grade its features B, which means it covers the whole job.
What this rests on. Leantime’s listing: what it does, where it runs, what it plugs into and what it costs. It is a judgement about the kind of software this is. We have not built a replacement for it, and making your own means looking after it too. How we decide, and every tool’s verdict.
