Part 01 · Overview
Welcome
What it is, who it suits, its grades and the ten things to know first
2.2
GPA, above 3 of the 79 other project management tools we grade
Resource Guru is resource management software for scheduling people, and also non-human resources such as meeting rooms, vehicles and equipment. Bookings are placed against each resource's real availability, with leave, clashes and capacity visible on the schedule. The middle and upper plans add project planning with Gantt charts, timesheets and reports.
To get you started, here are 9 things to know about Resource Guru, taken from its own pages and our grades.
Everyone added is billed whether they log in or not, there's no free plan, and no phone or desktop app is listed.
- 1

- 7
Rooms, vehicles and equipment

The report card
Best for booking people, rooms and equipment on one schedule
Resource Guru is a scheduler for people, rooms and equipment: you book against real availability, with leave and clashes on the schedule. It starts at $5 a person a month, but that plan has no reports, timesheets or Gantt charts, so the working plan is $8. Everyone added is billed whether they log in or not, there's no free plan, and no phone or desktop app is listed.
| Subject | Grade | Comment |
|---|---|---|
| Value for money | C | Grasshopper's $5 a person a month looks low against the $5.10 cheaper quarter here, but it has no reports, timesheets or Gantt charts and keeps only 7 days of history. The plan that does the job is Blackbelt at $8, which is this category's middle exactly. Everyone you add is billed whether they log in or not. |
| Free plan and trial | C | No free plan at all. What you get is 30 days with every feature and no credit card asked for, and then you pay. |
| Features | C | It does its own job fully, and that job is smaller than the category's: this schedules people's time, it doesn't run your tasks. Bookings can be tentative, repeating, split across resources or a total of hours, with clashes and leave on every plan. Grasshopper leaves out reports, timesheets and Gantt charts. |
| Ease of use | C | No store rating on record, and there's setting up to do: every person, room, vehicle and placeholder goes in, plus calendars to sync, before the schedule tells you anything. The idea is at least a simple one, and timesheets suggest entries from work already booked. |
| Platforms and integrations | B | Web, with Google Calendar, Outlook Calendar, Jira, Asana, Slack, Microsoft Teams, Zapier and Salesforce, and integrations and the API on the lowest plan. No phone or desktop app is listed, which is what keeps it off the top mark. |
An A is worth 4 points, a B 3, a C 2, a D 1 and an F nothing. The GPA is the average of the five.
Who Resource Guru is for
- Fits if you're an agency or consultancy scheduling people across client projects
- Works for teams that also book rooms, vehicles or equipment, at half the per-person price
Who it is not for
- Skip it if you're after task lists and boards, because this one schedules people's time
- Too light for reporting on Grasshopper, which has no reports, timesheets, Gantt charts or budgets and keeps 7 days of history
- Not for you if you want a free plan or a phone app, as there's only a 30-day trial and no apps are listed
- Watch out: everyone you add is billed whether they log in or not, as are all non-human resources and extra placeholders
- Pricey if you need single sign-on, an approval workflow or phone support, which all need Master at $12 a person
Good to know
Good for
- Agencies and consultancies scheduling people across client projects
- Teams that also book rooms, vehicles or equipment
- Teams that want integrations and API access on the lowest plan
Worth knowing
- Grasshopper has no reports, timesheets, Gantt charts or project budgets, and keeps activity history for only 7 days.
- Every person added to the account is charged for, whether or not they log in, as are all non-human resources and placeholders beyond the plan's allowance.
- Single sign-on, the approval workflow and phone support need the Master plan.
- There is no free plan, and the pricing page lists no mobile or desktop apps.

Keep it, or make your own?
Whether this is something you could build for yourself with an AI app builder, and what you would give up.
Keep it
The plain part of Resource Guru you could make: Gantt & timelines, time tracking and reports. What surrounds it you could not. The 2 things listed below take a company, not a weekend.
That makes this kind of software worth paying for, not this one in particular: 60 of the 79 other project management tools grade higher. It costs $60 a year.
What you could make
- Gantt & timelines, time tracking and reports: an app builder makes these well.
What you could not
- It is priced for each person, which means accounts and billing for a team.
- It plugs into other products, Google Calendar, Outlook Calendar and Jira among them, and has an API.
What this rests on. Resource Guru’s listing: what it does, where it runs, what it plugs into and what it costs. It is a judgement about the kind of software this is. We have not built a replacement for it, and making your own means looking after it too. How we decide, and every tool’s verdict.
