Part 01 · Overview
Welcome
What it is, who it suits, its grades and the ten things to know first
2.6
GPA, above 48 of the 123 other to-do list apps we grade
Priority Matrix, from Appfluence, organizes tasks and projects around the four quadrants of the Eisenhower method so that a team can see which work is urgent and which is important. Items carry owners, due dates, progress, files and a chat history, and add-ins bring the tool into Outlook and Microsoft Teams. Paid plans are priced per user, and a free tier covers small teams within fixed project and item limits.
To get you started, here are 9 things to know about Priority Matrix, taken from its own pages and our grades.
The idea itself is a two-minute explanation, four boxes and a task in one of them, though the reports and Gantt side is manager territory.
- 1
Best for teams that prioritise by urgent and important
Priority Matrix turns the urgent-against-important box into a team project tool, with an owner, due date, files and a chat on every item, plus add-ins for Outlook and Microsoft Teams.
- 2
Paid plans start at $12 a month for each person
As its pricing page puts it: $12 per user / month, billed annually ($15 billed monthly).
- 3
There is a free plan
Free tier for teams of up to 5 people: 5 projects and 100 open items (250 including finished ones), without Gantt charts or reports. An account drops to it when the trial ends.
- 4
It runs on 5 platforms
Web, macOS, Windows, iOS and Android, with a browser extension too.
- 5
Four-quadrant projects
Each project is a matrix of four quadrants based on the Eisenhower method, used to separate urgent work from important work and to hold ideas until they are ready.
- 6
Item details and files
Items carry icons, notes, dates, progress, effort estimates and attached files, and can be sorted, tagged, filtered and searched.
- 7
Assignments, followers and chat
A task is assigned to one owner and can have several followers. An in-app chat and history stream record the conversation and progress for each item or project.
- 8

The report card
Best for teams that prioritise by urgent and important
Priority Matrix turns the urgent-against-important box into a team project tool, with an owner, due date, files and a chat on every item, plus add-ins for Outlook and Microsoft Teams. It costs $12 a user a month on annual billing where a to-do app here is about $3.99, Gantt charts need a plan with a 5-user minimum, and the API is Enterprise only. Skip it for a personal list.
| Subject | Grade | Comment |
|---|---|---|
| Value for money | D | $12 a user a month billed annually, $15 monthly, where the dearest tenth of this category starts at $8.99 and the middle is $3.99. Gantt charts and advanced reports aren't even in Pro: they need PM Collaborate, same price, 5-user minimum. |
| Free plan and trial | C | A free tier for up to 5 people, with close fences: 5 projects, 100 open items, 250 counting finished ones, and no Gantt chart or reports. The 14-day trial needs no card. |
| Features | B | It covers the whole job for a team: every project a four-quadrant matrix, items with an owner, followers, dates, progress, effort estimates, files and their own chat thread, reports by project or teammate, Gantt charts higher up, and an Outlook add-in that turns email into tasks. |
| Ease of use | B | 4.6 from 1,428 App Store ratings, a touch under the 4.7 a top mark wants. The idea itself is a two-minute explanation, four boxes and a task in one of them, though the reports and Gantt side is manager territory. |
| Platforms and integrations | A | Web, Mac, Windows, iPhone, Android and browser extensions, with the native apps working offline, plus add-ins for Outlook and Microsoft Teams, Microsoft 365, Copilot and Gmail. API access is Enterprise only. |
An A is worth 4 points, a B 3, a C 2, a D 1 and an F nothing. The GPA is the average of the five.
Who Priority Matrix is for
- Fits if your team already sorts work by urgent and important
- Works for organizations that work mainly in Outlook and Microsoft Teams
Who it is not for
- Pricey if you just want a personal to-do list, at $12 a user a month against a typical $3.99
- Tight if you're staying free, with 5 projects, 100 open items, 5 teammates and no Gantt chart or reports
- Skip it if you're under 5 people and want Gantt charts, as they start at PM Collaborate's 5-user minimum
- Watch out: Pro stops at 100 projects and 25 seats, and leaves out restricted projects and advanced reports
- Not for you if you need the API or multi-factor sign-in, as both are listed only under Enterprise, at a custom price
