Part 01 · Overview
Welcome
What it is, who it suits, its grades and the ten things to know first
2.2
GPA, above 8 of the 69 other daily planner apps we grade
TimeHero is a task and project manager that works out when each task should be done. It reads connected Google and Office 365 calendars, places tasks in the free time between events, and replans when meetings are added, work finishes early or priorities change. Higher plans add projects, recurring tasks, workflow templates, timesheets and Gantt and workload reports for teams.
To get you started, here are 9 things to know about TimeHero, taken from its own pages and our grades.
- 1
Best for teams who want tasks scheduled for them
TimeHero works out when each task should happen: it reads your Google or Office 365 calendar, drops tasks into the gaps and replans when a meeting lands.
- 2
Paid plans start at $4.60 a month for each person
As its pricing page puts it: $4.60 per user / month, billed yearly.
- 3
You can try it first
7-day free trial of the Premium plan, no credit card required.
- 4
It runs on 4 platforms
Web, macOS, Windows and iOS.
- 5
Automatic task scheduling
Tasks are placed in the time left free by events on connected Google and Office 365 calendars, and the plan is redone when events, completions or priorities change.
- 6
Risk detection
A task is marked as at risk when it ends up planned close to its due date with little or no room left to reschedule it.
- 7
Recurring tasks
A repeating task plans itself inside its timeframe: one set to repeat once a week finds a slot between Monday and Friday. Professional and Premium only.
- 8
A 2.2 GPA, above 8 of 69
That is against the other daily planner apps we grade, on value, the free plan, features, ease of use and platforms.
- 9
Keep it
The plain part of TimeHero you could make: tasks, time tracking, Gantt & timelines, templates, natural-language input and reports. What surrounds it you could not. The 5 things listed below take a company, not a weekend.

The report card
Best for teams who want tasks scheduled for them
TimeHero works out when each task should happen: it reads your Google or Office 365 calendar, drops tasks into the gaps and replans when a meeting lands. But there's no free plan, Basic leaves out projects and recurring tasks, timesheets and Gantt charts need $22 a user a month, the iPhone app's latest version dates from December 2019, and there's no Android app.
| Subject | Grade | Comment |
|---|---|---|
| Value for money | D | Basic is $4.60 a user a month billed yearly, but that's the scheduling engine on its own: no projects, no folders, not even recurring tasks. Those start at Professional, $10 a user a month, against about $6 for a typical planner, and timesheets and Gantt charts wait on Premium at $22. |
| Free plan and trial | C | No free plan. There's a 7-day trial of Premium with no card asked for, and then it's pay or stop. Nonprofits and schools can write in for special pricing. |
| Features | B | It drops tasks into the gaps between your meetings, replans when something lands or finishes early, and flags a task as at risk when it's squeezed against its due date. Recurring tasks find their own slot, and there are workflow templates, timers, timesheets and Gantt and workload reports. That covers the job. |
| Ease of use | C | No store rating on record, and there's setting-up to do: a Google or Office 365 calendar to connect, projects to lay out, templates to build. The help centre's newest feature article is from August 2020, so the guides won't hold your hand. |
| Platforms and integrations | B | Web, Mac, Windows and iPhone, with Google Calendar, Office 365, Asana, Slack, Gmail, Zapier, Jira and HubSpot connected. No Android app is linked anywhere, and the iPhone app's latest App Store version dates from December 2019. |
An A is worth 4 points, a B 3, a C 2, a D 1 and an F nothing. The GPA is the average of the five.
Who TimeHero is for
- Fits if you want your team's tasks put on the calendar without anyone doing it by hand
- Works for Asana users who want assigned tasks planned around their meetings
Who it is not for
- Skip it if you're on Android, as the site links no app for it
- Not for you if you want a free plan, because after the 7-day trial it's paid only
- Tight if you take Basic, which has no projects, folders, recurring tasks or Zapier and Slack
- Pricey if you want timesheets, Gantt or workload reports, which need Premium at $22 a user a month billed yearly
- Watch out: the iPhone app's latest version is from December 2019 and the newest help article from August 2020
Good to know

Keep it, or make your own?
Whether this is something you could build for yourself with an AI app builder, and what you would give up.
Keep it
The plain part of TimeHero you could make: tasks, time tracking, Gantt & timelines, templates, natural-language input and reports. What surrounds it you could not. The 5 things listed below take a company, not a weekend.
That makes this kind of software worth paying for, not this one in particular: 53 of the 69 other daily planner apps grade higher. It costs $55.20 a year.
What you could make
- Tasks, time tracking, Gantt & timelines, templates, natural-language input and reports: an app builder makes these well.
What you could not
- A scheduler that rearranges your day as things move.
- Apps for macOS, Windows and iOS that stay in step with each other.
- It is priced for each person, which means accounts and billing for a team.
- It plugs into other products, Google Calendar, Office 365 and Asana among them.
- The depth: we grade its features B, which means it covers the whole job.
What this rests on. TimeHero’s listing: what it does, where it runs, what it plugs into and what it costs. It is a judgement about the kind of software this is. We have not built a replacement for it, and making your own means looking after it too. How we decide, and every tool’s verdict.
