It combines tasks in board, table, Gantt and calendar views with discussions, chat, notes, forms, time tracking and file proofing with markup tools. There are two plans: Essential, capped at 40 projects, and Ultimate Control, which adds custom roles, workflows, API access and white labeling. ProofHub launched in 2012.
To get you started, here are 9 things to know about ProofHub, taken from its own pages and our grades.

The report card
Best for big teams tired of paying per user
ProofHub charges a flat price however many people you add: $45 a month on annual billing for unlimited users, with tasks as boards, tables, Gantt charts and calendars, plus chat, time tracking and file proofing. A team of two pays the same $45, there's no free plan, Essential stops at 40 projects and 15 GB, and reports, custom roles and the API need the $135 plan.
| Subject | Grade | Comment |
|---|---|---|
| Value for money | C | The flat $45 a month billed annually ($50 monthly) only pays off with a crowd on it: ten people is $4.50 each, two is $22.50 each, and there's no free plan to start on. Custom roles, workflows, reports and API access all sit on Ultimate Control at $135 a month. |
| Free plan and trial | C | No free plan. You get 14 days with no card needed, and then the account expires unless you add payment details, so there's nowhere to park a small project for nothing. |
| Features | B | Tasks on boards, in tables with custom fields, on a Gantt chart with dependencies or on a calendar, plus discussions, chat, notes, request forms, time tracking with timesheets, and proofing where files are marked up and approved in place. Custom roles and workflows need the top plan. |
| Ease of use | C | No store rating on record. Nothing to install and no seat sums to do before adding someone, which helps, but you are still laying out projects, stages and fields yourself, and the reports only arrive on the $135-a-month plan. |
| Platforms and integrations | B | Web, iPhone and Android, with no desktop app: on a computer it's the browser. It connects to Slack, Box, Dropbox, OneDrive, Google Calendar, FreshBooks and QuickBooks, and there's an API, but only on Ultimate Control. |
An A is worth 4 points, a B 3, a C 2, a D 1 and an F nothing. The GPA is the average of the five.
Who ProofHub is for
- Fits if you're a team of ten or more that would pay more under per-user pricing
- Works for teams whose clients mark up and approve files, since proofing is built in
Who it is not for
- Pricey if there are only two or three of you, because it's $45 a month however small the team
- Skip it if you want a free plan, as the account expires after the 14-day trial unless you pay
- Tight if you run lots of projects on Essential, which stops at 40 projects and 15 GB with no reports, custom roles or API
- Watch out: Ultimate Control's $89 a month lasts 3 months, then it's $135 billed annually or $150 monthly
- Not for you if you want a desktop app, as on a computer it runs in the browser only
Good to know
Good for
- Large teams that would pay more under per-user pricing
- Agencies and creative teams that proof and approve files with clients
- Teams that want tasks, chat and time tracking in one flat-price tool
Worth knowing
- There is no free plan: after the 14-day trial an account expires unless payment details are added.
- Essential is limited to 40 projects and 15 GB of storage and leaves out custom roles, workflows, reports and API access.
- Ultimate Control's advertised $89 a month (billed annually) applies to the first three months; it then costs $135, or $150 billed monthly.
- ProofHub lists mobile apps for iOS and Android only; on a computer it is used in the browser.

Keep it, or make your own?
Whether this is something you could build for yourself with an AI app builder, and what you would give up.
Keep it
To replace ProofHub you would be making chat that a whole team counts on staying up. That is not a weekend's work, with an AI app builder or without one.
That makes this kind of software worth paying for, not this one in particular: 38 of the 79 other project management tools grade higher. It costs $540 a year.
What you could make
- Tasks, kanban boards, Gantt & timelines, time tracking, forms and reports: an app builder makes these well.
What you could not
- Chat that a whole team counts on staying up.
- A real app for iOS and Android. Something home-made would be a web page.
- It plugs into other products, Slack, Box and Dropbox among them.
- Sharing with other people, which means accounts and invitations.
- The depth: we grade its features B, which means it covers the whole job.
What this rests on. ProofHub’s listing: what it does, where it runs, what it plugs into and what it costs. It is a judgement about the kind of software this is. We have not built a replacement for it, and making your own means looking after it too. How we decide, and every tool’s verdict.
