How we grade them

3.0GPAmonday.comVery good3.0GPAResource GuruVery good
Value for money
CBasic is $9 a seat but has no automations, integrations or timeline, so most teams land on Standard at $12. ClickUp gives you Gantt charts and time tracking for $7.
BGrasshopper is $5 per person a month billed annually, $6 monthly, which is the cheap end. But it has no reports, timesheets or Gantt charts. Those start on Blackbelt at $8, about the going rate. And everyone you add is charged for, whether they log in or not.
Free plan and trial
CTwo seats, three boards, three docs, and no automations. Fine for one freelancer with a few clients, no good for a team. There is a 14-day trial of Pro.
CNo free plan. The trial is 30 days with every feature and no credit card needed, which is plenty of time to see if it fits. After that it's paid.
Features
ABoards, timelines, Gantt charts, dashboards, docs, forms, automations, time tracking and a pile of AI helpers. There's very little you can't bend it into.
ABookings can be tentative, repeating, spread over several resources or set as a total of hours, with clash management, time zones and leave on every plan. Blackbelt adds Gantt charts, budgets, timesheets and reports. It's built for scheduling, not task lists, and it does scheduling fully.
Ease of use
A4.8 from about 48,000 App Store ratings. A diesel repair shop and a couple doing up a 1976 house both say it just made sense. There are 200+ templates to start from.
BNo app rating on record, so a B at best. It's hosted, and the idea is simple: a schedule that shows who's free. Weekly timesheets even suggest entries from work already booked, which saves typing.
Platforms and integrations
BWeb, Mac, Windows, iPhone and Android, with an API and 850+ integrations and apps. No Linux app, and reviewers say the phone app can't do all the website can.
BIt's a web app, and the pricing page lists no mobile or desktop apps. It does connect well, though: Google Calendar, Outlook Calendar, Jira, Asana, Slack, Microsoft Teams, Zapier and Salesforce, with integrations and an API on the lowest plan.

Worth knowing

monday.com

  • The Free plan is limited to 2 seats, 3 boards and 3 docs.
  • Paid plans start at 3 seats, and the price is set by the team size selected rather than by individual seats.
  • Timeline, Gantt and calendar views, automations and integrations start on Standard; time tracking and private boards need Pro.
  • Plan totals itemize the bundled AI credits at $10 per 1,000 a month, currently cancelled out by a "special offer" discount of the same amount.

Resource Guru

  • Grasshopper has no reports, timesheets, Gantt charts or project budgets, and keeps activity history for only 7 days.
  • Every person added to the account is charged for, whether or not they log in, as are all non-human resources and placeholders beyond the plan's allowance.
  • Single sign-on, the approval workflow and phone support need the Master plan.
  • There is no free plan, and the pricing page lists no mobile or desktop apps.

Key features

monday.com

Boards and views
Work is tracked on boards made of items and typed columns. Timeline, Gantt and calendar views start on the Standard plan.
Automations and integrations
Both are metered by monthly actions: 250 each on Standard and 25,000 each on Pro. The integrations page lists 850+ integrations and apps.
Dashboards
Dashboards bring data from boards together into charts and summaries for reporting on progress.
Docs and forms
Built-in documents and forms sit next to boards. The Free plan allows up to 3 docs, and private boards and docs need Pro.
AI credits and agents
The Sidekick assistant, AI agents and a notetaker draw on a monthly credit pool: 1,000 credits on Basic, 2,000 on Standard and 3,000 on Pro.
Portfolio and resource management
The Enterprise plan adds portfolio management, resource management and multi-level permissions.

Resource Guru

Resource scheduling
Bookings can be tentative, repeating, spread over several resources or set as a total number of hours, with clash management and time zone support on every plan.
Capacity and leave
The schedule shows each person's availability, workload and utilization. Leave management and public holiday calendars are included on every plan.
Rooms, vehicles and equipment
Resources that are not people, such as meeting rooms, vehicles and equipment, can be booked on the same schedule and cost half the per-person price.
Project planning with Gantt charts
From the Blackbelt plan, projects get start and end dates, milestones, rates and budgets, and phases can be mapped on Gantt charts against team capacity.
Timesheets
Weekly timesheets suggest entries from work already booked and include review and approvals, so forecast hours can be compared with actuals. Blackbelt and above.
Reports
Pre-built and customizable reports with exports and budget tracking start on Blackbelt. The Grasshopper plan has no reports.
